Centralizing Tasks with SAP Task Center

Objective

After completing this lesson, you will be able to explain the value, setup, integration, administration, and governance of SAP Task Center.

Introduction

SAP Task Center provides a single, consolidated inbox where users can access and process tasks from SAP and non-SAP applications. This lesson introduces how Task Center centralizes approvals and workflow actions, improves user productivity, and integrates with solutions such as Ariba, S/4HANA, SAP Build Process Automation, and Fieldglass.

Understanding Task Center is key for designing seamless user experiences in modern procurement and hybrid SAP landscapes.

SAP Task Center

The SAP Task Center service enables integration with SAP and non-SAP applications to provide a single entry point for end users to access all their assigned tasks. The tasks can be accessed by end users through the SAP Task Center Web app, SAP Mobile Start app, and SAP Start.

You can use SAP Task Center as a unified inbox for tasks across multiple applications with integrated user experience. Tasks from multiple SAP solutions are gathered in one list and ready to be processed in just one click, shortening the completion time for business-critical tasks. For example, business users can process all their tasks from the connected systems, without the need to switch and log in separately into different inboxes.

SAP Task Center offers an array of capabilities, for example:

Task Federation

Federate your tasks from various provider applications via a unified REST interface. Store them in a task cache for resilience and instantaneous access.

SAP Task Center for Task Processing

Access all tasks assigned to you in the SAP Task Center Web app. Search, sort and filter the tasks based on predefined criteria. Review task details and perform actions, or navigate to the native task application for full task details and set of actions.

SAP Task Center Overview

End users access BTP subaccount apps via Identity Services to SAP cloud and on-prem solutions.

Conventions and Technical Restrictions

These conventions and restrictions apply to the SAP Task Center.

Considering this information during development helps you achieve optimal use of the service.

Conventions

  • By default, during the initial pull SAP Task Center loads the tasks, which have been updated or created in the past 90 days (this is the maximum initial pull period).

If you are using the all-tasks service plan, the retention period of every task provider can be adjusted to a maximum of 180 days by configuring the tc.inbox.pull.days property. The allowed values range from 0 to 180. For more information, see the respective task provider destination at Destinations to Task Providers.

  • During the initial pull load, if SAP Task Center cannot retrieve a token in one hour, it automatically sets the tc.enabled property to false. To continue, you need to manually set the property to true.
  • SAP Task Center communicates with the task provider applications via predefined destinations in a customer subaccount. For each configured destination, SAP Task Center creates a connector to the provider application internally, which updates tasks from this provider into the task cache.
  • For every enabled connector (with the property tc.enabled = true), after the initial pull has passed, the task cache is updated with the recently created, modified, or completed tasks as follows:
    • If the tc.clientId property is set up for the enabled connector, then the task cache is updated upon received information by the task providers.
    • If the tc.clientId property is not set up for the enabled connector, then the task cache is updated every 30 seconds (the interval may vary).

Note

Currently the tc.clientId property is not available for every task provider.

  • A clean-up job runs on a daily basis for every tenant. This job deletes from the task cache the following tasks:
    • All finalized tasks (with status Completed or Canceled) that have not been updated in the past 1 day. If Outbox is enabled, only canceled tasks are deleted from the task cache.
    • All completed and non-finalized tasks (for example with status Ready or Reserved) that have not been updated in the past 180 days (this is the retention period)
  • To delete the task cache, you have to temporarily remove the tc.enabled property. For more information, see the details for the property tc.enabled in the corresponding destination topic (see
  • To use the SAP Task Center Web app, you need UI5 version 1.108 (latest patch) or higher.

Technical Restrictions

  • From all supported languages (see Supported Languages), SAP Task Center supports simultaneously up to three language translations for tasks and definitions, which are stored in the SAP Task Center service cache. For more information, see SAP Task Center Global Settings.
  • SAP Task Center supports only substitutions created using SAP Task Center Substitution Management (see Substitution Management). The SAP Task Center integration does not support substitutions created in the supported task providers, except for those created in SAP Build Process Automation. If there are substitutions or delegates, defined in any of the supported SAP or third-party solutions, they will not work with SAP Task Center.
  • Searching, filtering, and sorting by the Created By column is not possible.
  • Searching, filtering, and sorting by fields exposing custom attributes with formatted value is not possible, for example custom attributes of type STRING and format USER, which have formatted value.
  • The SAP Task Center service only enables, but does not include the integration implementation from the supported SAP solutions.
  • Not all use cases, supported by the task provider systems, are supported in SAP Task Center. For more information, see Supported Solutions and Use Cases.
  • All messages returned by the SAP Task Center service are only in English.
  • Notifications displayed in the SAP Task Center Web app are only in English.

The general restrictions for retention period and total number of notifications are also valid for SAP Task Center. For more information, see Working with Notifications.

  • The Intelligent Recommendations feature is currently supported only by SAP Build Process Automation and for SAP Build Process Automation tasks.
  • A task can be assigned to two types of recipients (users and groups). Each list of recipients (users and groups) is restricted by SAP Task Center to 100 members, and only the first 100 users and the first 100 user groups received by SAP Task Center are stored in the task cache.

Example:

A task is assigned to 104 users and 125 user groups. This task will be received by the first 100 users and 100 user groups in each list.

  • A task can have multiple recipients but only one single processor. A user is the processor of a task if:
    • the user is assigned as the single recipient of the task, or
    • the task is assigned to multiple users as task recipients. One of those recipient users claims the task and becomes its processor. For more information on how to claim a task, see Working with the Task List.

When a task has a processor, it is visible only in the inbox of its processor. None of the other recipients are able to see the task in their inbox.

Browser Support

Initial Setup

To use the service, make sure you have performed the preliminary setup and meet the prerequisites. Then continue with the initial setup for SAP Task Center, following either the automatic setup (using a booster) or the manual setup.

Prerequisites:

You can perform the initial setup for SAP Task Center following either the automatic setup (using a booster) or by manual setup. Before you start, make sure you meet all prerequisites.

Check Your Entitlements and Commercial Model

Make sure that you are entitled to create an instance of the SAP Task Center service and your global account uses the consumption-based commercial model.

SAP Business Technology Platform (SAP BTP) Account Preparation

Prepare your SAP Business Technology Platform (SAP BTP) account by making sure that:

  1. You are a global account administrator.

    For more information, see Getting a Global Account.

  2. You have created a subaccount on Cloud Foundry in your global account.

    For more information, see Relationship Between Global Accounts and Subaccounts in Account Model.

  3. You have created a space within a subaccount in which Cloud Foundry is enabled.

    For more information, see Getting Started in the Cloud Foundry Environment.

  4. Within that space, your user is assigned to the Space Developer role for the subaccount. For more information, see About Roles in the Cloud Foundry Environment. You need this role to perform the configuration steps.

  5. You have established trust with the User Account and Authentication (UAA) of your subaccount, using Identity Authentication.

    Identity Authentication is mandatory for working with SAP Task Center.

Integration with SAP Cloud Identity Services

For the integration with SAP Cloud Identity Services, you must have followed the integration guide (see System Integration Guide for SAP Cloud Identity Services) and have completed the integration scenario setup for the task providers, which you would like to configure.

For the integration with SAP Advanced Financial Closing, SAP Build Process Automation or SAP Build Work Zone, advanced edition as task provider, make sure you follow the SAP BTP Integration Scenario.

Caution

  • All task providers and the SAP Task Center UAA of your subaccount must be configured to work with the same Identity Authentication tenant.
  • Make sure that the Display Name, E-Mail and Global User ID fields are maintained for every user in your Identity Authentication tenant. For more information, see Global User ID in Integration Scenarios and List and Edit User Details.

Note, that None should not be defined as Display Name in Identity Authentication, as it is reserved for technical usage.

Verify Your Central Point of Entry for Accessing Applications

You have a subscription to at least one of the following services in the same subaccount as your SAP Task Center subscription:

Procedure

To use the SAP Task Center service, you must complete the initial setup either by using the booster (recommended) or by following the manual steps.

  • (Recommended) Set up the SAP Task Center service using the booster. See Automatic Setup.
  • Set up the SAP Task Center service manually. See Manual Setup.

Create a Task Center Tile

Create a Task Center tile on SAP Build Work Zone, advanced edition, SAP Build Work Zone, standard edition (formerly known as SAP Launchpad service), SAP SuccessFactors Work Zone or SAP Cloud Portal service, depending on your central point of entry for accessing applications.

Prerequisites:

  • You have created a service instance of the SAP Task Center service. For more information, see Create a Service Instance of the SAP Task Center Service.
  • You have completed the onboarding process of your central point of entry for accessing applications, you have a subscription to it in your subaccount, and you have the required role collection assigned to your user.

Note

The SAP Cloud Portal service is not available in Service Marketplace in the SAP BTP cockpit. This integration is only relevant to existing subscriptions.

Context

The following procedure describes how to create a Task Center tile in your central point of entry for accessing applications. The Task Center tile opens the SAP Task Center Web app, which displays all tasks coming from the online connectors that are relevant for the logged-in user. For more information about the Web app, see Using SAP Task Center.

Procedure

  1. Make sure that you have the Task_Center destination for the integration with your central point of entry for accessing applications. For more information, see Destination for the Central Point of Entry for Accessing Applications.

    Caution

    If you have followed theAutomatic Setup, this destination is already created by the booster. Please do not change this destination, and do not create a second destination for the central point of entry for accessing applications.
  2. Create a Task Center tile in the central point of entry for accessing applications of your choice.

    Follow the documentation of your central point of entry for accessing applications to add the Task Center tile and access the SAP Task Center Web app.

  3. Activate the languages from the Site Settings to enable the available translations for the Web app. For more information about the supported languages, see Supported Languages.
  4. (Optional) Set up SAP Companion for the SAP Task Center Web app to enable the on-screen help for end users.

    Make sure you follow the documentation of your central point of entry for accessing applications and add the following parameters in the Site Settings:

Note, that you can't run both the SAP Companion for SAP Task Center and SAP Companion for your central point of entry for accessing applications in parallel. You can set up only one of them. Results

Once you complete this setup, the Task Center tile should be available to the selected user group. To make tasks from the supported task providers available in the SAP Task Center Web app, create a destination to every task provider you want to use. The end users can access the available on-screen help by choosing the SAP Companion icon () in the upper right corner of the Web app.
