Selecting the Job Posting Source

Objective

After completing this lesson, you will be able to select an appropriate template to begin the process of creating a Job Posting in SAP Fieldglass.

The Job Posting Source

The Job Posting creation progress bar trail showing the Setup, Details, Augment, and Review and Submit phases of Job Posting creation. The Setup indicator is highlighted in blue indicating that the first step in the process is currently being performed.

The first step in creating a Job Posting is to choose the source.

The job posting source can be either:

A Job Posting Setup page highlighting the list of recently created job postings and the list of available job posting templates.
1an existing job posting, which is useful if the hiring manager is hiring for a similar position, or
2

a Job Posting Template, which contains the default values and information fields that appear when a Job Posting is created. A template is created for every conceivable position with the organization that may require a contingent worker, and consists of such information as rates, supplier distribution lists, and specific rules that need to be applied to the position for which a worker is being hired. When a template is selected, that information is loaded into the job posting itself so it does not have to be entered manually.

The job posting template drives a multitude of settings and data fields on the Job Posting itself.

Select a Job Posting Source

Let's take a look at how a job posting template drives the creation of the job posting itself.

WorkingNet Networking, Inc., a global manufacturer of data networking equipment, is building several new distribution centers in several countries, while simultaneously implementing new logistics software and processes. The new logistics processes will require WorkingNet's accounting methods to be revised.

To help transition to the new software and the revised accounting methods, Melanie, the manager of the finance department at WorkingNet, needs to procure several accounting clerks for the six-month period in which the software is being configured and implemented. Each new hub location will require at least one accounting clerk.

One of the new hubs is being built in a suburb of Atlanta, so an accounting clerk needs to be procured for their Atlanta office.

Follow along as she performs the first step of the four-step contingent procurement process in SAP Fieldglass to hire an accounting clerk for the Atlanta office: selecting the job posting template.

Joule Offerings for Contingent Workforce Management

As part of its continued development of generative AI services and offerings, SAP Fieldglass allows customers to optimize the standard contingent workforce "initiate", or creation phase, with further automation and increased efficiency. For customers who have enabled the Joule Co-Pilot in their tenants, the AI assistant can be leveraged to discuss their job requisition requirements, immediately receiving Job Posting Template recommendations as well as the auto-population of some key fields, which helps them save time, reduce manual errors, and streamline operational processes. The recommended best-fit templates, provided by the assistant, can result in an expected 50% reduction in the time required to initiate a job posting. When combined with the generative AI services that provide enhanced Job Posting descriptions, translations, and skill recommendations, creation of contingent job postings is made much more efficient.

Named Job Posting

Some industries and organizations re-hire many of the same workers. If hiring managers have already identified the best fit candidate for a given position outside of SAP Fieldglass, they can use a Named Job Posting to specify the job seekers upfront in the job posting creation process, eliminating the need to distribute the job posting to multiple suppliers.

1Creating a Named Job Posting starts in the Quick Create menu, by selecting the Named Job Posting for Worker option on the Contingent Labor card.

Information available for the workers include the worker ID, which appear as selectable links, a Registrant ID (if applicable), the worker's name, the supplier who represents the worker, as well as any job posting templates the worker may already be associated to, and if a resume/cv is available. A worker ID link is highlighted.
2To select a specific worker, you can filter by any of the criteria represented by the columns, then select the worker’s ID link.

3Selecting the History tab will list the worker’s history.
4Selecting the Create Named Job Posting button will launch the job posting creation process.

The worker's workforce details page is slightly different than the worker's record that can be accessed from the admin menu. It shows the minimum identifying details of the worker.

The Named Job Posting create page is essentially identical to a standard Create Job Posting page, except for the addition of the Created For field, which contains the name of the selected worker.

From this point forward, it follows the standard job posting creation process.

The job posting is only sent to the supplier associated with the selected job seeker, and only that job seeker can be submitted for the job posting.

Summary

The first step in creating a job posting is selecting the source, which can either be an existing job posting or a job posting template.

Key Points:

  • Existing Job Posting: Useful for hiring similar positions; saves time in recreating similar job details.
  • Job Posting Template: Contains default values and settings for various positions; eliminates the need for manual entry.
  • AI Joule Co-Pilot: Offers efficiency and automation in the initiate phase of the contingent management workflow, recommending templates and partnering with other core AI functionalities to improve the creation of requisitions and reduce overall operational timelines.
  • Named Job Posting: Allows hiring managers to specify known candidates upfront, targeting the posting to specific individuals and suppliers.
  • Efficiency in Re-Hiring: Named job postings streamline the process by sending the posting directly to the associated supplier and candidate, reducing distribution efforts.
