Working with Vendor Manager in SAP Concur

You use the Vendor Manager tool to manage the list of approved vendors within the invoice system. Using this tool, you can manage the list of vendors, import lists of approved vendors, manually match user -requested vendors to approved vendors, and assign a default expense type to vendors. In this demonstration, you will see how to import vendor lists, match vendors, and assign a default expense type. Select the Invoice application. Select Vendor Manager. In the Vendor Manager, you will see four tabs. Manage Vendors, Import Vendors, Import Vendor Access Mapping, Manage Default Expense Type, and Vendor Mapping List. On the Manage Vendors tab, you will see a list of User Requested vendors. A user-requested vendor is a vendor that a user manually entered and that needs to be approved by the Vendor Manager. To review the list of approved vendors, select View. Select Approved Vendors. You will see a list of approved vendors. To take action for a vendor, select the vendor. Select Actions. You will see a list of the actions that are available for each vendor. To import new vendors, select the Import Vendors tab. You use an Excel template to import lists of vendors. To begin the import process, select Download Template. Open the downloaded template. In the template, complete one row for each vendor. The red fields are required. Refer to the user guide for questions on specific fields. When the file is complete, save it to your computer or network and then close the file. To import the file, select Browse. Select the file to import. Select Open. Select Import. The import summary will show the results of the import. Select Close. Select Manage Vendors. The vendors that you just imported are automatically listed as approved. In the next example, you will see how to manually match a user requested vendor to an approved vendor. Select View. Select User Requested Vendors. Begin the matching process by dragging the user -requested vendor to the lower left area of the screen. Next, from the Approved Vendors list, drag the matching approved vendor to the lower right area of the screen. Select Match Vendors. The vendors are now matched. Select Manage Default Expense Type. In this example, you will see how to set a default expense type for a vendor. To set the default expense type for a vendor, select the vendor. Select Assign Default Expense Type. Select the appropriate expense type from the list. You can also use the Starts With box to search for a specific expense type. Select the appropriate expense type. Select assign. The default expense type is now assigned to this vendor. You can also assign the default expense type during the vendor import process. If needed, users can select a different expense type when they create a payment request. The Import Vendor Access Mapping allows you to map vendors to a designated, named vendor group. This limits the invoice user to only the vendors available to them within the group that the user is assigned to. This process mirrors the import vendors template feature. Select Vendor Mapping List. You can assign an Invoice Owner that reviews all invoices relating to a specified vendor. Select the vendor to assign an owner to. Select Assign Default Invoice Owner. Search for the appropriate user. Select the search icon. Select the appropriate owner. Select Assign. The new Default Invoice Owner is assigned to this vendor.
