Transferring Output Parameters between Systems - SAP S/4HANA Cloud Procurement

Hello and welcome to this openSAP microlearning. Today we're gonna look at transferring output parameters between systems. This is going to be in an SAP S/4HANA Cloud environment. And we're simply going to look at this from a procurement perspective, but this can be applied to most business documents across all lines of businesses. So again, a warm welcome from my side. I'm James Denning. I'm an S/4HANA Cloud architect. And I sit in the intelligent delivery group within the S/4HANA Cloud EMEA team at SAP. So we're gonna check how we can look at the extension status, of an output parameter determination. Business object and how we can transfer those business rules automatically between clouds. The target audience for this microlearning is typically expert users. So a little bit more detail, we're going to kick off with an overview of output parameter determination and the apps and the roles required to utilize this app. We're going to then look at checking the extension status of any business document and how we can do that to view the parameters can be modified. And then we'll look at moving individual settings between systems and how we can utilise an Excel or XML format. So let's start with the output parameter determination app. First of all, let's just understand the output management. Output management typically keeps your business running. It's about how you communicate with your business partners, vendors, suppliers, whether that will be, by print, by e-mail, by EDI of various different channels. But what about under what conditions these outputs should be created or distributed to a specific group. This is where output parameter determination comes in. And this is what we'll be looking at in this microlearning. So the App ID which will be running is listed here. The application component hierarchy again is referenced, and the business catalogue to run this. And the business roles standardly delivered by SAP are outlined here. So that said, they are administrator and also the configuration expert. So checking the extension status of any business document and output parameter determination. Within a business document, we can navigate to a business rule and we could show the rules for that business document. This is a simple feature to click and quickly view if a, an associated CDS view can be extended as we can see here. So the first example is a billing document where we can see this can be extended so we can bring in additional fields or custom fields into the CDS view. The second example here is for a purchase order. Now we can clearly see that this cannot be extended. So the standard delivered application parameters are only available to trigger outputs within the purchase order business documents. Moving into visual settings between systems. So settings in the app output parameters determination today cannot be transported. So in the queue system there's a simple rule to use a function to export to Excel for each decision table in the application. And when we're in the target system, the P system, wherever that may be, we can use a function to import from Excel. So each decision table in the application correlates to the previous tenant. So let's have a quick look at this in the system. Okay, so here we are in S/4HANA Cloud system from the anchor by see we're under Output Control. And we're going to take a look at the app output parameter determination. We're going to show the business rules for purchase order. And firstly, we're just going to check how we can view if this CSV for app parameter determinations can be extended. And it's really simple. We right-click on the business document object. You get the technical details. Now we can see clearly here that the CDS view, which contains the purchase order output parameters, cannot be extended. So what does this mean? So let's take a look at the detailed printer settings. Then the decision tree. You can see on the table settings. We insert column from context data objects. We can see the fields which are listed in the currency, the S view. So today, these are all the fields which we can use to trigger output parameter determination and the purchase order domain. So let's move on. Let's take a look at how we can move the settings between the systems. So it's really simple. In each decision tree rule, we have the function to export to Excel. Download the decision table into an Excel format. You can see here all the parameters from the decision table. It's downloaded to Excel format where you can update them and as you see fit, we also get some help on the columns for technical details. So it's a really simple, easy way to maintain consistency in between the tenants. So we simply now import from Excel, select the decision table with the parameters that we want, and simply upload. And you can see here clearly the data is imported into the decision tables successfully.
