Introducing SAP Concur Travel and Expense

Travel and Expense Overview  SAP Concur makes it easy to book your travel reservations for your upcoming trips. After you make your reservation, you can create and submit an expense report in just a few short steps. In the following example, you will see how to create air and hotel reservations for a business conference in San Francisco, and then how to quickly create an expense report for your trip. For your flight reservation, on the SAP Concur home page, in the Trip Search section, on the Flight tab, simply enter your search criteria, such as type of trip and departure and arrival cities and dates. You can also select your time preferences for your departure and return flights. After you enter your search criteria, scroll down and then select Search Flights. On the Flight Results page, you can select All Filters to narrow your search results. To sort your results by price, you can select Sort by Price. To continue with your reservation, select your departure flight. Select Select Fare to choose your departure flight. Next, select your return flight. Select Select Fare for the return flight that you want. In the Flight Itinerary section, you can view the flight and fare details and select Select Seats for the flights that you choose. Enter your form of payment, and then select the I have read and accept the rules and restrictions and policies check box. After you review your booking information, scroll down, and then select Book and Continue. Depending on your company's configuration, you might need to provide additional information about your booking. For this example, the purpose of your trip is required to continue with your reservation. Select the Please Select your Trip Purpose drop-down arrow. And then for this example, select Business Review. Select Book and Continue. At this point in your reservation process, you can add a hotel or car to your itinerary. For this example, you will see how to add a hotel to your reservation. Select Add Accommodation. Enter the Destination, the check-in and check-out Dates, and Distance. For this trip, you will be searching for a hotel within five miles of the San Francisco airport. After you enter all your search criteria, select Search. On the Accommodations screen, you will see a map with reference points from your hotel search. The icons coordinate with the hotel search results by price. You can select a reference point to zoom in and view a specific hotel. You can use the All Filters dropdown menu to change or update your search. To narrow your search results, use the Sort by dropdown menu. Select View Rooms to view the hotel room details. Here you can see the hotel images. Scroll down to view property services and amenities. Review the room options and cancellation policy, and then select Select for the room that you want to stay in. On the Review and Book screen, review your accommodation details. Scroll down to view the Traveler Information section, which is pre-populated from your profile. In the Room Preferences section, you can enter preferences or requests regarding your room reservation. Select your Form of Payment, and then select the I have read and agree to the Rate Rules and Restrictions check box, and then select Book and Continue. On the Finalize screen, you can change the Trip Name and add a Description to identify the purpose of your trip. You can add a rental car if you need one. Review your estimated costs, and then select Confirm. Enter the Client Name to continue with your reservation, and then select the Have you got approval to travel check box. Select Confirm to confirm your reservation. Your trip is confirmed, and you can now return to the SAP Concur home page, or you can view your trip overview. For this example, select Back to Homepage. In the My Trips section, select the right arrow to view your Trip Library. Your trip is listed on the Trip Library screen. Once approved, the airfare is sent to your travel management company, (TMC) for ticketing. If you need to cancel your trip, you can select Cancel Trip from this screen. Select the link to your trip to view your trip details. On the Trip Overview screen, you can view your Itinerary and your trip Details. Now you will see how to create your expense report from your trip reservation. To begin, select Back to Homepage. On the SAP Concur home page, from the Quick Task bar, place your mouse pointer over New, and then select Start a Report. In the Create New Report window, complete the required fields (indicated with a red asterisk) and the optional fields as directed by your company. Note that some of the fields are already pre-populated. You can modify them if necessary. After you enter all the appropriate information, select Create Report. Select Add Expense to add any credit card transactions or out-of-pocket expenses for your trip. In the Add Expense window, you can select from a list of available expenses, or you can create a new expense. For this example, on the Available Expenses tab, select the Trademark Hotel expense, and then select Add to Report. You might need to modify the expense and complete any missing fields. The system attempts to match transactions using merchant codes. To modify your expense, select the expense, and then select Edit. On the Details tab, enter all the appropriate information for the expense, such as the Business Purpose, the Payment Type, and and Amount of the transaction. From the Itemizations tab, you can itemize expenses to ensure that each of your expenses is accounted for correctly. Select Add Receipt if you are required to include a receipt with your report. After you enter all the appropriate information, select Save Expense. Your expense report is created. From this screen, you can add additional expenses, edit or delete your expenses, copy them to quickly enter a new expense, allocate them to different projects or departments or move them to another report. After you have corrected the alerts, reviewed your trip expenses, and attached the required receipts, you are ready to submit your report for manager approval. Select Submit Report. Note that you can recall an expense report if necessary.
