Checking and Releasing Orders

The details shown in the Checking Maintenance Orders application screen are described in the text that follows.

Find Orders and Operations

With app Find Maintenance Order, you can list the maintenance orders in your system and find the one you need. You can do this either by filtering the list according to various properties or by using a free-text search. You can display a single order to view its properties, its assigned notification and operations, and its attachments.

The are several editing features available such as Change orders, Change the order status, Change responsibilities.

With app Find Maintenance Order and Operation, you can list the orders and their operations in your system. You can find the one you need by filtering the list according to various properties or by using a free-text search.

The are several editing features available such as Find orders according to operation criteria, Change assignment, Add/display time confirmations.

Maintenance Planning Overview

The details shown in the Maintenance Planning Overview application screen is described in the video and text that follows.

The Maintenance Planning Overview offers the following key features:

  • Analyze outstanding notifications that have not yet been processed and that have not yet been assigned to a maintenance order.

  • Analyze maintenance orders that are still in planning and have not yet been released for processing.

  • Analyze purchase requisitions or purchase orders that have not yet been released for non-stock materials that are required as spare parts in maintenance orders.

  • Display approved purchase requisitions for non-stock materials for which no purchase order has been generated.

  • Display non-stock materials that have been ordered but may not be available on the requirement date.

Material Availability Check

As a maintenance planner, you can use this app to execute material availability checks for several maintenance orders at runtime or schedule these checks as a recurrent batch job. The system checks whether the components required for a maintenance order are available and updates the availability status in the orders accordingly. If you schedule the availability check as a batch job, a report displays all error and warning messages that occurred during the checking process, as well as the system and user statuses of the orders.

The Material Availability Check application screen as described in the previous paragraph.

You can view a list of all material availability checks already scheduled and navigate to the results of the jobs that you have created. You can only view the job results on desktop devices.

You can schedule new material availability checks that can be influenced by the following parameters:

  • Assign a job template and a job name

  • Specify the scheduling options (start/end dates; recurrence pattern)

  • Specify the material availability check options

  • Specify which status orders must have so that they are considered by the availability check

  • Specify parameters for order selection

Output Control and Work Packs

SAP S/4HANA output control offers options for different output channels such as printing, sending e-mails, or maintaining form templates for the output. It is the key element of SAP S/4HANA output management, which is the framework for all functions and processes related to the output of documents in SAP S/4HANA. SAP S/4HANA output control structures output management and makes it reusable across all business functions that have adopted it.

Supported Channels: Print, Email, EDI, XML, IDoc

Supported UI Technologies: SAP Fiori, SAP GUI, SAP GUI for HTML

Supported Form Technologies: PDF-based print forms, Smart Forms, SAPScript

Note

If Output Management is activated, traditional printing is no longer possible. The Print option is still available, but will use Output Management.

If you want to reactivate Standard Printing, you must deactivate Output Management.

Use Work Packs

Creating and Scheduling Work Packs

Work packs allow you to include multiple output types and leverage support for print and email channels for the output.

A Work Pack consists of a set of Job Packs which are grouped for an output request.

A Job Pack can combine several order operations. Each operation represents a job.

You can create work packs from maintenance order operations using the quick action button Create Work Pack in the apps Find Maintenance Orders and Find Maintenance Orders and Operations.

When you create a work pack, you select one or more maintenance order operations to be included in the work pack, choose a work pack type, and assign a grouping criterion for your new work pack.

Work Packs can be scheduled for output using background jobs via a separate app. Work Packs are printed out or sent by email based on the predefined parameters of the output channel.

Note

For work packs to be successfully created for maintenance order operations with an activephase model, the system status must be DSPT (Dispatched), for maintenance order operations with an inactive phase model, the system status must be REL (Released)

Simplified Printing

In app Find Maintenance Orders a Print function is available for simplified printing. This allows to automatically create and schedule work packs for standard output for the selected orders - using a predefined work pack type (can be defined in Customizing).

Executing Orders

As a maintenance technician, you can use app Perform Maintenance Orders to confirm planned and unplanned maintenance orders.

From release SAP S/4HANA 2022 and higher you can use this app for maintenance orders using the Phase Model or for orders using the standard model.

The key features can be summarized as follows:

  • Identify outstanding jobs that need to be performed.

  • Self-assign jobs that are yet to be assigned.

  • Record the progress of the work being performed and view confirmation data.

  • Record malfunction information.

  • Issue and return goods more than what the planner has already planned.

  • Issue goods that are not added previously into the order.

  • Save measurement results for an object.
