Supplier Onboarding - SAP Fieldglass

Did you know...? In order for buyers and suppliers to interact in SAP Fieldglass, suppliers need to follow a specific registration process for each buyer? In SAP Fieldglass, all buyer and supplier companies have their own individual instances of SAP Fieldglass. For them to interact with each other, each supplier must be invited to register and complete the onboarding process for each individual buyer. The SAP Fieldglass application has a simple wizard-based UI walkthrough that allows the buyer to create the supplier record as part of the simultaneous invitation process. As a buyer, there are different ways to initiate the supplier onboarding process, including directly inviting a known supplier or by searching through self-registered supplier storefronts. Although sending invitations to suppliers directly is the recommended method to initiate supplier onboarding because it is the cleanest and the fastest way. Let's say a buyer has decided to onboard a new staffing supplier into their contingent program called Desert Staffing Incorporated from Arizona. As the buyer administrator, here's how you would generate and send the new supplier invitation. After logging into the system and navigating into the admin menu, you will select Supplier Invitation under the Supplier section. Then select Invite. On the next page, you will confirm if the supplier will be non-transactional. Non-transactional suppliers are used exclusively with profile workers and cannot provide any other service. Since desert staffing will need to transact in the contingent program, you would select No. Here, you will enter the name of the supplier, the first and last name of the supplier's contact, and their email address. Since this will be the supplier user responsible for completing the full registration process, it is recommended to use the supplier's administrator's contact here. Next, you will want to select the services the new supplier will provide and determine their remittance type for the applicable services. Finally, you can add any optional text for the supplier to see when they complete their registration. change any of the default selections as needed, and then click Invite at the bottom of the page to send your new supplier invitation. When the supplier invitation is sent, the supplier user entered as the primary contact person will receive an email with a temporary link to their unique registration page in SAP Fieldglass. At this point, there are two routes the supplier can take. They can link their existing supplier account or they can create a brand new account. If the supplier already has an existing SAP Fieldglass account for another buyer, they can link their existing supplier account to this new buyer, which allows the supplier to easily switch between accounts and complete actions for multiple buyers more quickly. Otherwise, if the supplier company is new to SAP Fieldglass, they will want to create a brand new supplier account. Here's how you would complete a new supplier registration as a supplier administrator user. After clicking the link in the registration email, the supplier user confirms they do not have an existing SAP Fieldglass account to link to this buyer, and then they select Continue. Next, the supplier user chooses a company code to be their unique identifier for their new account and selects Check Availability to confirm it's available. Then, the supplier user enters their company address, city, state, zip code, and preferences for their new account. The supplier user's name and email address will pre-populate here, but the supplier can make any changes necessary before choosing their desired username and password that will be used to log in to their new SAP Fieldglass supplier account. Once they select Next,the  final step of the registration process is for the supplier user to review the SAP Fieldglass Contractor Access Agreement, confirm they have read and agreed to the terms, provide their e-signature, then select Accept and Continue at the bottom of the page. After the CAA is electronically signed by the supplier, the registration process is complete and the new supplier account is active. They will then be brought to the SAP Fieldglass homepage, where they can start navigating throughout the system and manage their applicable user base to support the buyer. Buyers can manually invite suppliers through the UI one at a time, but in cases where there is a higher volume of supplier invitations needed, a bulk upload file can be used. Suppliers also have the option to self-register a storefront within SAP Fieldglass, which allows them to showcase the goods and services that they provide and the locations they service. However, this does not associate the supplier with a buyer, and buyers must still submit invitations to a supplier before they can register and engage in their tenant. Because the invitation and registration process differ, this method is not always recommended as it can cause delays in supplier onboarding during system implementations. SAP Fieldglass provides a supplier onboarding process that is efficient and straightforward, enabling buyers to collaborate seamlessly with their preferred supply base.
