Managing Access to SAP LeanIX

Objective

After completing this lesson, you will be able to understand the SAP LeanIX basics and comprehend the role of fact sheet owners

Access Your Workspace

As a first step in navigating to SAP LeanIX, you will receive an invite to access the workspace. You need to take a couple of action steps to be able to successfully activate and setup your workspace.

Step 1: Receive workspace link or invitation e-mail

Option A: SSO

Depending on your organization's login preferences, the SAP LeanIX workspace access may be configured through your SSO (single sign-on). If so, you can access the workspace via a link (usually companyname.leanix.net).

Option B: non-SSO

The SAP LeanIX admins provide users with access to the workspace. Once invited, you will receive an e-mail. Follow the instructions in the email, and click on activate to gain access to your workspace.

For privacy reasons, the original names and links have been replaced with orange notes. The text displayed in the e-mail might differ depending on the changes the admin of your organization has made.

Step 2: Fill out the necessary data

Only for non-SSO configuration: Fill out the required data - name, last name, setup the password and then click join.

Step 3: Complete your profile
‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾‾

One of the first steps after gaining access is to complete your profile. If necessary, update your personal information.

You can do that anytime by:

  1. Clicking on the drop-down menu at the upper-right corner of the workspace.
  2. Navigating tomy settings→ profile.
  3. Update your profile picture and name.

Step 4: Change your password

Only for non-SSO configuration: Completing your profile also includes changing the password if and when needed, accessible anytime while being logged in by following these steps:

  1. Clicking on the drop-down menu at the upper-right corner of the workspace.
  2. Navigating to my settings→ profile.
  3. Enter old and new passwords and click change password.

Step 5: Set your notification preferences

Finalize your profile by customizing your notification preferences if needed since the workspace admin configures the default ones. You can choose how often you should be notified of changes. We recommend setting up instant notification if you are responsible for the fact sheet. Look for more information in the documentation.

My Settings

User Roles

The overall access and permissions are managed by the system administrator for SAP LeanIX in your organization.

The standard user roles are explained below, while viewer or member ones are the most common for fact sheet owners. It may be possible that you have different user roles, because the admin can configure custom user roles.

Viewer

Can view, subscribe to, and comment on all fact sheets.

Member

Can view, create and modify all fact sheets.

Admin

Has all permissions of a member user as well as administrator permissions for a workspace.
