Working with Cash Advance Administrator in SAP Concur

You use the Cash Advance Admin feature to review, issue, send back or approve cash advance requests, record manually returned cash amounts from an employee, and view employee balances. Select Cash Advance Admin. You can use the Employee Balance tab to search for existing cash advances, with or without outstanding balances, and to create and issue a cash advance, if configured for your site. You use the Cash Advances tab to search for cash advances that have not yet been issued. You can search for employees by specific employee information such as employee name, oldest cash advance date or cash advance balance. Enter the name of the employee. Select the and belong to group drop down arrow. The default filter is all groups I can access. You can select a specific group to narrow your search results. Select the appropriate group. Select Search. Select the appropriate employee from the search results. To change the filter for the cash advances list, select the show only drop down arrow. There are several options in the list. Active Cash Advances, all cash advances that are not cancelled or completed. Approved Cash Advances, all cash advances with the status of approved. Issued Cash Advances, cash advances that have been marked as issued. Cancelled Cash Advances, all cash advances which you have chosen not to issue. Completed Cash Advances, all cash advances which have been approved, issued, fully utilized, or returned. All Cash Advances or failed cash advances. Select the appropriate option. Select a cash advance name to view the details. You can view the cash advance amount and purpose along with any comments linked to the cash advance. To view associated expenses, select the Expenses tab. All reports and expenses tied to this cash advance are listed, along with a running total of any unused amounts. In this example, the employee used all of the cash advance and accounted for it in the displayed expense report. Select Cancel. Select the Cash Advances tab.  The cash advance administrator cannot create a cash advance for an employee.  A cash advance request must come from an employee. Once a cash advance is requested by an employee it goes through an approval process and is then sent to the cash advance administrator. After the request is received you can issue or reject the cash advance. To search for all pending cash advance requests for this employee, select Search. Select the appropriate cash advance request. For a cash advance request that is in a foreign currency, you can enter the appropriate exchange rate for the advance. Select Cancel. When you issue a cash advance, your standard accounting extract (SAE) from SAP Concur, will contain a payable from you to the employee. In general, cash advances are issued in the same manner as reimbursements for out-of-pocket expenses, for example, through payroll or by writing a check. To approve this request, select Issue. To return the request to the employee for corrections, enter a reason in the Cash Advance comment field and then select Send Back to Employee. This concludes the video.
