Working with the Procurement Overview Page

Objective

After completing this lesson, you will be able to Work with the Procurement Overview page.

The Procurement Overview Page

The Procurement Overview Page

A screenshot is shown of the Manage Cards option in the app Procurement Overview.

The Procurement Overview page provides a user with the most important information and tasks in Procurement. The information is displayed on a set of actionable cards. The user can therefore focus on the most important tasks, enabling faster decisions and immediate action. The cards show the most important information, ranked according to relevance.

It is possible to customize the overview page by rearranging cards and by hiding or showing them:

  • If a card needs to be hidden, while in the app select the User icon in the header bar (top right corner of the screen). Then select Manage Cards and use the switch controls to hide the relevant card(s).

  • If cards need to be rearranged, simply drag and drop them where required.

It is also possible to apply a filter to the displayed information, which will affect all relevant cards. For example, it is possible to filter the contents of all cards in such a way that only the data related to a specific supplier or material group is shown.

A screenshot is shown of the app Monitor Purchase Contracts.

When selecting the header of a card, the relevant list app is opened (like Manage Purchase Contracts (Version 2)), while selecting an item in a card opens the fact sheet or object page for the item. For graphical or analytical cards, selecting the card allows a user to access more detailed analytical information. For example, on the Monitor Purchase Contracts card, the consumption and expiry date per contract can be seen. Selecting the header opens the Manage Purchase Contracts (Version 2) app, while selecting an item opens the object page for the selected contract.

Cards that can Appear on the Procurement Overview Page

Card NameDescription
Monitor Purchase Contracts

Shows expiring and nearly consumed contracts.

Priority sorting is done by time remaining, target value, and consumption.

Selecting the header opens the Manage Purchase Contracts (Version 2) app, while selecting an item opens the object page for the selected contract.

Monitor Purchase Requisition Items

Using the view switch, it is possible to choose to view all open purchase requisition items. It is also possible to view unsourced purchase requisition items - ones that don't yet have a source of supply, even though the delivery date is close.

Priority sorting is done by item value and time to delivery date.

Selecting the header opens the Manage Purchase Requisitions app, while selecting an item opens that item in the same app.

Monitor Purchase Order Items

Using the view switch, it is possible to view overdue items and items in approval.

Priority sorting is done by overdue days and item value.

Selecting the header opens the Monitor Purchase Order Items app, while selecting an item opens that item in the relevant app.

Monitor RFQs

Shows requests for quotation (RFQs) sorted by submission deadline.

Priority sorting is done by time remaining, target value, and consumption.

Selecting the header opens the Manage RFQs app, while selecting an item opens the RFQ object page for the selected RFQ.

Purchasing Spend

Shows the overall purchasing spend, calculated using the aggregated purchase order values.

It is possible to switch the view between supplier and material group.

Selecting the header opens the Actual/Planned Purchasing Spend (PO and Scheduling Agreement Value) KPI, while selecting a material group opens the same app, filtered by the selected material group.

Purchasing Requisition Touch Rate

Shows the number of high, low and no touch items in purchase requisitions.

Grouping can be done by several dimensions like purchasing group, supplier, and item type.

Non-Managed Spend

Shows the total invoice spend where that spend isn't associated with a purchase order.

The view can be switched between supplier and material group.

The bar chart shows the spend amount as a percentage of the invoiced spend by material group (or supplier). The number shows the value of the non-managed spend.

Selecting the header or the chart opens the Non-Managed Spend (Invoices Without Purchase Orders) KPI.

Off-Contract Spend

Shows the total invoice spend where that spend isn't associated with a contract.

The view can be switched between supplier and material group.

The bar chart shows the spend amount as a percentage of the invoiced spend by material group (or supplier). The number shows the value of the non-managed spend.

Selecting the header or the chart opens the Off-Contract Spend (Purchase Orders Without Contracts) KPI.

Supplier Performance Monitoring

Shows the operational score by quarter.

Selecting the header opens the Operational Supplier Evaluation (Time, Price, Quantity, and Quality) KPI.

Supplier Performance Monitoring Including Questionnaire Score

Shows a bubble chart of the operational score and the questionnaire score for a set of suppliers.

The bubble size is based on the purchase order net amount.

Purchase Requisition Item Types

Shows the relative distribution for the different item types for purchase requisitions: catalog items, free-text items, and so on.

Selecting the header opens the Purchase Requisition Item Types (Number of Items by Type) KPI.

The donut chart shown on the card shows the relative distribution: select a piece of the donut (that is, an item type) to see more information about that item type.

Open Activities

Shows all activities related to procurement in a card stack that are currently open.

Choosing the card opens the Manage Activities app.

Shows a line chart of purchase order items by delivery schedule date (shown in weekly buckets).

Choosing the header opens the Monitor Purchase Order Items app.
