User Master Records

To log on to the SAP system, a user must have a user master record and a corresponding password. In the user master record, a user menu and the corresponding authorization profiles are assigned to the user. This is done by assigning the user to one or several roles.

The following table defines the terms that are relevant to user master records:

The assignment of users to roles safeguards the integrity of business data.

User menusUser menus provide access to the transactions, reports, or Web-based applications contained in the roles. A user menu should contain only the functions that a user typically performs at work.
Authorization profileAn authorization profile is generated for the activities contained in the role. This authorization profile defines the boundaries within which the user may perform actions in the SAP system.

Create a User Master Record

Business Scenario

Your personnel administrator requires a user master record with a specific role. You want to create this user master record such that it contains a user menu with the required options to perform daily tasks specific to that role.

Create a user master record for the personnel administrator with the required details. Assign an initial password.

In this exercise, when a value or object title contains ##, replace ## by the number, your trainer assigned to you.

Steps

  1. Create a user master record for a dialog user PATEL-## for the employee 540995##, Iffat Patel. Maintain the address data with the entries of your choice.

    1. On the SAP Easy Access screen, choose ToolsAdministrationUser MaintenanceUsers (SU01).

    2. On the User Maintenance: Initial Screen screen, in the User field, enter PATEL-##.

    3. Choose (Create).

    4. On the Maintain Users screen, on the Address tab page, enter the following data:

  2. Assign the user group TRAINING, enter an initial password, and set up defaults.

    1. On the Logon Data tab page, enter the password in the New Password and the Repeat Password fields.

    2. Note it down:

      Password Patel-##: _______________________________________

    3. Enter TRAINING in the User group field.

    4. On the Defaults tab page, enter EN in the Logon Language field and set up a date and decimal format of your choice.

    5. Save your entries.

    6. If a confirmation pop-up displays, confirm it with OK.

    7. Return to the SAP Easy Access screen.

  3. Create a record of the Communication infotype (0105) with subtype System User Name (0001) for your employee 540995##.

    1. On the SAP Easy Access screen, choose Human ResourcesPersonnel ManagementAdministrationHR Master DataMaintain alternatively use transaction PA30.

    2. On the Maintain HR Master Data screen, in the Personnel No. field, enter 540995##.

    3. In the Infotype field, enter 0105.

    4. In the STy field, select 0001 System User Name (SY-UNAME).

    5. Choose (Create).

    6. On the Create Communication screen, enter PATEL-## in the System ID field.

    7. Save your entries.

    8. If an Information pop-up displays, confirm it with OK.
