Collaboration is crucial in SAP LeanIX, enhancing user participation in enriching and validating data. In addition to quality seals and subscriptions, features such as surveys, comments and to-dos also support collaboration with your organization's enterprise architects.
Leveraging Collaboration for Data Collection and Maintenance
Objective
Supporting Collaboration Features
Surveys
A survey is a collaborative way to efficiently gather information from multiple stakeholders. When surveys are sent (by workspace admin or other user roles for whom admin enabled permissions), responsible contributors are notified in the survey tab and via email. Responses automatically update relevant fields in the fact sheets if fact sheet elements are included in the survey.
In the walk-through below, you'll see where to find the survey, how to fill it out, and where the results appear in the fact sheet.
Comments and Tasks
The comments tab is available on all fact sheets. When a comment is posted, responsible persons are promptly notified. This feature enables enterprise architects to propose updates or seek clarification without altering the fact sheet content. It also allows direct support requests from the responsible person, avoiding email and excessive communication.
To-dos in SAP LeanIX allow you to create manual tasks as part of automated sequences. They can be assigned, received, and managed from the collaboration tab, which provides a complete overview of all to-dos. SAP LeanIX sends instant notifications for new to-dos and reminders for overdue tasks, which can be customized in: my settings→ notifications.

The comments section is available in all the fact sheets. As a member user, you can add, reply to, or delete your comments or comments by others. You can post comments directly in this section. Comments made during quality seal approval or breaking are also visible here.
- Step 2: Adding action item on a to-do list
- ‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾

Next to the comments section, you can see a to-do section where you can add action items, which will appear in your to-dos, or ask questions, which will appear in your comments questions.
If you want to create a manual to-do task, click on add action item, add title, description, assignee, and due date, and click on add. This item will appear among your to-dos in the to-dos section and in the collaboration tab.
- Step 3: To-dos in collaboration
- ‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾

In the collaboration tab, you can see to-dos that have been assigned to or created by you and surveys assigned to you (e.g., the ones that you would receive to fill in your data).
- Step 4: Mark a to-do as complete and filter to-dos
- ‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾

You can see your to-do list in the to-do section and mark items as complete when done. Additionally, to have a specific overview of your to-dos, you can filter them by clicking a + button and choosing which filtered option you want to see.
