Using SAP S/4HANA Output Management with Work Packs

In this microlearning you will see how to use SAP S/4HANA Output Management with Work Packs. SAP introduces the concept of the workbacks for managing output of multiple main class orders and order operations. Using the workbacks, you can structure the printout in different ways, not only order by order, but also based on organizational or process-related criteria. For example, you can have the printout organized by work centers, maintenance technicians, or by a technical object. You can also include attachments of the associated business objects as part of the printout. The output of fork packs in SAP S/4 HANA maintenance management is reusing the central SAP S/4HANA output control service, which provide output functions such as printing, sending emails, or maintaining fork templates for the output. SAP S/4HANA output control is a framework for all functions and processes related to the output of documents in SAP S/4HANA. In the phase-based maintenance process, the output management with forkpacks can be used in execution phase, when a maintenance technician receives all the orders that needs to be executed and performs the required maintenance tasks according to the recommendations provided in the order operations. The target role is the maintenance supervisor, who is triggering the relevant output forms for one or more maintenance orders. These forms need to be handed over to maintenance technicians for the execution of the job. Work Packs can be created with theory applications, find maintenance orders and operations, or find maintenance orders. There is also a dedicated application to manage Work Packs, where you can adapt details of of the already created Work Packs and send them to the output. For the administrator role, there is an App to schedule periodic jobs, which sends the open output items for maintenance Job Packs to the print queue. As part of the solution, SAP delivers six predefined form to place for the Job Packs. Job card, time ticket, completion confirmation slip, material issue slip, pick list, and operation control ticket. What are the Work Packs and Job Packs? Work Pack is a group of Job Packs, which are generated based on certain grouping criteria. Job Pack is a group of jobs for which a single output request is created. And job is a maintenance order operation that is bundled into a job Pack. The applications Find Maintenance Order and Find Maintenance Orders and Operations can be used to generate the output. The prerequisite for an order or an order operation to be included in the Work Pack is the phase ready for execution if you use the phase model, or the system status released in the non-phase model. When creating a Work Pack, you can specify Work Pack type and the grouping criteria. How is the group by criteria is used for structuring the Job Packs? Let's assume we have three orders, each with three operations. On the operations we have different work centers, indicated here by different colors. If I now create a Work Pack and I choose the grouping criteria order number, then the system will generate the Job Pack for each order, because all operations in the Job Pack share the same maintenance order number. If I choose another group by criteria, maintenance order operation work center, then the system will behave differently. It will create one Work Pack for the green workcenter, which include jobs across the orders that were selected. The same is for the blue and yellow workcenters. Now I want to give you a demo of the concept for output management with Work Packs. The applications Find Maintenance Orders and Find Maintenance Orders and Operations can be used to generate output. You can generate output using Print Option or Create Work Pack. Work Pack option provides a simple way to print shop papers based on specific configuration settings. The system creates a Work Pack with a predefined Work Pack type and predefined grouping criteria and automatically sends the Work Pack to the output channels that have been configured in the system. The entire process is performed in a background. Create Work Pack option allows you to select one or more maintenance orders or order operations to be included in a Work Pack and group them as a drop pack based on the configuration settings to print the shop papers. To create a Work Pack, select at least one maintenance order operation, choose create Work Pack, in the dialog window enter values for Work Pack name, Work Pack type, and Group by. The name of the Work Pack is populated by the system, but you can choose another name. the Work Pack type from the drop-down list. Then select a grouping criteria for the Work Pack type. Relevant values for the selected order types are listed. You can also decide if you want to include Work Pack operations that are already included in other Work Packs. Select Save to schedule the background application job that creates you a new Work Pack. In the application logs, you can check the status of the scheduled jobs and see if it has been been successfully completed or if any errors occurred. With Manage Workpacks application, you can find existing Work Packs. You can use this app to search for and display created Work Packs, see detailed information about selected Work Packs, such as type, grouping criteria, output status. You can select Work Packs, Job Packs, and Job Pack items and send them to the output immediately or prepare them for mass output. You can also edit Work Packs and Job Packs names, delete Job Packs, select multiple attachments, add them to a single output item, and trigger a single printout or email. With Schedule Output for Maintenance Jobpack application, you can create application jobs to schedule the output for maintenance Job Packs. You can schedule the output of Job Packs for a specific date and time, set up recurrence, or send Job Packs for the output immediately. You can select Job Packs for the output based on different parameters. What are the required configuration settings? First of all, you need to enable the output management in your system. There is a scope item for the output management. Please follow setup instruction. Then there are steps to configure the output parameter determination. You need to specify parameters for determining the output item. For more information on how to configure output parameter determination, visit SAPHelp portal. And there are specific configuration settings for the Work Packs, where you can define grouping criteria for Work Packs and assign grouping criteria to Work Pack types. Most used grouping criteria are predefined and available in configuration, but new grouping criteria can be created. Then, you assign one or more available grouping criteria to a Work Pack type. You can default one grouping criteria for Work Pack type, default inclusion of operations, which are part of an existing Work Pack, for combination of Work Pack type and grouping criteria, and you can select one of the criteria, which should be used by the system for the one-click print action. In theory applications, find maintenance orders and find maintenance orders and operations. In Output Control, you can configure automatic assignment of documents to job packs. In Assign Document Types for Output, you can select the document types, which should be automatically attached with the output types. In Define Output Settings for Document Types, you can define individually for channels, and if the document is relevant and needs to be merged.
