Unlocking the Latest in Quality Management for SAP Cloud ERP – PET 2026

Welcome to the product expert training for H1 2026, where I will provide a comprehensive overview of the latest developments in quality management within SAP Cloud ERP. Since developments that may not be released at the time of the presentation, I would like to remind everyone of the legal disclaimer. This is, by the way, also relevant when discussing roadmap topics later. My name is *** Pontius. I'm in product management for quality management in SAP Cloud ERP, 24 years with SAP, always in the area of quality management. And I'm excited to show you the latest and greatest features in quality management. With that, let's have a quick look on the agenda. So I will start with a very brief overview of quality management in SAP Cloud ERP. Then we will continue with the latest features and updates in quality management. We will also discover how Subdocument AI is transforming the processing of quality certificates through AI-driven enhancements. And yeah, with Submobile Start, we will see how mobile integration with Subdocument AI allows for efficient quality certificate processing directly from your device. And at the end, we will also look into future developments and enhancements planned for quality management in the public cloud. Okay, first of all, the overview of quality management in SAP Cloud ERP. So I'm pretty sure you are largely familiar with it. In short, Cloud ERP offers powerful quality management functions and features to plan and conduct quality inspections from various origins. You can manage non-conformances by documenting and rectifying any type of defect. and you can also utilize Analytics tools. We also support processes that go beyond the QM core, such as EWM integration and many more. In this gray box here, you can see the links to the SAP Signavio Process Navigator, which includes best practice content, flowcharts, descriptions, test documents, and so on. I mean, the cloud comes pre -configured However, we are also providing various self -service UIs where you can make adjustments to tailor processes according to your specific needs. Now let's come to the latest features. First of all, two extensibility topics that are based on customer improvement requests. So sampling scheme and inspection severity details are now accessible via CDS use, which enables integration of sampling master data with external systems or in your customer of specific developments by embedded Steampunk. And you can also see this API, which facilitates the creation and extraction of attachments for business objects. And with release 2602, a support extended to include also quality notifications. Yeah, non-conformance management, we have enhanced the defect object page. So batch details are now available directly on the defect object page, which also enhances transparency and traceability of defect-related data. And again, this feature was based on a zip request, a custom improvement request. This shows that we take your requirements also very seriously. Speaking about defects, we now have a consistent filtering when selecting codes within defect creation, for example, via the record defect app or the process or manage defects app. So this enhances accessibility and consistency across our Fiori apps in performance management. Yeah, we have enhanced the scope item 1E1 and included process manufacturing. So documentation is also updated to reflect the changes. So this enhances, of course, QM application relevance in process industries. And additional details and test scripts can also be found in the corresponding KBA knowledge-based article. Yeah, in results recording, we now display so-called informational inspection characteristics, means purely information characteristics are now visible but deactivated in SAP Fiori apps for results recording. So the characteristics are not editable as you can see here which indicates non-recordable nature which improves clarity and the quality technician has immediate access to essential contextual information without using our classical transactions anymore. Let me just start the video. Okay, first of all, I'll navigate into the managed inspection plan in order to show you the corresponding characteristic. I open the inspection plan header, navigate to the operations. And within the operations, you define the inspection characteristics, of course. And inspection characteristic temperature is defined as an informational characteristic. So this can be done by the so -called recording type. This is set. We can now navigate to the results recording app. I've already created an inspection lot for this demo. I navigate to the results recording work list, switch to edit mode. And as you can see, temperature is an informational characteristic. It's not editable. Everything is deactivated, grayed out, but you can navigate into the details in order to check, for example, contextual information. Okay, yeah, then again, in results recording, the SAP Fiori app record inspection results is now extensible at header level to tailor the app according to your needs and to meet your specific business needs. I mean, in short, it allows customization of the worklist by adding customer-specific fields as filters or columns. and yeah also here i have prepared a short demo on this topic how this can be configured we will start with creating or defining custom fields so called append fields first of all you have to select the business context which is for our example the and quantity inspection a lot. Then you have to specify the description label and so on and so forth. And most importantly, the type of the fields. Various types are available. For my example, I've chosen a code list in order to specify some priorities. So I define a code list here with three priorities. that should be used to prioritize my inspection lots. Okay, the field's defined. I now have to enable the usage for various apps. So I enable the usage for the classical transaction to create inspection lots manually. in order to fill these fields and also enable the usage for the corresponding or data services that are consumed by the results recording app yeah and that's it more or less from the technical part we can also check the status again Publishing takes a bit, but here you can see that my new field is already published. Navigate into the Manage Inspection Lot app, I open the classical transaction for creating inspection lots manually, I enter relevant data, and on the right hand side you can see already the corresponding tab which shows all the custom fields that are defined and also my new field for setting up the priorities shown here i saved the entry and navigated to the record results fiori app and we should now be able to filter our inspection lots by this new field and this append field should also be then visible in the worklist. So here you can search for the defined priorities, execute the search, and this is the inspection that I've just created. And yeah, again, this new field is also available in this work list as a separate column. Yeah, with this extensibility feature of the new results recording app, we have now achieved a feature parity with the old app. And as a result, we will be retiring the old app soon. Means the old app F1685 is being deprecated and will be removed. Another topic regarding output management. So the channel for external output management, abbreviation is XOM, is now enabled for defects, quality notifications, and also certificates. Means it facilitates sending detailed defect, quality notification, and certificate information in an XML format to external systems. And you set up via the output parameter determination app using this new Xtom channel with the defined output queue settings. Yeah, then again, a deprecation. We have a successor for the display quality info record in procurement Fiori app. So the managed quality info record will replace this app. Means the managed quality info record app consolidates the creation, the change, and also the display of quality info records into one app and with that we eliminate the need for multiple apps we have also decided to remove the our hmea apps means as of cloud edition 2602 the following apps are deprecated as you can see here manage fmeas fmea cockpit the monitor and the display transaction so these apps will be removed from the sap shory launchpad in an upcoming release this is an integration topic with ewm means you can now leverage the quality certificate process for synchronous goods received in warehouse management this enhances of course integration between warehouse management and quality management and you can even optimize the confirmation of incoming certificates with our AI-assisted processing using sub-document AI, which is also the next topic, by the way. Yeah, already in 2508, we have introduced our first AI use case in quality management with which we managed to automatically process incoming quality certificates from suppliers via sub-document AI. And here we solve multiple problems of the role of the quality technician. So a certificate from a supplier may be required for each purchase order or goods received. And if you have identified a material as requiring a certificate, the receipt of this quality certificate must be confirmed by a quality technician, as you probably know. And this usually takes place at the time of the goods received. So the certificate usually comes in a paper -based form together with the material delivered by a supplier, or it can also be sent via email. But no matter where it comes from, the certificate received must be confirmed in the system by a technician. And once this is done, the quality inspection process is no longer blocked and the stock can be released for production. But especially the certificate confirmation part requires a lot of manual steps. It's very time consuming and error prone and prevents also the quality technician from focusing on other important tasks. Therefore, our goal was to use sub -document AI capabilities to let the system automatically extract the data, to let the system do the validation and confirmation by setting a certain status, and also attach the certificate to the certificate received record afterwards. And yeah, the benefits are partly obvious. I mean, we have a significant reduction in time to process quality certificates. Yeah, we also minimize errors due to incorrectly assigned objects reduce a number of manual steps and a nice side effect is also that we accelerate processing of inspection lots and release quality stock via usage decision through an earlier quality certificate confirmation and this can also reduce any production losses due to material inspection delays so i said this has been delivered with 2508 already so here we have introduced a a new action, start certificate upload, where the upload takes place, the system sub-document .ai is extracting the data. And based on the magic logic, we either create a new quality certificate record or we assign an existing one, the status is set to received and the document is attached to the certificate received record. But sometimes when the certificate is not readable, for example, or some data is missing, then the match does not find a corresponding certificate record and for this reason we are providing so-called proposals for matching certificate receipts means the system suggests matches based on extracted details if the initial identification fails due to missing data i also have a short demo on this first of all let me open the upload quality certificate documents app you can see this the status is on review needed because of missing data wisely so in the certificate document match you can also clearly identify the status and also see that the purchase order number is missing in this case so if you review the data from the original document you can also see that the purchase order number was missing on the on the certificate. So in this case, we will propose some matches. Means if the certificate document match is in status review needed, you will also see an additional tab here with the proposed matches that you just have to accept one of the matches that fit and save the data and that's it. You will then see that the status of your certificate received will change to received. Let's navigate to the certificate received here, just to check the status, so the status is on received, also the document has been attached to this certificate received record and you can clearly identify that this was done after review. We jump to the next topic and let's continue with our AI-driven quality certificate processing. We have managed to integrate the use case also in Submobile Start. So SubMobileStart is a native app for business applications. There's a kind of entry point with predefined content, access to various apps for different personas and roles and so on and so forth. Runs on iOS and Apple and many other devices. And we now have a seamless integration with SubDocument.AI for our AI use case. This means you can directly, with your mobile, scan or upload a certificate for end -to-end processing via sub-document.ai. So I'm a quality technician at Bikes United, and I just received a certificate from our supplier, Premium Bike Parts. And I just want to, with my mobile phone, upload the document. And so open the app, I start the sub-document AI for incoming quality certificates. I choose the option to take a picture with my inbuilt camera, take a picture and yeah, send it to the backend system, it's uploaded. And here sub-document AI is like, we have it in the backend extracting of the data. Based on the extracted data, we try to find a match with an existing certificate record and if this is done you can see also the status directly on your mobile and if needed you can also open the original document and check the extracted data directly on your mobile and follow-up actions can then be done in the backend system and now let's have a look into future developments and enhancements planned for a quality management in the public cloud. Let's focus on Q3, 2026. And here you can see that we would like to limit access to the quality notifications by type. This will improve data protection and also the flexibility. Then usage of serial numbers as reference objects for defects is something we plan. Then we also plan to implement change documents in various Fiori apps for quality management to ensure compliance with industry standards, such as GXP. He would like to provide an action to manually complete the inspection status. Means setting the status, all inspection completed in the managed usage decision app. And what else? We also plan to provide extraction able CDS views or SQL services and data products. for business objects and quality management, for defects, for example, for inspection notes, which will also serve as a foundation layer for SAP Analytics Cloud and also SAP Business Data Cloud. And then as you can see, we would like to also enable the assignment of the batch field in the Managed Usage Decision app, as well as prominently display crucial batch field data, Batch fields, let me say, the batch as such, batch status, what else do we have best before end date, also within the Managed Usage Decision app. Then we would like to support your stock postings for serialized materials and our RAPVO for developer extensibility and embedded steampunk. And then forward looking, we intend to release a new version of the Managed Inspection LODs app based on the latest technology stack with a more modern design and performance improvements. And looking further into the future, we also plan to support sample management functionalities, material sample planning, identification, inspection, results recording, and then tracking whatever is needed here. And regarding AI, we would like to continue our AI journey, of course. with an AI writing assistant to automatically generate precise defect descriptions in order to reduce manual work. But yeah, we will also invest in AI agent and such things. This is also something we would like to, or we will work on in future. Before I close my session, a quick recap.
