Substitution and Validation - Journal Entries

Before a group journal entry is posted, the system performs checks to make sure that the data is complete and correct.

You can define your own substitution rules and validation rules for this data check in the Manage Substitution/Validation Rules - Group Journal Entries app to validate, derive, or replace values for the relevant fields of a business context at the time of entry.

Validations check the values entered for the relevant fields or functions defined in the group reporting validation rules. When a value entered doesn't comply with the rule, a warning or an error message can be raised which helps to correct the values entered if necessary.

A substitution derives, replaces, or clears values for the relevant fields or functions defined in the substitution rules. The substitutions take place at the time of data entry with no system messages.

You can create substitution rules, for example for the following business processes if you select the GR Journal Entry Item context in the Manage Substitution/Validation Rules- Group Journal Entries app:

  • Consolidation Process

  • Analytics for Group Reporting

  • Journal Entries.
