Working with Attendees

Objective

After completing this lesson, you will be able to describe how to configure Attendees based on your business requirements.

Introduction

In this unit, you will refresh your knowledge of the Attendee configuration tools that you learned about in the Concur Request Configuration Tools Overview unit. You will also learn how Attendees are configured.

Attendees Overview

For some expenses, such as business meals or entertainment, employees may be required to identify all Attendees associated with the expense.

Attendees can also be used in Concur Request, like in Concur Expense. Some customers may want their employees to indicate in advance who will attend an event they are paying for and how much money they estimate for each attendee. In some industries, there are limits to how much money they can spend on an attendee in a specific time frame, so this may be critical information to know in advance.

The Attendees feature in Concur Request can be used on expected expenses but not segments. The feature in Concur Request does not have the same range of options as it does in Concur Expense. For example, the "no shows" feature does not exist for requests because the event has not occurred yet.

Configuring Attendees

Most of the configuration for this feature is completed in Concur Expense, even if the sites are not going to be integrated. If Concur Request is integrated with Concur Expense and the Attendee feature is already configured for Concur Expense, you do not have to configure it again for Concur Request. The business owners of the expense and request processes should stay in sync about how Attendees should function within the two sites.

What Configurations are Done Where?

Most of the configuration of Attendees is done in Concur Expense, but some of it is done in Concur Request. How do you know where to go to affect each area of the Attendees functionality? The table below will point you in the right direction.

As you can see, the only thing you need to do in Concur Request is adjust the settings for how Attendees behave on a request.

Keep in mind, not all customers have full access to all primary configuration tools, unless they've completed the Advanced Configuration Training.
