How to Track Substance Volumes

Introduction: Substance Volume Tracking

With this process a tracking of confirmed substance volumes from purchasing, manufacturing, and sales is possible.

Substance volume tracking helps you comply with chemical regulations. These regulations require you to track and monitor the volumes of regulated substances that you import to, produce, or export.

Substance volume tracking is integrated with the logistic processes.

Task 1: Create Purchase Request

Before the first task can start, a lot of predefinitions have to be done. Please check out the exercise for further information.

This first processshows a process based on a process order. Therefore Purchaser Claire creates initially a purchase requisition.

Task 2: Scenario I: Create Purchase Order based on a requisition

Inside this task Purchaser Claire converts the purchase requisition into a purchase order.

Task 3: Scenario I: Post goods receipt for purchase order

Warehouse Clerk Jim post goods receipts for the purchase order.

Task 4-6: Scenario II: Process Order maintenance

The second process shows a process order scenario.

First, our Production Planner Nikhil creates a process order.

Warehouse Clerk Jim posts the goods receipt.

Production Operator Kathy confirms the data and Jim finally posts goods receipt for the process order.

Task 7: Scenario III: Create a sales order

The third process starts with the creation of a sales order, done by Kate, our internal sales representative.

Task 8: Scenario III: Market assessment

When there is a block on the sales order under Product Marketability Status, Product Stewardship Specialist- Otto adds a market assessment for the product, so that the product can be sold.

Task 9-10: Scenario III: Create deliveries and post goods issues

First the shipping specialist Marc creates an outbound delivery.

Second, Goods Issues are posted by Marc.

Finally Marc posts Gl data.

Task11: Scenario III: Track substance volumes

This process shows how Master Data Specialist - Jasmine monitors the substance volumes that are calculated from the periodic tracking.

Now you should have an impression of "how to track Substance Volumes".

Track Substance Volumes (4OL)

With this scope item, you can enable substance volume tracking of confirmed quantities from purchasing, manufacturing, and sales. Substance volume tracking helps you comply with chemical regulations. These regulations require you to track and monitor the volumes of regulated substances that you import into, produce, or export to a country or region within a certain period. Substance volume tracking is integrated with the logistic processes for purchasing, manufacturing, and sales and tracks, calculates, aggregates, and monitors the imported, produced, and exported substance volumes that result from the processes.

Steps

  1. Log on to the SAP S/4HANA Public Cloud training system with your user credentials and assign the relevant business roles to your user.

    1. Log on to the SAP S/4HANA Public Cloud training system with your user credentials.

    2. Navigate to the Maintain Business Users application.

    3. Scroll through the list of users to locate your business user.

    4. Select your business user.

    5. Choose Add and search for the required business roles.

    6. Add the roles to your user.

    7. Select the checkbox beside the business roles and apply them. Repeat it for every mentioned role.

    8. Choose OK to close the dialog box.

      Result

      You now see the business roles assigned.
    9. Choose Save.

    10. Refresh your screen.

Task 1: Prerequisite: Specify included movement types

You can specify the movement types that are considered for substance volume tracking. Substance volumes are tracked for the material document items with a movement type that is specified in this activity. If no movement types are specified, substance volumes will not be tracked.

  1. Open the Manage Your Solution app.

  2. Choose Configure Your Solution

  3. Select:

Task 8: Process 1: Convert a Purchase Requisition to a Purchase Order

This process step shows you how to convert the assigned purchase requisitions to purchase orders.

To complete this exercise, you must have the Purchaser (BR_Purchaser) business role assigned to your user.

Steps

  1. Open Process Purchase Requisitions - Formerly Manage Purchase Requisitions app.

    In the Search field, enter the material number RMPC07 and choose Go.

    Your purchase requisition item is found.

    1. Open the app and search for material RMPC07.

  2. Check the row information.

    2 sources for your Assigned Supplier are visible.

    Select the "Pencil" and enter:

    1. Check the information visible. 2 Suppliers are there.

    2. Select the Pencilbutton.

    3. Enter supplier 10300050.

    4. Save it.

    5. Jump one screen back and open initial screen. Your requisition number is displayed

  3. Open the initial screen of this app, select your requisition number and choose "Create Purchase Order"

    In the "General Information" section, make the following entry:

Task 9: Process 1: Post Goods Receipt for a Purchase Order

This process step shows you how to post goods receipts for the created purchase orders.

Steps

  1. Open Post Goods Receipt for Purchasing Document.

    Enter the Purchasing Document for material RMPC07.

    Note
    If haven't written down the document number please open the search screen and enter material RMPC07. Purchasing document is found.
    1. Perform the exercise.

  2. Inside document screen enter a delivery note of your choice. Inside "Items" section set the check box for your item and choose Post inside footer line.

  3. Repeat it for material RMPC08.

Task 10: Process 2: Manufacturing Process Based on a Process Order: Create a Process Order

The manufacturing process starts with the creation of a process order and continues with manual goods issue for input materials, confirmation of operations, and posting of goods receipt. Purchased raw materials that are already in stock are used in the manufacturing process. In this test script, the manufacturing process is shown for the semifinished material "SGPCSVT01".

Steps

  1. Open the app Create Process Order.

    On the initial screen enter the following data:

This process step shows you how to post a goods issue.

    Enter your written down PO number or search for it. Enter detail screen.

    • Check box: Clear Reservation

  1. Open the app Create Sales Orders.

    Note
    Don't use "Create Sales Orders VA01".

    A pop-up becomes visible. Enter:

    1. Sales order is created. Overall blocking status is set to Blocked.

Task 15: Process 3: Add a Market Assessment

This process step shows you how to add a market assessment for a product so that the product can be sold.

To complete this exercise, you must have the Product Stewardship Specialist - Product Compliance (BR_PRODSTWRD_SPLST_PCL) business role assigned to your user.

Steps

  1. Open Process Requests from Logistics - For Dangerous Goods.

    Search for material: FGPCSVT01.

    Select the entry with the following parameters:

    Origin:Sales Order
    Note
    Deselect "Request Responsibility".

    Open the detail screen.

    1. Search for the right material with the given search parameters.

    2. Adapt your filter to select Solution Area as a search criteria.

    3. Deselect "Request Responsibility".

      Your material is found.

    4. Select the line and open detail screen.

  2. Navigate to the Countries/Regions to Verifysection.

    Choose button: View Market Assessments.

    Choose button: Edit.

    In the Assess Markets and Production Countries/Regions section, choose Add, and select USA from the dialog box.

    Select the line and open the detail screen.

    Set:

    Apply it.

    Save it.

    1. Open the tab page Countries/Regions to Verify.

    2. Select the button View Market Assessment.

    3. Switch to Editmode.

    4. Select the buttonAdd and add USA..

    5. For USA open the detail screen.

    6. Set the Assessment Status for Sales toAllowed.

    7. Apply it.

    8. Save it.

Task 16: Process 3: Create a Delivery

This process step shows you haw to create an outbound delivery for your sales order.

To complete this exercise, you must have the Shipping Specialist (BR_SHIPPING_SPECIALIST) business role assigned to your user.

Steps

  1. Open the app Create Outbound Deliveries- From Sales Orders

    Use the following search parameter:

    Flag your sales order and select Create Deliveries.

  2. Check Delivery Logs.

    Choose Display Log to check if the delivery is created without issues.

Task 17: Process 3: Post Goods Issue for an Outbound Delivery

This process step shows you how to post goods issue for an outbound delivery.

Note
To complete this exercise, you must have the Shipping Specialist (BR_SHIPPING_SPECIALIST) business role assigned to your user.

Steps

  1. Open Manage Outbound Deliveries app.

    Change the selection of the "Overall Status" to All.

    Your outbound delivery number is displayed, maybe the last one.

    1. Start the app.

    2. To get the right delivery number, switch the Overall Status to All.

    3. Scroll down to the end of this table. Your delivery document has a Gl Status: Not yet processed.

  2. Flag your outbound delivery number and set the button Pick, which can find on the right hand side.

    In the Delivery Items table, set the Picking Quantity: 10 for material FGCSVT01.

    Choose Save.

    1. Your number is found. Set the check box on the left hand side and select the button Pick.

    2. For material FGCSVT01 set the Picking Quantity: 10.

    3. Save it.

  3. Post GL.

    Close the application.

    1. Select the button "Post GL" inside footer line.

Task 18: Process 4: Monitor Substance Volumes

This process step shows you how to monitor the substance volumes that are calculated from the periodic tracking.

Steps

  1.  Open Monitor Substance Volumes app.

    1. Execute the app Monitor Substance Volumes.

  2. Choose Initiate Calculation.

    3 Substance volumes are listed.

    Note
    Stay tuned, until these 3 entries are visible. This could take minutes.

    1. Select the entry Initiate Calculation.

    2. Refresh screen, until results are displayed.

  3. Now you are able to perform different steps. First check the detail screen of every entry.

    1. Open the detail screen for e.g. "Isoamyl alcohol".

    2. You are able to track:

      • Substance Volumes by Month and Scenario
      • Substance Volumes by Product.

      Pay special attention to Product and Scenario.

    3. Material document is found which is connected to our RMPC07/RMPC08 raw material.

    4. Jump back to overview screen.

    5. Repeat it for the other Substance Volumes.

  4. Select the Notification button inside header area. This button is located next to your user abbreviation.

    Select "By Type".

    Open the detail screen.

    1. Choose the button "Notifications".

    2. Open the entry "By Type".

    3. Open the next level: Follow up processing for "SVT.…" finished successfully.

    4. Select this entry.

  5. Select Event Type: "Completed".

    Select: SVT :Periodic Tracking Requested initiated by your user.

    Select the blue colored text.

    Control the information given.
