Were you able to accommodate their travel preferences? How did you provide reimbursement for their out-of-pocket expenses? During this video, you will use the Sponsored Guest User feature to manage certain global settings and system behaviors for them. </p></div></div>

Working with the Sponsored Guest User Feature in SAP Concur

Sponsored guests are non-employees who need to be Reimburse for expenses. SAP Concur Sponsored Guest feature provides more visibility and control for guest travel and expense. During this video, you will use the Sponsored Guest User feature to manage certain global settings and system behaviors. To access Sponsored Guest User, place your mouse pointer over Administration. Select Company Admin. In this example, as the administrator, you will designate the guest user as a candidate for hire so that the HR department can track their travel and expense. Select Company Settings. Select Allow Sponsored Users checkbox. Select Save Changes. Select the Allow Sponsored Guest Users to add credit cards for travel booking checkbox. Select Save Changes. Select the Allow Sponsor to Add New Sponsored Guest Users checkbox. Select Save Changes. Select the Allow Sponsor to Set/Edit Sponsorship Termination Date checkbox. Select Save Changes. To assign the sponsor permissions, select User Permissions. Select the Modify Permissions by drop-down arrow. Select Users. Select the Username drop-down arrow. Select the appropriate user. Scroll down to select the sponsor permission. Select Add to assign the sponsor permission to the user. Select Save. Select User Administration. Now you will designate the guest user as a candidate for hire. Select Add New User. In the General Settings section, enter the guest user information. Note: login IDs must be unique across all Concur configurations. We do not recommend using a guest's email address as their login ID. Consider using a special convention for guest users. For example, will.never@sample-guest. Scroll down to the Non -Employee Settings section. Select the Non-Employee User Type drop-down arrow. Select Candidate for Hire. To select a sponsor, select Edit. Enter the name or partial name of the sponsor. Note that only users with the sponsor permission can be searched for and assigned as the sponsor for the guest user. Select Search. Select Select. Select in the Sponsorship Start Date field. Select the appropriate date. The Sponsorship End Date field controls how long the guest user can book travel. Note that administrators must use the account termination date field to completely terminate the user's access to SAP Concur. Select in the Sponsorship End Date field. Select the right arrow icon to advance to the following month. Select the appropriate date. Select Save. If the guest user is hired by your company, you can select Make User an Employee and then make the necessary rule class, group membership, and other adjustments. If you need to add another sponsorship, select Add Another Sponsorship. Scroll up to save the guest user's information. Select save. The sponsor can add or terminate guest users from the sponsored guest users section of their profile. They can also allow the sponsored guest to use any of their credit cards for a given type of travel such as air, car, and hotel from their profile.
