Creating a Grand Total

Objective

After completing this lesson, you will be able to display a grand total in a report.

Grand Totals

The grand total displays at the end of the report in the Report Footer section. If you have a multiple page report, be sure to go to the last page to see the grand total.

The image shows a software dialog box titled Insert Summary with dropdown menus and checkboxes allowing the user to configure a data summary, specifically selecting the field Customer.Last Year's Sales to calculate a Sum, set the summary location to Grand Total (Report Footer), with optional checkboxes for adding the summary to all group levels, showing as a percentage, and summarizing across hierarchy, accompanied by clickable buttons labeled OK, Cancel, and Help.

The options available for displaying grand total depend on the data type on which you are basing the calculation.

Some examples are:

  • Number fields: Sum, average, count, minimum, maximum and various other summary functions are available.
  • String fields: Count, minimum, and maximum are some of the summary functions that are available.

When you select the Grand Total field in the report, you see its full name in the Status bar. The Grand Total field automatically lines up with and attaches to the same guideline as the data field it was based on.

Summary
