A Contract Repository template is used to upload contracts that were created outside of SAP Ariba or before the organization adopted SAP Ariba Contracts. These templates allow organizations to centralize legacy contracts in a single system, making them searchable and trackable without requiring authoring or workflow processes.
Using a repository template, users can upload executed contracts and associate key metadata such as contract type, dates, and parties. While repository templates do not typically include approval workflows or task assignments, they provide visibility into historical agreements and help maintain compliance and reporting standards. Selecting the appropriate repository template ensures that legacy contracts are organized consistently and remain accessible for reference or auditing purposes.
Typically, the contract workspace template will dictate the structure of your legacy contracts. This can be a very simple template. Generally, it contains no tasks, no documents, and one team member - the project owner. If you want your contract workspaces to include tasks, you can add the tasks to the templates. If your organization has an amendment process, and you are loading active contracts then you may want to include tasks for the amendment process in the legacy load template.
Documents and team members, if applicable, are added during the bulk load. However, you have the option of adding team members to the template, and they will be inherited by all the contract workspaces created from the bulk load.
