Working with Travel Request Processor in SAP Concur

As a Request Administrator, you can perform various tasks for requests that have been submitted and belong to your assigned group(s). Select Process Requests. The system automatically displays all requests that have been approved by management and are ready for processing. The Request Processor tool can also be used to search for any request that has ever been submitted in the site. You can perform an ad hoc search by using the dropdowns in the Find Every Request Where area and selecting the Go button. Select the Run Query drop-down. This drop-down allows you to run some predefined queries. Requests Ready for Processing displays the requests that have been approved by all required managers and are ready for a final review and approval by the processor. This is the primary query that processors use. Requests Pending Approval displays the requests that are awaiting manager approval. Requests Pending Approval with an Approval Limit Date displays the requests that are pending manager approval that will be auto-canceled or auto-approved by the airline if they are not approved by the approval limit date. Requests Approved Without Expense Report displays the requests that are approved but have not yet been associated to an expense report by the user. Event Requests displays the requests that are linked to specific events. Select Requests ready for processing. Select the Create Manage Queries drop-down. This drop-down allows you to create and edit your own custom queries. The queries you create will appear under the Run Query drop-down. Select the Group button. This button allows you to filter your view to only show requests that belong to a specific group. Please be aware that you can only see requests for the groups that you have previously been assigned access to. Select the appropriate group and then select the OK button. The requests from that group are displayed. Select the List Settings button. This button allows you to control what data elements appear in the display. Select the checkboxes for the fields you want to add and clear the checkboxes for the fields you want to remove. Select the appropriate fields, and then select the OK button. The added fields appear on the right side of the display. You can drag and drop them to change the order of the columns. Select the Preferences dropdown. This dropdown allows you to define some preferences for how the Request Processor tool behaves. You can set your preferred default query, including your custom queries. You can define how many requests appear on the screen before you must advance to the next page. You can activate a setting to automatically open the next request in the list after you have taken an action on the current request. Select the Open Next Request in List After Workflow Change checkbox. Select anywhere outside the dropdown to close it. As a processor, you can open, review, and modify the request as needed. Select a request to open it. The Expected Expenses area shows you all individual expenses the user expects to incur on their trip. This includes travel segments like flights and trains that will be booked in Concur Travel, as well as non-travel items such as meals and office supplies. You can select an item to review the details. Select the Request Details drop-down. The items under this drop-down let you review additional details related to this request. Edit Request Header allows you to view the data the user entered on the Request Header page. Request Timeline allows you to view the previous approvals of this request and, depending on your configuration, add more approval steps to the request. Audit Trail allows you to view what has happened to this request so far, including what audit rules have been violated during the process. Please be aware that the items under this drop-down will vary based on your company's configuration. Select the Print/Share drop-down. This drop-down allows you to print a paper copy of the request, save it as a PDF, or email it to other stakeholders who wish to review it. The options available under this drop-down vary based on the configuration. Select the Attachments drop -down. This option allows you to view any attachments the user included with their request, as well as add additional attachments. Select Manage Travel Allowance. This drop-down only appears if the user has the option of adding travel allowances to their request. Request processors can use this drop-down to review or adjust the user's allowances. Once you have reviewed the request, you can use the buttons on the right to take the appropriate action. The available options will vary depending on the configuration. You use the Approve button to approve this request and send it to the next step of the approval process. You use the Edit Approval Flow button to add more approvers to the process and edit any approval steps that come after the request processor step. You use the Approve and Forward button to approve the request and add additional manager approval steps to the process. You use the Send Back to Employee button to send this request back to the employee for corrections or deletion. This concludes the training video.
