Defaulting the Administrator Group

Objective

After completing this lesson, you will be able to update the system feature PINCH to default the administrator group into the organizational assignment infotype (IT0001)

PINCH Feature

The PINCH feature determines an administrator group that is stored in the Organizational Assignment infotype.

You can assign administrators to an administrator group by doing the following steps:

  • Store the return code of the feature in the Group field.
  • Assign a three-character ID to each administrator.
  • Determine the administrator’s name, form of address, telephone number, and user name ( SAP User name of the administrator).

If the return value of the PINCH feature is four asterisks (****), the system uses the name of the personnel area to which the employee is assigned in the Organizational Assignment infotype (0001) as the name of the administrator group.

You can select the administrators stored in the system that belong to the default administrator group. To do so, you can choose F4 help in the relevant field in the Organizational Assignment infotype.

How to Create a New Administrator

Return to IMG activity Define Administrator and copy the entry you made in the last exercise (with administrator group PA## ). Use this entry to create an administrator group with the identification SG## . ( ## is group name)

Steps

  1. Create an administrator group with the identification SG## .

    1. In the project IMG , choose Personnel ManagementPersonnel AdministrationOrganizational DataOrganizational AssignmentDefine Administrator .

    2. Select the entry with administrator group: PA## , administrator: A## , and your SAP user name: HR305-## .

    3. Choose Copy as . Overwrite the group " PA## " with " SG## ", choose Copy .

    4. Save your data and return to the IMG .

Result

How to Update the PINCH feature

In the IMG , find the activity Define Administrator Groups , in which you will find the PINCH feature.

Open the otherwise transaction class and the personnel area query .

Steps

  1. Use the example of personnel area: PA31 to consider the logic for the entries you would have to make to achieve the following:

    If an employee works in production, administrator group: SG31 should be proposed by default. For all other employees, administrator group: PA31 should be proposed by default.

    What entries do you have to make?

    Now, compare your solution with the solution that is already defined in your personnel area PA## .

    1. In the project IMG , choose Personnel ManagementPersonnel AdministrationOrganizational DataOrganizational AssignmentDefine Administrator Groups .

      A new query after the personnel subarea . If the personnel subarea = 0004 , the return value should be SG## . Otherwise, the return value should be " PA## " or "****".

  2. Create the solution you found for your own personnel area PA## for personnel area: PA31 too.

    Check the feature tree for errors.

    Save and activate the feature.

    To change the " PINCH " feature, proceed as follows:

    1. Search for personnel area (WERKS): PA## under transaction class (TCLAS) .

    2. Position your cursor in the PA## node on the return value "****", and choose Delete . Confirm the Delete node/sub-tree dialog box by choosing Yes .

    3. Position the cursor on the PA## node and select the function Create nodes . The Otherwise: Choose node type for new nodes dialog box appears. Set the Field for decision operation indicator and confirm by choosing Enter.

    4. In the Field selection for decision operation dialog box, select the BTRTL Personnel subarea field, and confirm with Transfer .

    5. Position your cursor on the newly created BTRTL node and execute the Create function.

    6. The Personnel subarea dialog box appears. Here, select Personnel subarea 0004 in personnel area PA##, and confirm with Enter .

    7. Position your cursor on the 0004 node and choose Create . In the dialog box that appears, confirm the Return value default setting with Enter .

    8. The system displays the Return value for field value 0004 dialog box. Here, enter the value SG## , choose Transfer .

    9. Position your cursor on the otherwise node and choose Create . In the dialog box that appears, confirm the Return value default setting with Enter .

    10. The system displays the Return value for field value otherwise dialog box. Here, enter the value ****, choose Transfer . This ensures that administrator group PA## is proposed for all other personnel subareas of personnel area PA## .

    11. After you have changed the " PINCH " feature, choose the Check feature function. The system should display the message Decision tree is error-free .

    12. Save and activate the feature.

Result

How to Confirm Default Values Used in Master Data

Call the Organizational Assignment infotype (0001) again for your employee within the HR305 hiring action. Make a note of the default values:

Steps

  1. Proposed administrator group: __________

    Personnel administrator: __________

    Save the infotype and terminate the hiring action.

    1. In the project IMG, choose Human ResourcesPersonnel ManagementAdministrationHR Master Data .

    2. Choose Personnel Actions . Enter the personnel number 305992## .

    3. Select the Hiring HR305 personnel action.

    4. Choose Execute .

    5. Choose Execute info group to restart the hiring action.

    6. Choose Next record until you reach the Organizational Assignment infotype (0001).

    7. Use the possible entries function for the Personnel , Time Recording , and Payroll administrator fields.

    8. Save the infotype and terminate the hiring action.

    9. Leave the hiring personnel action by choosing Exit .

    10. Return to the SAP Easy Access screen.

Create a New Administrator Group

Business Example

You need to define an administrator group for the master data, payroll, and time management of an individual employee.

Return to IMG activity Define Administrator and copy the entry you made in the last exercise (with administrator group PA##). Use this entry to create an administrator group with the identification SG##. (## is your group name).

Steps

  1. Create an administrator group with the identification SG##.

    1. In the project IMG, choose Personnel ManagementPersonnel AdministrationOrganizational DataOrganizational AssignmentDefine Administrator .

    2. Select the entry with administrator group: PA##,administrator: A##, and your SAP user name: S4HR35##.

    3. Choose Copy as. Overwrite the group PA## with SG##, and choose Copy.

    4. Save your data and return to the Project IMG.

Update the PINCH feature

Business Example

You need to update the PINCH feature to define administrator groups for the individual employee subareas.

In the IMG , find the activity Define Administrator Groups , in which you will find the PINCH feature.

    8. The system displays the Return value for field value 0004 dialog box. Here, enter the value SG## , choose Transfer .

    9. The system displays the Return value for field value otherwise dialog box. Here, enter the value ****, choose Transfer . This ensures that administrator group PA## is proposed for all other personnel subareas of personnel area PA## .

    10. After you have changed the " PINCH " feature, choose the Check feature function. The system should display the message Decision tree is error-free .

    11. Do not save or generate the feature.

Confirm Default Values Used in Master Data

Business Example

You need to confirm default values used in the master data for the individual employee.

Call the Organizational Assignment infotype (0001) again for your employee within the Hiring HR Master Data PA hiring action. Make a note of the default values:

Steps

  1. For the following, see the solution in step k).

    Proposed administrator group: ________

    Personnel administrator: __________

    Save the infotype and terminate the hiring action.

    1. On the SAP Easy Access screen, choose Human ResourcesPersonnel ManagementAdministrationHR Master Data.

    2. Choose Personnel Actions. Enter the personnel number 305992##.

    3. Select the Hiring PA Master Data PA personnel action.

    4. Choose Execute .

    5. Choose Execute info group to restart the hiring action.

    6. Choose Next record until you reach the Organizational Assignment infotype (0001).

    7. Use the possible entries function for the Personnel, Time Recording, and Payroll administrator fields.
