Utilizing PMO Dashboard in SAP Fieldglass

Did you know that program management office users can access and utilize the PMO dashboard? The program management office or PMO dashboard, is functionality within SAP Fieldglass that provides a PMO user a singular dashboard view of items that have not been acted upon in a timely manner or that require action to be completed. This dashboard, which is accessible from the Fieldglass homepage, reflects the items within there listed modules which originated from two core categories and SAP Fieldglass:  Pay & Procure Each individual module has a set of scenarios which the buyer can establish both critical and warning thresholds for. And only the scenarios which had been enabled and defined in the "Thresholds -PMO Dashboard page" will ultimately be displayed. Each scenario will reflect the count of items that require action. And the designated user can click into the count to further see list views & detailed page views of those items. The dashboard allows users to view their daily tactical items within one central area. As it can be used to monitor various modules across Fieldglass, including the following, which are customizable by the buyer. Pay related modules: Time & Expense sheets, SOW line items, Invoices and Consolidated Invoices.  And the Procure related:  Job Posting, Job Seeker, Work Order, Work Order Revision, SOW / SOW Revision, Supplier Qualification, Worker,  Onboarding & Off boarding activities and Decision Forms. The thresholds that are available vary based on each module and can reflect different scenarios, such as: Timesheets awaiting approval, Job Postings Unfilled, Work Orders awaiting approval, etc. Initially, it is required that the PMO dashboard is enabled within your company configuration. You will need to contact an SAP Fieldglass support representative to request this if it's not already enabled. Second, you must enable the PMO dashboard flag within each user profile for those who will need access to it. This flag will be displayed under the Feature Access section of their profile. Lastly, you need to set up access for the proper User Role to establish the PMO dashboard thresholds. This permission is enabled within the User Role section, where you can determine whether the user can view and or manage the aforementioned thresholds for the dashboard. Please note that the access granted at the role level will apply to all users within that given role. Data displayed on each user's PMO dashboard will be dependent on the user's master data associations and their applicable filter configurations, visibility to core master data such as Business Units, Cost Centers, Sites, and/or Legal Entities, will ultimately reflect or suppress the items that are seen within their specific dashboard metrics. An authorized administrative user for the buyer should also enable appropriate messaging tied directly to the management of PMO dashboard items.  From the admin configuration page under the messaging section, buyers can enable specific messages under the module: Thresholds-PMO dashboard. Here the buyer should define and dictate the email message templates for each configured threshold activity, which can include the message details as well as an associated Work Item, and/or Escalation as part of the configuration. Let's say you have created a threshold for time sheets that have not been submitted.  With that specific definition reflecting time sheets in a draft status with an end date more than 14 days ago, classifying a critical status and seven days ago reflecting a warning level status. As the PMO user, you need to review these items & would like to send a follow-up email or note to the applicable users regarding these items that have gone untouched and are incomplete. Upon logging into SAP Fieldglass, a user will land on their applicable homepage configuration and select the PMO dashboard on the left side of the screen. Immediately seen beside analytics. The user will open a new page and Fieldglass and promptly establish the applicable filters for the data to be displayed in the PMO dashboard. In this example, the user will select "All" for the view type, as well as choosing "All" for the Labor Type, Cost Center, Site, Location, Business Unit, and Suppliers. Since the user is interested in the time sheet data for contingent workers, they will choose "Contingent" from the document type drop-down selection and mark the radial button under "Only show items requiring action" as YES. Once all the selections have been established, the user will click "Apply Filters" to refresh and populate the PMO dashboard accordingly. As seen here, the results show a total of 1377 critical items requiring attention & 157 items with the status of warning across all of the configured modules for the dashboard. By clicking into the timesheet module tile specifically, the user will now see the data for that particular object in further detail. Where a subset of 1148 items are showing critical and 136 are in warning status. Once clicked into, the dashboard reflects additional details based on the specific thresholds that have been defined for that given module. The results show that of the 1148 total critical time sheet activities, only a count of 1007 are "Not Submitted" while 141 are "Awaiting Approval." Since we are only looking to manage  the unsubmitted items, the user can click onto the 1007 critical count for further information. Clicking into the count now opens the List View details of all time sheets not submitted with their applicable Fieldglass IDs and associated details. A user can look to perform several actions from the ListView. They can select multiple or single lines and then choose "Email" or "Notes" which will then submit a notification to the defined e-mail recipients. They can also click into a specific time sheet ID and look to take further action within the object itself. If relevant. Here, the user will choose to select all time sheets available on the page and click the Email button to notify the applicable parties the status of the unsubmitted time sheets. Clicking the email button generates a pop-up window where the user can add an optional note stating, "Please review these asap as they are in critical status." The user clicks "SEND" to complete the notification. Some best practices to consider when using the PMO dashboard are: The designated user or role responsible for configuring the PMO thresholds should have a strong grasp of all program areas & business processes in order to ensure that these thresholds are timely and relevant per module. Threshold should also be reviewed on a regular basis and particularly if any business processes have changed to ensure that they are still useful to the PMO dashboard users and in line with the businesses applicable workflows. Items in action shown on the PMO dashboard should be monitored regularly. SAP Fieldglass encourages users to check their PMO dashboard daily and to act upon items when required to prevent a buildup or backlog of essential program tasks. The SAP Fieldglass PMO dashboard is an extremely robust, flexible, and customizable tool that allows applicable users a central location to manage both important and critical items needing action. Through filters & messaging options, users can quickly notify others in mass on items that require escalation & action, as well as being able to link directly to individual objects themselves that they may be able to close, amend, or resolve individually. That's a quick review of how PMO dashboard works.
