Working with Corporate Ghost Cards in SAP Concur

A Corporate ghost card is a form of payment your company can use as an alternative to issuing a credit card to each employee. Corporate ghost cards are also referred to as lodge cards, company paid cards, and direct bill cards. Ghost cards are assigned to individuals or groups of travelers, making it easier to reconcile spend and track the cost of travel within specific departments. Company admin and corporate ghost card admin permissions are required to access your corporate ghost card setup. Place your mouse pointer over Administration. Select Company Admin. Scroll down to view the Travel Administration section. Select Corporate Ghost Cards. From the Corporate Ghost Card Admin page, you can add, modify, and delete these forms of payment. Select Add New Corporate Ghost Credit Card. Before you add or update a form of payment, as a best practice, we recommend that you gather all the necessary information, such as credit card information, who can use the corporate card and when they can use it as a form of payment. Note: the ghost card name cannot contain any special characters. Enter the corporate ghost credit card name. Select the Owner from the drop-down menu, if needed. Do not enter dashes, spaces, or periods in the credit card number field. Enter the credit card number. Select the Card Type from the drop-down list. The expiration date is the last day of the selected month. Select the expiration date from the drop-down menu. For this example, verify that all travelers is selected to have this card apply to employees and guest travelers. You can select guest travelers only if you don't want the card to apply to employees. Verify the appropriate air, rail and hotel requirement checkboxes are selected for this form of payment. Your selection depends on how your company and the TMC want the card to be used. Note that if you allow travelers to book travel with another card in their profile, you will need to confirm that the Force users to choose a credit card travel configuration setting is selected in the travel system. Admin - Form of Payment options. Verify that the appropriate use checkboxes are selected. Note that if you allow travelers to use the ghost card for anything other than air, they will see the ghost card as a form of payment option. If you want to allow this ghost card to be used for instant purchase carriers, select the checkbox, as shown. If Allow Instant Purchase Carriers is selected. Choose one selection from the drop-down menu. Never: Selecting this option will not allow this card to be used for travel fusion bookings. If CVV is not required: selecting this option will allow this card to be used if the vendor does not require CVV verification. Always: this option will always allow this card to be used. Select the Allow Form of Payment API access checkbox to allow this corporate ghost card to be passed to third -party vendors, such as Triplink and Fulfillment TMCs. If your card is an AirPlus card, in the Do not send AirPlus card to GDS as guarantee for field, enter the appropriate vendors such as Avis, Budget, and Enterprise that do not accept AirPlus as the form of guarantee. Complete the billing address as needed. Scroll down to continue. Permissions for the ghost card are assigned in one of five ways. Org unit/division, Attribute (User Custom Field) and Value, Travel Configuration and/or Sponsored Non-Employee travelers, Users and Groups. For this example, you will see how to select the Users and  Groups that include the travelers that can use the ghost card. Select the right arrow to move the selected users and groups to the users by groups with this Corporate Credit Card field to grant them access to the ghost card. Note: You can find information about groups in the Company Administration User Guide. When you are done entering the card information, selecting properties, and assigning permissions, select Save.  To return to the main Corporate Ghost Card Admin page, scroll down. Select Back to Corporate Ghost Card Admin. To modify an existing ghost card, select it from the Modify Corporate Ghost Credit Cards by drop-down menu. Note that there isn't an option to revert ghost card changes, so you need to make sure that you are updating the correct card. For this example, you will see how to unassign a group from the ghost card. You can search for cards by name or the assigned groups or users. Note: refer to the Company Administration User Guide for additional information on groups. Select Groups. Select the Company Group drop-down arrow. Select the appropriate group. Select the Corporate Ghost Credit Cards for this Group that you want to unassign. Select the left arrow button. Select Save. The group has been removed from the ghost card. Select Back to Corporate Ghost Card Admin. To delete a corporate ghost card, select the Corporate Ghost Credit Card drop-down arrow. Select the card you want to delete. Scroll down. Select Delete. Select OK. The card is deleted and you are returned to the main page. This concludes the video.  Thank you for watching!
