Understanding the Entry Source Value in Manage Workforce of SAP S/4HANA Cloud

Hello and welcome to the OpenSAP Microlearning Managed Workforce - Understanding the Entry Source Value. My name is Anand Kapadia and I'm part of the SAP S/4HANA Cloud Product Engineering Unit. At first, I'll give you the background of introducing the entry source value in the Manage Workforce application. Then, I'll be talking about the different entry sources which are available in S/4HANA Cloud for the workforce. I'll do a quick system demo and at the end we'll summarize the key learnings. With regards to the background you need to know that you can enter your HR master data in several ways into your S/4HANA Cloud system. The entry source is a calculated field, and it shows the original source where you have entered your data. And in this system you need to edit your data. For example, your worker data was entered in SAP SuccessFactors Employee Central and is replicated to S/4HANA Cloud by the communication scenario SAP_COM_0001. The worker data gets the values SAP SuccessFactors Employee Central (F) in the Entry Source field. In the Manage Workforce app, you can only edit the tag fields. Worker data always needs to be maintained in the leading system. This is to avoid data inconsistencies between the Managed Workforce app and your external data source. If you are already integrated with another HR system, you can still create new worker data via the Managed Workforce app. When your entry source is the Managed Workforce app, then you can edit all worker data. Bear in mind that the worker data is then only created locally in your SAP S/4HANA Cloud system. Switching of entry sources is possible only from Managed Workforce to any other external entry source. Overview of different Entry Sources. As of SAP S/4HANA Cloud Release 2308, there are four different entry sources available. The fixed value M indicates that the worker data has been replicated via SAP master data integration or communication scenario SAP_COM_0594 or SAP_COM_0659 into your S/4HANA Cloud system. The fixed value A indicates that the worker data was replicated via SOAP API. So SAP_COM_0301 into your system. The fixed value W indicates that the workforce data was created locally, so via the SAP Fiori Manage Workforce app. The fixed value F indicates that the worker data was originally created in SuccessFactors Employee Central and was replicated by SAP_ COM_0001 into your S/4HANA Cloud system. Okay, now it's time for a system demo to get a better understanding of the entry source value in the Manage Workforce app. So now I'm in a system where we can see two workers, Alex Hall and Emily External. In order to find out which one was created locally in S/4HANA Cloud and which one was created via integration, we just need to click on the entry. So I click here on Alex Hall and here at the bottom under Technical Details we find the entry source. This indicates here for Alex Hall that he was created by a SAP Master Data Integration. If we click now on edit, we can see that the general information, contact information and so on and so forth is non-editable. Same applies here for the work agreements, if you go into the details. The only thing we can edit here is the profile, particularly here the tags. So we are able to add here specific tags, let me do so, right here, ABAP, save it.  You can see that this entry has been updated. As opposed to this, Emily External, we can see that she was fully created in the Manage Workforce app, so she was created locally. So if you click here on edit, we can see that all the fields are editable and I'm able to do much more. Key Learnings. The entry source field is a calculated field. It indicates the original system for an entry in the Managed Workforce app. Changes to the worker entry need to be done in the original system. Changing the entry source value is possible from Managed Workforce to any other external entry source. For further learning, please check out our openSAP microlearning on the Managed Workforce app as well as the SAP help documentation for the Managed Workforce app. Thanks for tuning in.
