Managing Bonus Plan Data

Objective

After completing this lesson, you will be able to define the bonus plan.

Bonus Plan

Bonus plans define the weight of the bonus components (business, team. individual) to properly calculate incentive payments. The bonus plan can be created by using an import file or directly added in the admin interface. The bonus plan is generally created during initial implementation and does not need to be reimported unless there is a change to the component weight.

Import File

The bonus plan file consists of many fields most important are the bonus plan name and the eligibility rule columns.

  • Entries in the Bonus Plan column should be the same as entries in the Goal Weights File in order for the business goals to be shown on each incentive plan.
  • Entries in the eligibility rule column should match the entries in the Eligibility File.

Create via Admin Interface

A Bonus Plan can also be created directly within the user interface without importing the comma-separated value file. However, if any of the bonus plan requires a bonus cap, the plan has to be imported. The eligibility rule has to be created prior to bonus plan creation as well.

The Bonus Plan screen is displayed.

Eligibility Rules using import

Eligibility rules specifies which bonus plan will be associated for each employee assignment, since employees can have multiple assignments, they can also be eligible for multiple bonus plans.

Eligibility rules can be defined based on employee attributes listed in the employee history data file or thru Meta Data Framework (MDF).

The eligibility rules are generally created during the initial implementation and does not need to be reimported unless there is a change to the rules.

Creating Rules via Import

The file requires three fields which will be used to associate the employees to the plans.

  • Rule ID column relates to the Eligibility Rule in the Bonus Plan Data file
  • Field column relates to the field column header in Employee History Data file
  • Value column relates to the field value in the Employee History Data file

When the eligibility rule file is imported, there is an option to delete all existing records prior to importing new data. Select this option if you would like to do a full file replacement; otherwise, imported eligibility rules will be appended to the existing list already in the system.

Eligibility Rules via MDF

To create a more robust bonus plan eligibility, the MDF business rule engine can be used. MDF is an application which can be used to extend the many uses of SAP SuccessFactors. For Variable Pay, Non-Employee Central customers can use MDF Rules Engine for setting Eligibility rules in UI without the need of importing an eligibility file.

To create rules, navigate to Admin Center→Configure Business Rules→Create New.

Provide the necessary details:

  • Rule name/rule Id: unique identifier of each rule
  • Start Date: when rule will take effect, best to set 01/01/1900
  • Rule Type: should always be varPayEligibility
  • Base object: for non-Employee Central (EC) environment, it should be background element. For EC- enabled environments it is job information.

Once created, the rule can be assigned to the bonus plan via Manage Plan Details→Import/Bonus Plans.

Display contains the drop down to choose which eligibility rule to select from the MDF.

Summary

  • Defining Bonus Plans: Bonus plans establish the weighting of bonus components—business, team, and individual—to accurately compute incentive payments. These plans can be set up using an import file or directly in the admin interface, typically during the initial implementation phase.

  • Creating with Import Files: The bonus plan file includes several critical fields, notably the bonus plan name and eligibility rule columns. It is essential that entries in the Bonus Plan column align with entries in the Goal Weights File to ensure proper display of business goals on each incentive plan, and that entries in the eligibility rule column match those in the Eligibility File.

  • Admin Interface Creation: Bonus plans can also be created directly within the user interface. This method is suitable unless the bonus plan includes a bonus cap, in which case importation is necessary. Prior creation of the eligibility rule is required before setting up the bonus plan.

  • Considerations for Updates: A bonus plan is generally created during the initial implementation and does not require re-importation unless there is a change to the component weight or if specific adjustments such as bonus caps are needed.
