Resolving Purchase Order Item and Header Text Issues in SAP Cloud ERP

Welcome to this SAP S/4 HANA Cloud Public Edition Microlearning. In this session, we look at purchase order item and header text issues, specifically why a text you maintain on a purchase order may not appear on the document your supplier receives and how the standard text output configuration resolves it. Here is what we'll cover. First, an introduction to the issue, the difference between header and item text, and the standard output setup. Then a system demo, where we reproduce and resolve the problem live. And finally, the business value and the key points to remember. The core idea is simple. A text can exist inside the purchase order, yet still be missing from the supplier-facing output. Let's see why. Let's start with the typical issue. A user maintains a header or item text on the purchase order. The text is clearly there, but when the output is generated, that text is missing. The reason sits right in the middle of this flow. Is that text ID actually configured for the purchase order output? In other words, a text living in the purchase order is not the same as a text configured for the output. That single check is what most missing text issues come down to. Before we fix it, let's separate two things that are easy to confuse. Header text applies to the whole purchase order, a general note for the supplier, like overall instructions or delivery terms. Item text applies to a single line item, information specific to one material, like an item note or a packaging detail. They sit at different levels, but the rule to reach the output is the same for both. The text ID has to be maintained in the purchase order text configuration. So how does a text actually reach the output? In three steps. First, the text type exists in the purchase order. Second, it's maintained in configuration. The text ID is set up in CBC in option to find text for purchase order. And third, it's included in the output. The rule in one line, printed text equals the text ID maintained in configuration with a unique print sequence. All maintained centrally, no custom form development required. Before we jump into the system, let's set up what we're going to look at. Our scenario is one purchase order with a header text and an item text online. both maintained. We'd expect both to appear in the output. But as you can see, the header note and the item note are maintained in the purchase order, yet both come back missing in the generated output. So that's the problem we'll now solve. Now let's see it in action. This purchase order has several texts maintained for the supplier. At header level, two notes have been entered. Texts at this level apply to the entire purchase order, general information intended for the supplier as a whole, such as overall instructions or terms. At item level, two further notes have been entered. Texts at this level apply only to that specific line, information relevant to a single material or service. In total, four texts are now stored in the document. When the output is generated, none of these texts appear on the printed purchase order. The content exists in the document, but it is not part of the supplier-facing output. Whether a text is printed is controlled by the standard text configuration for purchase orders in CBC. This is where each text type is defined for the output. Texts for the whole order are defined against the document header and texts for a line against the item. Each text type also needs a unique print sequence. If two share the same one, only the first is printed. Once a text type is maintained here, the link to the output is established. The matching text from the purchase order is then included automatically when the document is printed. This is done entirely in standard configuration, no form changes, and no custom development. With the configuration in place, the output is generated again. The header texts now appear at document level and the item texts directly on the line. The texts that were previously missing are now part of the supplier-facing output. Why does this matter? Resolving purchase order text issues in a structured way makes sure important purchasing instructions actually reach the supplier. Cutting manual troubleshooting and miscommunication It gives you structured troubleshooting. A clear, repeatable way to find why a text is missing. Reliable supplier communication. Header and item instructions consistently reach supplier-facing documents. A clear separation of concerns. Maintaining a text in the purchase order is not the same as configuring that text ID for output and less manual effort. Support teams go straight to the standard text setup instead of ad-hoc investigation. Let's wrap up with three things to take away. One, maintaining is not the same as showing. A text in the purchase order appears in the output only when its text ID is configured for output.
