Introduction to the Balance Sheet and Income Statement Reports

Financial statements, including the balance sheet and income statement, provide essential information to stakeholders such as accountants, auditors, and tax authorities.

Dedicated apps generate these statements for different charts of accounts, including operational, alternative, and international versions. The reports allow access to specific G/L account line items, and customer and supplier line items.

Depending on the user authorizations, different additional features are available to the users:

  • Full balance sheet or profit and loss statement for several company codes
  • Display of additional currencies, if customized in the system
  • Drill down to the accounts grouped by a node
  • Display of profit centers and segments
  • Display of zero-balance accounts
  • Display of alternative account numbers
  • Application of a financial statement version for a key date

Also, depending on the user authorizations, it is possible to navigate to other apps, for instance to the Display G/L Line Items and the Display G/L Balances apps.

The financial statements can also be downloaded to different formats, depending on the app that is used. There are two main apps to execute the balance sheet and income statement reports in SAP S/4HANA:

  • Balance Sheet/Income Statement
  • Balance Sheet/Income Statement (Multidimensional)

The figure compares two Balance Sheet/Income Statement Apps: the standard app and the multidimensional app. The standard app uses Fiori technology with a simple interface, supports debit/credit logic, alternative accounts, group accounts, and displays zero balance and year-end closing postings. It allows PDF export but not Excel export, supports bank logic, and has instant search capabilities. It includes navigation features and is extensible. The multidimensional app, on the other hand, is analytical and technical, supporting many dimensions. It includes all features of the standard app except for hierarchy time dependency and extensibility, and it supports both PDF and Excel exports.

Balance Sheet/Income Statement App

Carlo is now ready to explore the use of the Balance Sheet/Income Statement app. To execute a report in the Balance Sheet/Income Statement app, Carlo will need to be aware of a few key points:

The header filter requires the completion of the following mandatory fields to execute the report:

  • Company Code
  • Ledger
  • Financial Statement Version
  • Statement Type
  • End Period and Comparison Period
  • Currency

You can further customize the report by adding optional filter fields using the Adapt Filters button, such as:

  • Account Display: To enable the display of alternative accounts
  • Financial Statement Version Key Date: To select the FSV valid at one given date
  • Including Zero-Balance Accounts: To enable this option
  • Including Segment / Including Profit Center: To enable their respective reporting

When the mandatory fields are completed, the report can be executed. Several tabs are then available to retrieve: All Accounts, Balance Sheet, Profit & Loss, Unassigned Accounts, and Notes.

Please note that the Balance Sheet/Income Statement app supports exporting the data to a PDF format file only.

Execute a Balance Sheet and an Income Statement Report

The accounting department has required the assistance of Carlo to execute some key financial reports. To prepare for the periodic closing, they would like to get an overview of all the account balances corresponding to the period. They need to generate a balance sheet and income statement reports using different data filters, including the analysis by segment.

They are also interested in exporting the report to a .pdf format file.

Balance Sheet/Income Statement App (Multidimensional)

The Balance Sheet / Income Statement multidimensional app enables the retrieval of balance sheets and income statements for various companies using the operational, local, and global chart of accounts. These reports are produced instantly by querying all relevant line items. These reports also allow Carlo to access the line items of a specific G/L account for further detailed insight.

For a more comprehensive evaluation and distribution of the financial statements, reports can be exported to Excel and PDF formats.

The app further offers comparison functionalities for different fiscal years, varying ledgers, and actual data versus planned data for the financial statement version.

Compared to the classic app, the multidimensional Balance Sheet/Income Statement app presents some key differences:

  • Possibility to export to *.PDF, *.CSV, and *.XLS formats
  • Multiple dimensions available
  • Hierarchy time dependency unavailable
  • Ledger comparisons available
  • Business transaction types available
  • Analytical engine features available

Once the mandatory fields in this report are completed, the report can be executed. It is possible to include additional selection criteria using the Adapt Filters button.

When the report is executed, the Panel Settings pane on the left side of the report enables the search and selection of measures to be included in the rows or columns of the report. Additionally, there are several buttons that allow data filtering, sorting, hierarchy management, navigation to other apps, and data exporting.

Generate a Multidimensional Balance Sheet / Income Statement Report

The accounting department has additional demands requiring the assistance of Carlo. They need to carry out some ad-hoc analysis, using additional dimensions. The requirements vary often, so the reports should be flexible and easy to set up and modify, ideally in a similar way to some of the business intelligence tools. Also, they are keen to export the results to different format files.
