Configuring SOW Template Rules

Objective

After completing this lesson, you will be able to configure Rules on an SOW template.

Rules

The configuration of each SOW Template relies heavily on rules that control the SOW creation workflow.

Rules on an SOW can also be configured to control how characteristics and SOW workers can be configured when a statement of work is being created. Additionally, rules can be configured to indicate how revisions to a confirmed SOW should be handled.

Determining how these rules should be set is entirely based on an organization's needs. Some of these rules become hard-coded during the SOW Creation process, and some simply define default values that can be changed during SOW creation. Ultimately, the fields and values that display or may default on the SOW itself are a combination of inherited settings at both the SOW Type and SOW Template level.

The Rules options on the Add New SOW Template Page, dividing into sections for SOW Rules section, SOW Revision Rules, Characteristic Rules and SOW Worker Rules. Each section has many options that can be selected, unselected, or locked, to determine how the template will handle those various workflow items.

Configure the SOW Template Rules

WorkingNet Networking, Inc., a global manufacturer of data networking equipment, is building several new distribution centers in several countries, while simultaneously implementing new logistics software and processes.

Their first new distribution center is being built in a suburb of Atlanta, so WorkingNet will use the new Atlanta hub as their base of operations. They're going to engage CarryAll Consulting, a logistics design and implementation firm, to both help streamline their logistics processes as well as implement the new software.

In order to engage CarryAll, WorkingNet will use SAP Fieldglass to create the statement of work. However, they've never engaged a services provider for this type of work before, so WorkingNet will need to build a new SOW Template to accommodate this project.

As the SAP Fieldglass administrator for WorkingNet, you've already completed the Statement of Work section of the SOW Template by adding details such as who is defining the SOW, whether the template can be used for SOW Bids, and adding relevant currencies. You've also determined which characteristics will be available on the SOW and added necessary clauses.

The final step is to set the template rules.

This is a continuation of a previous simulation. Please see the lessons Configuring the SOW Template Form Page and Configuring Clauses for the SOW Template to review the previous steps in the process of creating an SOW Template.

Summary

SOW template rules within SAP Fieldglass control various aspects of the SOW creation workflow, such as budgeting, revisions, worker management, and invoicing. The proper configuration of these rules is crucial for aligning with the organization's needs and ensuring efficient SOW creation and management.

Key Points:

  • Budget Control: Rules can be set to disallow approval of items when the maximum budget is exceeded, ensuring budget control.
  • SOW Revision Handling: Rules can specify when revisions to a confirmed SOW require approval, which helps manage changes efficiently.
  • Worker Onboarding: Rules related to worker activation and registration streamline the process, depending on the organization's onboarding procedures.
  • Automation: Certain rules, such as auto-invoicing and AI-enhanced descriptions, increase efficiency by automating repetitive tasks.
  • Template Customization: Rules can be customized at both the SOW Type and SOW Template level, allowing for flexibility and alignment with organizational policies.
