Discussing Document Types in Forms

Objective

After completing this lesson, you will be able to List document types for manual data collection.

Document Types in Forms

Robert, our new consolidation consultant, wants to:

  • Identify the purpose and use of predefined write document types 03, 04, and 0A
  • Understand the settings required in the package definition and Form Wizard of the Manage Forms app in order to read and select document types for data entry in forms.

The predefined write document types 03, 04, and 0A, shown in the table above, can be used for data entry in forms. 

If the predefined write document types shown in the table above are not in use, you must create at least one document type that includes business application A and posting level 00 (Reported data of individual consolidation units) or 0C (Adjustments to universal journal).

Write document types 03, 04, and 0A are part of the SAP content, but others can be created and used as well.

The figure above describes the settings of the three write document types used across SAP S/4HANA Finance for group reporting Data Collection apps which could be used as an example for the creation of your own write document types.

To allow saving of data into the ACDOCU table, document types 03, 04, and 0A as well as your own write document types have to be assigned to task 1020 Data Collection.

Note

If you don't assign the write document types you will get messages like „No Processing because Task Data Coll. cannot be executed for any/all CGs/Cus" when saving data in the Enter Package Data app.

In the package definition, in the "Read Document Types" field you select all the document types to read. Additionally, you select one write document type.

In the Form Wizard of the Manage Forms app:

  • select "Document Types in Filter Bar"
  • select the document types dimension into the filter section of the form and
  • don't select a value in the "Document Type" Filter section of the Wizard.

As a consequence of these settings, you can only see all the read document types you had entered in the package definition but you can't use the input help of the drop-down box in order to select a subset of document types out of the package definition. You just see the read document types selected in the package definition.

In the package definition, in the "Read Document Types" field you select all the document types to read. Additionally, you select one write document type.

In the Form Wizard of the Manage Forms app:

  • deselect "Document Types in Filter Bar"
  • select the document types dimension into the filter section of the form and
  • don't select a value in the "Document Type" Filter section of the Wizard.

As a consequence of these settings, you can select one of the read document types that you had entered in the package definition, in the Document Type drop-down box which can be found in the Filter Bar of the executed form.

Note

You can only select from the read document types preselected in the package definition. If you select a document type that is not listed in the package definition, the Document Type drop-down runs in an error, the drop-down box turns red and empty again.

If you want to collect data on aggregated document types you must include both read and write document types.

When entering group reporting data, you can select multiple document types and collect data on the aggregated document types.

The difference between the previous and the new amount is stored on the writable document type. The updated amount must have identical dimension values for each dimension.

Prerequisites - The form must meet the following conditions:

  • The cell where the amount is being updated must contain at least one writable document type.
  • All the dimensions that identify the amount that's updated in the form must be defined when the form is designed using the Manage Forms app.
  • Except for the document type, which can use Sum, each dimension must be assigned the Itemized aggregation mode when the form is designed using the Manage Forms app.

Note

Only document types with posting level Blank, 0C, 00 are taken into account in the calculation.

Note

When updating an amount in the Enter Package Data app, you can see which document type the data is stored on by right-clicking on the cell and displaying the cell details.
