Utilizing AI at SAP Concur – PET 2026

Welcome to today's product expert training series, Utilizing AI at SAP Concur. My name is Phil Bunnell, and I'm a Principal Solutions Advisor with SAP Concur. And I work with our customers on a daily basis to help better understand the capabilities, value, and impact of SAP solutions for their businesses. Today, I'll be walking you through how SAP Concur is reimagining the future of travel and expense. You'll see some of the latest innovations designed to simplify the overall program management, improve visibility into spend, and enhanced experience for both travelers and administrators. And so we're going to start from the travel and expense administrator's perspective. And we're going to go with Molly here, who is responsible for ensuring compliance to policy within the organization, improving the overall employee experience, and really optimizing the overall program performance for travel and expense. So thinking about this from Molly's perspective, when we log into SAP Concur, we can start to bring in a lot of great information to help administrators get actionable insights and really make sure they have a smooth running program where when Molly does log in you will see she has a notification on the top here that we're actually seeing a spike in the number of expense reports being sent back so we can actually look into that detail here in this new admin control center that's bringing various insights to administrators and again actionable insights where we can look across the top here where we can see we have unassigned credit cards that need to be taken care of or maybe we have expense categories that are missing the accounting codes behind those or as we scroll down thinking about this maybe from a compliance or process perspective with that notification that we got that there is an increase in the overall number of expense reports being sent back and the technology here and the AI behind us can bring that information to the administrators to show them why various expense reports are being sent back or what are the top reasons where we see that missing documents or receipts is the number one reason why expense reports are being sent back and we can see whether that's increasing or decreasing or if it's staying stable for these different reasons over time and we can even look at that trending as well to see how many expense reports are submitted over time and we can now see that spike in the middle here of that information or the number of expense reports being spent back is spiking and when we look at the detail here we can even scroll down and see the specific numbers and percentages but the big piece here becomes as well as now what do i do with this information that's where we leverage the ai to look at this data and actually give recommendations where it's telling us hey you need to create a better audit rule to help control these missing the missing receipts or documentation within the system so why don't we go ahead and create that audit rule and when we do that we can continue to leverage artificial intelligence here to help us build out that audit rule within the system instead of having to come up with all of the parameters and and configuration for this let's ask ai to do that we can just give it the prompt of what we're trying to achieve with this audit rule with the system and let that get generated with the help of AI so it'll go out look at that information and start to build out this audit rule for us it'll give us the high level details here and to make sure it gets applied to the right groups or within the organization and then bring us in all the conditions of what needs to happen within this audit rule and all I have to do as an administrator is just review this and make sure this is doing exactly what i want it to do but all of this is already filled out for me and then it'll even bring in the exception information that what that which will be displayed to the traveler themselves this is all created again via ai i can make adjustments as needed as an administrator but again all of that information is pre-populated for me and i can get a quick overview and then look at a redesigned page here of all of the audit rules i have within the system and i can even look at an ai description of that audit rule so i know what even my existing audit rules are doing and even get an analysis here which you'll see in the bottom right of you know is this audit rule built well is it achieving what uh the the main purpose is and is there any improvements that could happen with that so really giving great tools to administrators within the system here to to get those actionable insights but actually then take action on them and leverage the ai to make that process more efficient and simple and then you'll see as well when we are updating audit rules usually that means there's an updated policy or some change within the policy and you can see i got a notification here to to look at the new policy and i can actually go into that policy which and then load it into concur and when i upload that that new policy the ai can take over and look at the important pieces of that policy and bring in recommended policy tips for what's in that policy that can be displayed to travelers so it'll go through and highlight some of the key pieces within your policy and as travelers go through and book their travel we can choose these to be displayed when they go through and book their travel they'll get this notification of here are the important pieces to remember when you're traveling the travelers will also have ability to view this on their mobile applications as well while they're out traveling so they don't have to you know have to search for that policy if they have a question they can just go right into the app and see some of these important pieces so again overall from an administrator perspective we're giving them the actionable insights letting ai help out with taking action on those insights and then ultimately getting good information out to the travelers to help them stay compliant and then as we think about it from the travelers perspective one of the goals is to always keep that process simple efficient and and just have a great experience as you're going through and creating expense reports booking your travel so if we think about this now from that persona where we have Kenzie here who she travels frequently to meet with customers and she really wants a simple experience that's going to keep her focused on her work and not booking travel and doing expense reports no one's job is to is to do that we want to make sure she can focus on her particular role so if we think about when we travel kind of a natural interaction is maybe i get a message from my manager here hey we need you to be on site for a workshop with a customer here and we're just having this natural conversation say through microsoft teams and just asking for a little bit more information on this trip what's the customer need and you know getting that response back of you know looks like it's going to be a workshop at their office in new orleans so kenzie will reply back okay great let me look for flights and hotels and I'll get back to you once once everything is booked so the natural assumption here is that we're gonna go into concur to book that trip where that is generally the the correct assumption here but we want to make this experience easier we want to leverage the AI to really make this a smooth experience for Kenzie to book that trip so all she actually has to do now is go into the co-pilot here and just make sure that jewel is enabled directly in uh microsoft co -pilot and within teams here so she actually does not even have to log in to concur to book her trip she can just come in and say hey i need to book a flight in a hotel obviously we're going to need a little bit more information than that where she's coming from where she's going and when but she can provide that information that she needs to take a trip from chicago to new orleans on these particular dates and it's going to go out to concur and bring that data back for her on the available flights that she can choose from and within this we can see all of the detail and then go in to look at these specific fares on these flights and see what's in policy or even you know make sure we're continuing to enforce policy and not allowing any out of policy flights so we can go ahead and select that fare then it's going to bring back our return flight information we'll select that as well and then from there we can make sure that again we're staying within policy this is constantly connected to concur but we actually don't even have to log in there so we're going to go ahead and book that flight we're also going to want to get a hotel which jewels asking us if we want to do that yes we want to get a hotel close to the customers office here so it's going to bring back those results as well where we can see all the details of the available hotels and we can go in and and view the available rooms again what's in policy what's out of policy we'll stay definitely compliant with this one and then we can go ahead and book that hotel as well so again it's it's not even having to log into the concur tool be able to stay right here in teams where i'm having that conversation with my manager about this trip why not just go ahead and book this trip right now and then from there thinking about you know when we're going out on a trip so thinking about when Kenzie's starting her trip and she gets to the airport and she's going to want to get some breakfast right she stops at the coffee shop maybe it's a coffee or some breakfast and she can actually now get a text directly from concur alerting her that hey we saw you made this charge at the coffee shop do you want to capture that receipt now and through text messaging with concur you can actually say yep let's let's make sure we capture that receipt take a picture of that receipt right then and there and send that back to concur which will automatically create that expense for kenzie which will be waiting for her one after the trip just to throw on her expense report and get that submitted but just a simple way to capture receipts for my expenses as I'm out traveling and then thinking about as we're on this trip we're going to visit a customer and we're gonna go meet that client now for dinner but I am thinking as the traveler here oh wait what can I spend for dinner well this is where we can leverage Juul to ask that question so Juul has the capability to look at your customer documents so customers can now load their policy directly into concur and jewel can read that information so when they have this conversation and ask questions it's not just referencing various sap knowledge articles on processes it's actually looking at customer documentation and saying you know you can take this client out to dinner for up to 150 dollars per person which includes food beverages etc so it's giving that information while i'm out traveling again so i can stay compliant and have the information i need as a traveler and then ultimately thinking about this you're we're incurring various expenses on this trip we're back home now we need to get ready to submit that expense report so when i log in to concur i can go in and take a look at all of my expenses but the great part here is now with the AI agents that are out there we have an expense report that's already created for us so we have this report created for a trip to New Orleans that already has ten different expenses on it being that we have the travel booking information we have the pictures of receipts that they've taken or the receipts directly coming in from suppliers or we have the credit card charges that are automatically coming in as well. There's a lot of information that can be pulled together to automatically create this expense report. So it can pull all of that data together and have an expense report that's essentially created for me. All I have to do is make sure there's no policy violations, which I don't have any here, and get this submitted. So it's really simplifying the overall process. And, you know, looking at it even a step further, if I think about that meal that I had with the customer we're gonna need to be able to track the attendees for that to make sure that we accurately put that information into the system well that's another area we can continue to leverage the AI so when I look at the attendees here it's actually going out to my Outlook calendar and bringing that information in so I had that meal with the customer on my calendar it's bringing those in automatically for me so I don't even have to think about that process it's already there for me along with the picture of that receipt and then from here all i have to do is go ahead and submit my report and i'm done it's really that simple by bringing these ai agents together bringing all of that information together to have that expense report that's building itself and at the end of the day saving me time again no one's job is to do expense reports and that's why we bring these agents together to make this process extremely simple and save people time so they could focus on their actual roles now from there thinking about this we want to look at this we have all that travel data all of that expense report data what can we do with this data to get better insights and really get more even actionable insights and strengthen overall compliance and oversight and just gets better smarter data so we want to look this again from maybe from molly's perspective who was that administrator but she also works very closely with the accounting team and the controller to really assess the overall impact of travel and expense on the business and she really needs data-driven insights to identify those opportunities to to improve the program overall and make better decisions across the organization So we're going to go into here and look at this data through the SAP Business Data Cloud. And all of this data can come in from the Concur tool to show us our overall spend, maybe spend versus budget. How compliant are we? What is our reimbursement process and how long is that taking? Or just look at various areas of our spend trending month over month, the total spend by supplier, our top payment types, whatever the case is this is all great data but what do we do with this data we need more actionable insights here and that's where we're leveraging the ai to really give us that information so you can see on the right here that we're seeing some uh insights here that is showing that the south region of this organization is seeing quite a bit higher spend than last year and part of that may be due may be due to that they're not using as much as the preferred supplier they're only doing at about 50% of the time using preferred suppliers versus the rest of the company doing quite a bit higher than that. And, you know, even looking at information that the AI has, there's no one-time events or big events going on that it can see that's contributing to that higher spend. But we can go in and actually look at the details of this and have this filtered down, specifically down to that south region where we can see the spend by department or where various departments are maybe a little bit too close to their budget or where exactly that spend is happening and what the different spend categories are. But again, this is great data, but what do we do with this data? How do I take action on this? This is where we can continue to leverage jewel and why don't we ask jewel what we can do with some of this data or give us better insight into this where we can say hey why is the spend in dallas so high uh well we could see that within this that we have two departments here sales and engineering that are are the bulk of the spend do you want to dig into uh the engineering department here and see some of the short-term opportunities that we could help put some control around this spend. So we can see here through some enhanced analytics that we are seeing that there's a lot of last minute bookings happening. So 32% of the bookings are happening in less than four days, which usually drives up the cost. We're also seeing a lot of agency bookings, meaning they're not doing it within the concur tool. They're actually reaching out to the agency, which can also increase costs. And then we're also seeing that they're not always using preferred suppliers or carriers in this instance as well. So we can create audit rules around that, but we're getting that insight directly from Juul here. But maybe we want to actually look into the sales department here as well, and we can look into that data as well. And this is where this really becomes significant within this business data cloud, is that some of the responses that'll come back here from Juul is saying sales is the number one spending department in that area but before we start putting stricter controls or cutting the spend there we need to really look at that their overall pipeline within that department versus their travel spend because we're actually seeing a very large increase in the overall pipeline that the Dallas sales team is generating. So that could be the reason why there is such an uptick in the travel spend. So we don't want to affect that. So it's giving you that insight to really make broader business decisions here. And it's connecting out to the CRM tool, their SAP CX tool. So overall, the business data cloud can bring all of that data together to not just look at the travel expense data even that know that might be the driver here it's giving you broader business insight to say don't just cut spending because that's going to have an effect on revenue here so we want to make sure we keep those same controls in place for the for the dallas region but maybe we want a to put together a higher budget for them to make sure they can continue to generate that revenue without going over budget and thinking about that why not leverage jewel to help us create that budget proposal and get that information out to the cfo or the controller or whoever needs to review that so just another way we can bring in actionable insights and actually have ai assist on those actions to improve the overall business so overall a lot of significant enhancements leveraging ai from end to end whether that be for the administrator up front for the system, for the traveler themselves, or for those on the back end reviewing this data and making broader business decisions. So I really hope you saw the value of how SAP Concur is leveraging AI and really bringing the future of travel and expense into businesses across the globe.
