Managing Calibration as the End User

Objective

After completing this lesson, you will be able to describe the calibration views as an end user.

Calibration as the End User

Depending on the permissions configured in calibration settings, session facilitators, co-facilitators, owners, participants, and subjects will have varying levels of read and/or write access. From the main navigation menu, choose Calibration to view all sessions to which you have access.

You can click into individual sessions, or, with appropriate permissions, you can use the Executive Review tab that provides an aggregate view of session activity and behavior, and you can also drill down into detailed information of calibration subjects.

Note

When navigating in the Calibration Session, changes made in these scenarios will be automatically saved every 15 seconds:
  • When there are changes on ratings.
  • When users drag and drop employees within individual binds to change their rankings.
  • When subjects are marked or unmarked as Discussed.
  • When comments for change of ratings are required.
  • When users save comments and close the dialog box. (In this case, autosave saves any rating changes after 15 seconds of inactivity.)

Dashboard View

In an individual session, you will see the views that were configured for the calibration template. If you choose to change any of the information in the session, you may go back to the template and make changes. Changes will immediately take effect in the active calibration session.

Performance Evaluation in the Sessions tab is displayed.

The dashboard gives a visual of the data the views have collected, and all views allow filtering on the Filter Fields that were configured from the Search and Filter Fields tab in Manage Calibration Settings. A view with one axis displays as a bar chart and maps the guideline percentage that was configured in the calibration template against the actual overall ratings. If the actual distribution of ratings does not match the guidelines, it will be reflected in the bar chart in a different color as shown in this example below.

You may also want to export calibration sessions to view the details. Calibration sessions are exported to an XLSX file, which supports up to 16,384 columns. Go to Main Navigation MenuCalibrationSessionsExport.

Note

The overall gender distribution now supports additional gender values (as seen in the image below). An optional upgrade Enhancement to Gender Values – Inclusion of Additional Gender Values is available in the Upgrade Center, and would add Undeclared, Unknown, and Others to the existing Male/Female genders.

The overall objective is displayed.

A view with two axes displays as a 9-box in the dashboard to map users with both ratings. All dashboard images are downloadable in PNG, JPEG, PDF or SVG vector images by clicking in the upper right-hand corner of each chart.

List View

The List View tab displays information that has been configured in the calibration template to be pulled in from the performance form ratings. All columns may be expanded, compressed, or moved into the desired order. All of these adjustments are saved, and remain effective after you refresh the Subjects List page.

The List View tab is displayed along with relevant columns.

Subjects' Comments

Calibration session participants can also add comments in the List View for any of the subjects in the session. Comments from other sessions based on the same template can be rolled up and will be available in the From Other Sessions tab in the Comment field.

Comments for Grace Griffin and the Add Comment button are displayed.

Remember, the data that is populating in the List View columns is from manual ratings on the performance form. Although it is not possible to calibrate overall calculated ratings that the system generates based on aggregate competency or goal ratings, the overall calculated ratings can be selected to display. The sections of a performance form and the corresponding calibration list view columns include the following:

  • Performance Summary Section = Overall Rating in Calibration
  • Performance Objective Competency Summary Section = Overall Objective Rating & Overall Competency Rating in Calibration

Overall Rating View

The overall rating tab (the Overall Performance Rating tab in the screenshot) provides a view of all users in a bin view. Every rating has a column, where you can display the number of subjects within that score and the % of distribution compared to the total subjects in the session. The Add 1 and Remove 1 notifications are displaying what would need to happen to fit the guideline percentage that has been configured for the overall form rating field in the calibration template. Once you have dragged and dropped users to fit the guideline, the notifications will disappear and, if you check the Overall Performance Rating bar chart on the dashboard, the Guideline and Actual bars will match.

The Overall Performance Rating is offering a view of all users in a bin view.

Other options, to open the quick card, add a comment, display gender and/or other succession flags, the rank, and a menu with additional options (see example below), will allow navigation to other options.

When configuring a single-axis view in the calibration template, you have the option to add an additional bin view for any of the available fields. This can bring in the ratings from overall form rating, competencies, and objectives.

Objective vs Competency View

The Objective vs Competency View populates manual ratings of the objective (goal) and competency sections from the performance form. This matrix is helpful to understand how well employees are performing on their own goals versus the core company and/or job specific competencies. Competencies assess the critical behaviors that make an employee successful in a position and can help identify individuals who have high performance, but seem to be the wrong fit for a particular position.

To calibrate an employee, drag and drop the user into a different quadrant. The manual ratings that placed the user in the original quadrant will update based on the new location. You may also add comments to explain why performance was calibrated, and mark a user as discussed. Matrix views can also be displayed in full screen mode and the various quadrants can be expanded to make them easier to use.

Expanded Matrix Grid Views

You can expand the Matrix Grid views to display in a full screen mode. Additionally, every Matrix Grid placement can be expanded by clicking on it. This is helpful when the placement includes several subjects.

Other options available from the Matrix Grid View will allow to display only photo, only name or both photo and name of the subjects (unless Enable Photoless Calibration is selected in Manage Calibration TemplatesAdvanced).

The other options, like exhibiting only name, only photo or both name and photo are displayed.

Business Example

In this exercise, you review the views you configured in the calibration template and calibrate users with the drag and drop functionality.

Steps

  1. Log into SAP SuccessFactors and, from the main navigation menu, navigate to Calibration.

  2. Click into the calibration session you created in the previous exercises.

  3. Choose the Dashboard tab. What do the charts tell you about performance? Would you adjust the guideline for the overall rating next time?

  4. Choose the List View tab. Rearrange, expand, and compress the columns.

  5. Choose the Overall Rating tab. To satisfy the guideline requirement, move users between the bins.

  6. Choose the Objective Competency tab. To calibrate performance, drag and drop users.

  7. Export the session and view the information in the .csv file.

  8. Choose Send Email and email a subject of the session.

  9. Choose Save.

  10. When you are finished calibrating performance, choose Finalize.
