Describing Picklists

Objective

After completing this lesson, you will be able to define picklists functionality and permissions.

MDF Picklist Center

Picklists allow end users to easily select an option from a predefined list of choices. The following list describes picklists and their functionality:

  • Picklists are fields in a drop-down list within SAP SuccessFactors modules.
  • You can edit picklists through Picklist Center, found in the Admin Center.
  • With picklists, you can create consistent content for reporting and candidate searching.
  • With picklists, you can handle multiple languages.

Picklist Center Location and Usage

To locate the Picklist Center, use the Action Search or Admin tool search by simply typing Picklist Center.

Important Note: If you do not see this option, go to Admin CenterPicklist Center or contact Support to discuss your migration to the Picklist Center. The Picklist Center does utilize the Metadata Framework as a prerequisite.

Once you have located the Picklist Center, type the picklist name you wish to modify in the Search box and choose the picklist. Or use the + (plus sign) to add a new picklist.

Permissions to Picklist Center

To use the Picklist Center, permission must be granted to the system admin. The specific permission needed is the Picklist Management and Picklist Mappings Set Up within Manage System Properties. This Role-Based Permission allows access to and modification of existing picklists.

This screenshot shows where to assign the 'Picklist Management and Picklists Mappings Set Up' in Manage Permission Roles.

Summary

  • Picklists let users choose from predefined options in dropdowns, ensuring consistent content and better reporting capabilities.
  • Edit and manage picklists in the Picklist Center, found through Admin Center.
  • Permissions for Picklist Center require admin role access to Picklist Management within Manage System Properties.

Decisions Checklist for Nominations, Permissions, and Picklists

Based on the content in this section, please review the list of implementation decisions your company may need to make before implementation begins and discuss them with your stakeholders, project team, and SAP SuccessFactors implementation consultants. In this way, you will be better prepared to begin the implementation.

  • Who are the stakeholders in your organization that will be participating in the Succession Planning Process? Will they nominate, view nominations, approve nominations, or all actions?
  • Are your stakeholders tied to a specific role like manager? What succession tools or access do they need (e.g., SOCv12, Talent Search v2, Matrix Grid Reports)?
  • Do you want an approval workflow for Succession nominations? If so, what role(s) will have the approval permission?
