Working with Access Control in SAP Ariba

This video will review access controls within SAP Ariba Guided Sourcing. Access controls can easily be applied and are found on many Ariba strategic sourcing documents and objects, such as guided sourcing projects, contract requests, contract workspaces, templates, reports, or folders and documents within projects. Access controls are SAP Ariba strategic sourcings way of restricting the viewership of projects and documents to select Ariba users working within the same site. After the project has been created, the project owner can go to the project summary panel, which includes an access control field that would apply to the entire project. The same can be done in the overview tab of a contract request or contract workspace. access controls do not need to be applied to documents within this project, both all documents within the project inherit the access controls set at the project level by default. There is a list of available access controls to choose from. Be careful when selecting multiple values for an access control. If a project has private-to-team member access control along with finance information, the private-to-team member role will take precedence. That means if a user belongs to the finance system group and is not a project team member, they will not see the object in question. Only if a user has all the permissions required by the access control can they view it unless it is marked as the owner-only access or team member-only access, which takes the highest authority. Another thing to keep in mind is that if an access control is applied to a document instead of a project, all tasks for the document will also be protected by that access control. Some common access controls are private to team members only and owner only because they are related to people within the team tab of the project, and you can add individual users or system groups selectively by a search. The other common access controls are based on system groups, which are financial information and legal information related to the finance and legal system groups, please refer to our documentation for details on this feature or anything in today's access controls demonstration.
