Using Security ID With Consolidated Workers in SAP Fieldglass

Did you know the Security ID can be used to create a strong match for Consolidated Worker Records? Consolidated Worker, previously known as Master Worker Record, allows you to view the tenure of workers across all their assignments. This feature allows historical workers, profile workers, contingent workers, and SOW workers to be linked in one master record upon creation of a worker. The consolidated worker is also used for worker tenure management, where worker tenure is the total number of days or hours that the worker has spent working for a buyer. The total tenure includes the total duration of days of all past, current, and future assignments for a worker, and depending on the tenure rules, it can either include any gaps or not. When new workers are created, the application attempts to match them to a consolidated worker record. And if a strong match is found, the new worker is automatically linked to an existing consolidated worker record. In some workflows, when the buyer has the appropriate permission, the user can decide whether to link it to an existing consolidated worker record or create a new consolidated worker record. If only one match is found, but it isn't a strong match, no automatic linking occurs. The Security ID, which is a security feature made up of a pattern of numbers and or letters to identify job seekers and workers is used to create a strong match for the consolidated worker record as it uses a unique identification format for each worker. The Security ID usually uses the worker's first name initial, last name initial, and the last four digits of the worker's social security number. Note that the Security ID format is different and unique for each company. But what defines a strong match? By default, the logic determines when a match is strong according to this table. The Consolidated Worker Company configuration matches on Security ID only and Unique ID only, are not considered strong, changes how a strong match is defined. When enabled, a strong match occurs with a different logic. To set up the Consolidated Worker in the Company configuration, confirm that the Enable Security Information feature is set and Consolidated Worker is enabled. Let's say that you are in the process of hiring Sally Brown, who you have worked with before and you'd like to take a look at previous assignments in order to confirm her tenure to make sure all tenure policies for your company and country are being followed. On Sally's consolidated worker record, you have the tab Assignments to verify total days worked and list of assignments, and the tab Tenure to check all the necessary information. After confirming the necessary information, you decide to go ahead with rehiring Sally. Now, let's take a look on how you can rehire Sally. She was previously a Profile Worker, so you will go ahead and select Create and then Profile Worker to initiate the process. On the Setup page, firstly you need to select Sally's Supplier.  As it remains the same as previously, you will select re:CrewIT from the dropdown. Next, you need to add Sally's personal information, such as first and last name, and her email address. In the details section, you are required to enter more information about Sally's assignment, such as her primary contact, her site, business unit, and cost center. This information can change when hiring a worker. In Sally's case, you will leave the information as they are presented, since they haven't changed. Still in the details section, you can add a job code and select a supervisor for Sally. You know that previously Sally wasn't assigned a job code and her new supervisor is Brian, so you leave the information as such. Note that both entries are optional and will not prevent you from adding the profile worker if left blank. If you have specific contact details for your worker and need to add them like a company or personal address, you are able to do so by selecting Add Address. Since Sally will be working remotely, no address needs to be entered. Next, you need to add Sally's assignment duration, which will be from August 2022 until July 2023. In the general information, you are able to enter a buyer reference, which is used for reporting purposes, a unique ID, which helps create a stronger match for consolidated workers, and a security ID, which captures a unique identifier in SAP Fieldglass to identify job seekers and workers. As Sally already had a previous assignment with your company, you will reuse the same Security ID in order to create a match to your consolidated worker record. Now you need to choose if you want to register Sally automatically. By selecting No, Sally receives a registration link to create her account. As Sally won't enter timesheets or access the account, you will select Yes. After changing the radio button to Yes, you will be prompted to select the time zone for Sally's account. For Sally, you will leave it as US Central. Now that you've entered all of Sally's information, you will select Continue. After selecting Continue, you were prompted with a warning that Sally's information is a match to an existing Consolidated Worker record. At the top of the page, you will select Select Existing Record in order to link this new record to the existing Consolidated Worker. This will provide you with a list of assignments that the record you are creating were matched to. As Sally has only one consolidated worker record, it will be automatically selected and you can select Continue. This brings you to the Review page where you can confirm that all information you entered for Sally are accurate. When you are sure everything is correct, you will select Submit. This triggers the appropriate approval process and after the Profile Worker is fully approved, you are able to see the consolidated worker ID listed on the assignment. The benefits of using Consolidated Worker and Security ID are:  The Security ID creates a strong match to identify consolidated workers, provides visibility to overall lifecycle of the worker, single record tied to all of a worker's assignments, and allows better control over worker population. Users with permission to view Consolidated Workers are able to see a list of all associated records, such as work orders and workers, regardless of visibility permissions. However, they can't access associated records to which they don't have visibility to. For example, they can't access records associated with sites or business units that they don't have permission to view. The user creating the work order or profile worker must have the select consolidated worker user rule permission. Otherwise, a new consolidated worker is created automatically. And that's how you set up your consolidated worker using the security ID to create a strong match.
