Utilizing Proxies and Delegates in SAP Fieldglass

Did you know SAP Fieldglass offers proxy and delegate functionalities that allow users to designate others to take action on their behalf? There are occasions in a company's operation where they may need to grant specific users temporary access to work items that are not configured to route to them. For this purpose, SAP Fieldglass offers two functionalities that can achieve this, proxy and delegate. The proxy feature allows a user to designate another user to receive their work items and take action on their behalf. The use of proxies ensures the workflow of documents, such as approval of timesheets, continues uninterrupted if a user is unable to take action during a period of time. For example, if a user is out on leave, a proxy can be established and the user's work items will route to the established proxy for the time period selected. The delegate functionality, on the other hand, not only allows assigned users to act on work items, but also lets them perform additional tasks, such as reviewing and hiring job seekers, managing interviews, and revising workers. If a delegate user is configured, that allows one person to access another SAP Fieldglass account entirely, to take any action he or she would like. Therefore, as a delegate, the user has the same visibility and permissions as the original user. Let's say that Mavis, one of WorkingNet's hiring managers, is going on a two-weeks vacation and wants to make sure her employee's timesheets are approved during her absence. She makes use of the proxy functionality by assigning Patricia as her proxy for approving any timesheets that may route to her user account during that time. This is how Mavis assigns Patricia as her proxy. Proxy. First, she selects her user profile icon in the top right corner. Then, she selects My Profile. Under the Proxy and Delegates section, she selects Edit. And then, Add Proxy. Since Patricia should only approve Mavis' workers' timesheets, she selects Timesheet. date. She then selects the proxy drop -down and chooses Patricia Protector. Since Mavis knows exactly when she is coming back, she will specify a start and end date for the proxy relationship. Note that these dates are optional. She first selects the start date field, and then selects December 19th as this is her first day out of the office. Now she specifies when she is coming back by selecting an end date. She selects January 6, 2023. After this, she selects Add. By default, when selecting a proxy for a specific user, only other users with that same user role or in the administrator user role can be selected as proxy. If needed, it is possible to associate other roles so that proxies can be selected from different roles. It's also important to note that the proxy relationship will only work for new work items. Existing work items are not sent to the proxy after it has been assigned. And that is how users in SAP Fieldglass can effectively utilize the proxy and delegate functionalities.
