SOW Worker Roles

Adding SOW Worker Roles is the fifth step in the creation of an SOW.

Though a statement of work is used to define a project—scope, timeline, deliverables, etc.—many projects will require specific roles to be filled in order to achieve the defined results, such as project manager or architect or accountant. This fifth step, adding SOW Workers, is where you define the specific role(s) necessary for completing the project.

To be clear, you're not literally assigning specific workers to the SOW—Joe Worker, for instance, is not being selected to work on the project. Instead, you're defining the types of workers that will be needed; the roles that will need to be filled.

For instance, if a project requires a software implementation specialist, that role will be added to the SOW. However, if no specific worker roles are required for a services project, SOW workers do not be defined and this step can skipped.

Any roles added here are derived from the SOW Worker Role admin object, which must be created before the SOW and associated to a supplier. This admin object is used for reporting purposes and helps ensure the worker's rate is accurate.

Define Workers in the SOW

WorkingNet Networking, Inc., a global manufacturer of data networking equipment, is building several new distribution centers in several countries, while simultaneously implementing new logistics software and processes.

Their first new distribution center is being built in the US, in a suburb of Atlanta, Georgia, so WorkingNet will use the new Atlanta hub as their base of operations. Darius, the Logistics Manager for WorkingNet, is overseeing the project.

Darius has engaged CarryAll Consulting, a logistics design and implementation firm, to help streamline their logistics processes as well as implement the new software.

Together they determine that the project will take six months—from January 1st through June 30th—and will be budgeted at 300,000 USD. A payment of 75,000 will be made at 50% completion, and 100,000 will be paid at completion.

The project also requires SOW Workers which includes a project manager overseeing a team of five implementation consultants. The project manager's hours will be tracked and billed at 125 USD per hour and the consultants at 100 per hour.

In order to engage CarryAll, Darius will use SAP Fieldglass to create the statement of work.

Darius has already chosen the appropriate supplier and SOW template for the SOW he is creating, has added the details of the project, modified the legal clauses, and added the characteristics that will comprise the overall agreement.

Follow along as Darius now adds the project manager and consultant worker roles to the SOW.

Adding SOW Workers with the AI-assisted Recommends Roles Function

When creating Statements of Work (SOWs) in SAP Fieldglass, buyers often spend significant time and effort manually defining Worker Roles and assigning them to the appropriate Sites. This process can be repetitive and prone to inconsistencies, especially when working with similar SOWs or standard role structures. The AI-Assisted SOW Worker Role Recommendations feature addresses these challenges by analyzing SOW content and recommending relevant roles automatically for use by the buyer when creating their service contracts with suppliers.

This AI offering reduces the overall administrative burden on buyers, accelerates the SOW creation process, and helps ensure consistency across similar service projects.

The AI-assisted Worker Role Recommendations feature must be specifically enabled in the company configuration.

When enabled, a Recommend Roles button displays on the SOW Workers page; selecting this button launches a two -step modal that displays AI -generated role recommendations for buyer consideration and use. A standard AI Acknowledgment is required for acceptance before utilizing the feature.

The Select Worker Roles module displays and reflects a Recommended Roles list, allowing the buyer to select the checkboxes next to the roles they want to add, or simply to select the Recommended Roles checkbox at the top of the page to choose all recommendations.

After selecting suggested Roles, the buyer can add Sites for each role and finally select Add Roles to apply the selected role and Site combinations to their SOW.

After completing the selection process, the system adds each role and Site combination to the SOW Workers page in individual containers, following the existing display format.
