Understanding PRT Usage Based Maintenance in SAP Cloud ERP – PET 2026

hello everyone welcome to the product expert training h1 2026 today i'll be taking you through a scenario on the asset management that is prt usage based maintenance and sap cloud erp so quickly moving on so this is the disclaimer so i'll be here for a few seconds Hello again, this is Vijay Lakshmi Malwanki. So I'm a product expert in asset management and from Cloud ERP and SEM product success team. So today we are going to cover what are production resource tools, what is the process overview, and also the steps and configuration needed for the process overview and followed with the demo. So what are production resources and tools? PRTs which are PRTs. So, PRTs are movable non-stationary operating resources which perform an activity and can be used repeatedly during a manufacturing process. So, in asset management, they are referred to as mobile operating facilities which are used in production and plant maintenance. These are distinct from the materials consumed and they are reusable assets tracked for maintenance and availability so what are the types of production resources and tools one is material as a PRT and material as a PRT is managed as a standard material master record it includes inventory management material requirement planning and also procurement second one is equipment as a PRT which we are considering for the process for today so this comes as a part of asset management and equipment is maintained as equipment master with maintenance history and counter readings for example equipment such as measuring devices or high quality tools require preventive maintenance and third one is document PRT so documents such drawings or work instructions for which document management functions are used so these are linked to the production operation to control documents and for the fourth one is the other prt but which has which can be maintained as a dedicated prt master requiring less maintenance than equipment and it should it is suitable for tools not tracked in every inventory or a full equipment master so this is the process overview for the prt usage based maintenance that we are covering today so we maintain the equipment as a prt so with the all the prt information like the prt formula the counter the maintenance plan etc and we also configure the parameters as well as the prt formula and use the same PRT formula for the equipment master. And we create the production routing with all these details and add equipment as a PRT to the operation. Then we create the production order. So once we confirm the production order with the confirmed quantity, so based on the PRT usage formula, it is converted to a certain number, which the measurement document carries and it updates the counter. And once the counter hits a certain value, which is mentioned in the maintenance plan, so where we say for every thousand cycles, the maintenance should happen and there is a maintenance order, which is due, will be triggered. So once that certain point is hit, the maintenance plan is triggered and the due maintenance order is created. So we create the equipment master and which has the details, which will have details like PRT usage formula, the task list usage, the maintenance plan is also linked and also the measurement measuring point or the counter is linked here. and as a part of configuration we define the parameters so it can be a sap defined parameters or also we can create a custom one and then we define formula for work center where we create the prt usage formula so wherein it can be anything that can that is defined by sap or it can be a custom one. Then these are the transactions where we create the production routing where the equipment PRD is assigned to the operation and then do the production confirmation production followed with the production order production confirmation where the operation within the production is confirmed with certain quantity and then based on the PRD usage formula the measurement document is created and the counter is added with that particular measurement value and the maintenance plan is scheduled and if it's that certain value defined in the maintenance item and plan then the work order is triggered. let us see a quick demo in the system so this is the configuration in the system so under manufacture and quality so we have the common settings for work center and resource where we have the defined parameters so these are all the standard ones and if we need it we can create a custom one and work center we have different formulas for work center so here we also have a few standard sap formulas which we can use or we can create a custom one and here i'm using this zprd prd usage formula so i have made it simpler for the demo purposes so i'm just using the operation quantity as formula this is the equipment is a PRT which I have created so it has a category PRT and it comes with the PRT data so under PRT data I have defined the task list usage which is for all task list types and the usage value formula I have defined as the PRT which we have configured. And this is the maintenance plan I have linked it to and this is the measuring point. So quickly looking at the and now let's look at the maintenance plan. So this is the maintenance plan. So this defines that my cycle length is 37600. So once this value is set there some intense order that will be triggered and this is already scheduled and here also i can see that there is a measuring point that is linked so if i quickly go to the measuring point this is my measuring point here i will go to the outing that is already created with the adding this equipment as a prt for one of the operations so here for the operation 30 so if I select the PRD so this is the equipment that's the PRD which is added so I can go into the details so this is the standard usage formula and this is the formula which is added and here I can see that the counter is linked so I'll quickly go to the go and confirm this production order which is already created so i can see that the production confirmation is done so now i'll quickly go to the go and check if i have any measurement documents created so these are the measuring point which i mean documents created for this measuring point 52 and here if i just look at the created on created by and the order for which this measurement documents are created you can see that this particular measurement document was created for with respect to this production order today with this total measurement reading of 10807 so quickly going on to the maintenance plan this is the maintenance plan and if i look at the maintenance calls i see that there is a total counter reading is reflected and based on the plan date and the call date for whenever it reaches that particular total counter reading the maintenance order due will be triggered So this is how the PRT usage -based maintenance process works and based on the PRT usage the maintenance call gets triggered which creates maintenance order and that is how the maintenance occurs for that particular PRT.
