About Filling Out Internal Questionnaires in Process Projects

You may be asked to complete an internal questionnaire as part of a new process or a renewal of an existing one.

If you’re the first to receive the questionnaire, you’ll fill it out and submit it.

If you need to update an existing questionnaire, you might be the original recipient, or the process owner might have reassigned it to you. Either way, you’ll review the answers, make necessary updates, and resubmit the questionnaire. You can also view its version history during the update.

If the feature for internal forms in modular questionnaire projects (SM-30222) has been enabled in your site, these projects may include one or more internal forms in addition to the key questionnaire. When you receive an internal questionnaire, you fill out and submit the key questionnaire for the project.

How to Fill Out Internal Questionnaires in Process Projects

If you're the recipient of an internal questionnaire in a supplier management process, follow these steps to complete and submit the questionnaire.

Prerequisites

To fill out an internal modular questionnaire, you must be its current recipient.

The process project feature (SM-16798) must be enabled in your site.

Business Scenario

NSM Global asks category managers to provide input during discontinuation processes by completing internal questionnaires. After deciding to discontinue Scalene IT Solutions’ existing qualification for computer services across all North American business units, category manager Joe Ortiz needs to fill out a questionnaire to record the reasons for this decision.

In this video, you’ll watch Joe fill out an internal questionnaire in a supplier management process project.

Steps

  1. Perform one of the following actions:

    • Choose the link in the e-mail notification informing you that you're the questionnaire recipient.
    • Navigate to the Questionnaires detail area of the supplier's profile and open the questionnaire.
  2. Choose Edit and fill out the questionnaire as needed.

  3. Perform one of the following actions:

    • Choose Submit to submit your responses.
    • Choose Save to save your responses in draft mode and return later to complete and submit them. Saved draft versions are not versioned; only the most recent changes are included. An upgraded template for an internal questionnaire retains draft responses even after it has been upgraded.

      Note

      By default, only the process owner can edit internal questionnaires and save them as drafts. However, the process owner can request an update from a different recipient and invite them to update the questionnaire. The new recipient can see the previously saved responses and provide their own. The new recipient can also overwrite previous responses and save the draft again.
    • Choose Cancel to open the Cancel questionnaire dialog box. If you choose Confirm in the dialog box, you'll lose all unsaved changes and be redirected to the previous page. If you choose Cancel, you'll stay on the same page and can continue updating the questionnaire.

Result

If the questionnaire has an approval flow, submitting it generates notifications letting approvers know they must review your answers and approve or deny the questionnaire.
