Workflow Request Details of Custom MDF Object now Reportable in Story Reports

You can now report on the workflow request details of custom MDF objects in Story reports. This is possible only if you set the pending data field for the specific custom MDF object to "yes" in the Configure Object Definition page.

When you set the pending data field to "yes" on the Configure Object Definition page for a custom MDF object, you can use the Generic Object Workflow Request table as a related table from that specific custom MDF object in Story reports.

Example of the configuration of the custom MDF object

Example of a query where the Generic Object Workflow Request table is joined from a custom MDF table.

Note

To update the data source of your existing reports (created before the SAP SuccessFactors 1H 2025 release) with custom MDF objects for reporting on approval details, please

refer to the Knowledge Base Article.

This enhancement allows you to easily track who approved a request and when for already approved entries. For pending requests, you can identify who is responsible for approval, giving you greater visibility and control over your workflow processes.

Enhancements to Reporting Person-Related Data in Story Reports

You can now report on person-related data in your Story reports without needing to enable the biographical information permission from role-based permissions.

This enhancement helps administrators to get the person-related details of employees in the organization without compromising the sensitive biographical information of the employees. For further information you can refer to the Customer Community Blog.

What's Changed

How It Looks Now

In the current version, you can report on the person-related data even if the role-based permission for Biographical Information isn't granted. The person-related data include business email information, dependencies, emergency contacts, home addresses, national ID information, personal information, phone numbers, and social accounts.

In the previous version, to report on person-related data using story reports, it was mandatory to enable the permission for Biographical Information. This was necessary because access to other person-related tables was only possible through the Biographical Information related-table from the Personal Information table. Since Biographical Information doesn't have field-level permissions, granting this permission gave access to sensitive information like Date of Birth, Marital Status, and other details.

Enhancements to Reporting Workflow Approver Assignments in Story Reports

We've added a new column in the Workflow Request Step table in Story reports to help you report on the specific approver assigned to a workflow request, even when multiple approvers are involved.

When a group of approvers handle the same workflow requests, you can select Assign to Me to indicate you're working on it. Other approvers can see that it's assigned to you on the Workflow Details page, but they can still process the workflow if needed.

In Story reports, you can use the Assigned To column from the Workflow Request Step table to report the details when a group of approvers handle the same workflow requests.

This enhancement ensures transparency and accountability in group approval processes. This feature is useful for tracking who is responsible for handling specific requests, ensuring efficient workflow management.

Role-Based Permission Prerequisites

You have the Administrator → Manage Workflows → Manage Workflow Assignments permissions.

Generate Reports on Job Requisition Skills

The Story reports now display the job requisition skills and their priority.

With this enhancement, you can report on Job Requisition skills data and utilize it for review and compliance.

Currency Exchange Rate Reportable in Story Reports

Currency Exchange Rate is now reportable in Story reports. You can use this table for currency conversion and analyze financial data by converting multiple local currencies into a single currency.

You can use the Currency Exchange Rate table from the Foundation Object schema in your Story reports.

You can configure the Currency Exchange Rate object using the Manage Data tool. You can configure the source and target currencies for each entity, along with the currency exchange rates. You can maintain conversion rates in both directions, though it's not mandatory. Making the currency exchange rate table reportable wasn't enough for efficient currency conversion. Some data gets calculated automatically without any separate configuration.

To be able to reflect this data, a new column, TYPE, is introduced. This column provides the following data:

Standard: The value when source and target currencies are already defined in the currency exchange rate object.

Example: If you've configured the currency exchange rate object with USD (US Dollars) as the source currency and EUR (Euros) as the target currency, the value in the column of your story report shows as Standard.

Reverse: The value when reverse of the currencies aren't configured but get automatically converted to the required target currency.

Example: If you've configured the currency exchange rate object with USD (US Dollars) as the source currency and EUR (Euros) as the target currency, but haven't configured it with EUR as the source currency and USD as the target currency, the system automatically reverses the currency conversion. In your story report, the value in the column appears as Reverse.

Auto: The value when the source currency is equal to the target currency.

Note

It isn't possible to configure a value where the source currency is identical to the target currency in the currency exchange rate object.

For more information on recommended approaches for using the currency exchange rate table in your story reports, refer to the Customer Community Blog.

This enhancement tackles complex conversion scenarios by eliminating manual intervention and delivers dependable real-time insights. It also enhances decision-making with accurate global compensation comparisons, ensuring great value and consequential impact in the organization. This enhancement is from a Customer Influence Idea.

Configuration Requirements

  • Ensure you've configured the Currency Exchange Rate MDF object from Configure Object Definitions.
  • Ensure you've configured the mandatory entities of the currency mapping in the Currency Exchange Rate object needed for your reporting from the Manage Data tool.

Role-Based Permission Prerequisites

You have the Administrator → MDF Foundation Objects → Currency Exchange Rate permission.

Setting Up the Currency Exchange Rate

New Reporting Permission for Workflow Process Request Data

We've added a new permission in the Manage Workflows section that enables you to report on workflow process details using Story reports.

Before this change, you needed the Manage Workflow Requests permission to view workflow process data in Story reports. All existing Story reports with workflow process data relied on that permission. Starting with the SAP SuccessFactors 1H 2025 release, reporting on workflow process data requires the new Report Workflow Process Details permission. To prevent disruptions to existing Story reports with workflow process data, this new permission is automatically granted to you.

If you're reporting on workflow process details for the first time and haven't had the Manage Workflow Requests permission granted before, you must enable the Administrator > Manage Workflows > Report Workflow Process Details permission to create a new Story report. To view workflow process data for new Story reports, ensure you've enabled this permission.

Note

The Manage Workflow Requests permission isn't removed when the new permission is automatically assigned. You can continue to perform tasks associated with this permission. However, access to reporting on workflow process data is now governed by the new Report Workflow Process Details permission. Existing Story reports containing workflow process data will continue to function, as the new permission is automatically assigned.

The new permission removes the constraints of the previous permission that you needed to view workflow process details in Story reports. This enhancement comes from a Customer Influence Idea. For further information, refer to the Customer Community Blog.

Direct Access to Performance Management Forms Through Story Reports

You can now view the employee's performance management forms (in print preview format) directly from the Story report. You can configure a new deep link in your Story reports to view the performance management form data.

You can configure to use the new deep link: /sf/printPreviewPMForm?fDataId=[Document ID] as a hyperlink in your Story.

Once the hyperlink is configured, and you've selected the option to show hyperlinks in Table, each document ID record shall be appended to make unique deep links.

This enhancement lets you preview forms to see all the details, including ratings, comments, and more. This feature is useful for efficiently reviewing performance data without navigating away from the report interface. This enhancement is from a Customer Influence Idea.
