Reviewing SAP Ariba Mobile Features

Objective

After completing this lesson, you will be able to explain the SAP Ariba Mobile app's features with enablement of your mobile device.

SAP Ariba Mobile App

The SAP Ariba Mobile app is available for Android and iOS devices and allows users to shop the catalog and spot by approved documents, receive notifications and perform other basic functions.

To use the app, users must be members of the SAP Ariba mobile user group.

The SAP Ariba Mobile App is displayed.

SAP Ariba Mobile can be downloaded like other Apps for your IOS and Android devices.

User will need group permissions, SAP Ariba Mobile User allows users to activate and access the Mobile App on their device.

The Mobile App currently supports:

  • Approvals
  • Catalog Shopping, including Spot Buy
  • Sending Supplier 360° Reports to Mobile device

The App also sends notifications, allows you to easily track orders and Nudge approvers.

  • Available for iOS and Android devices
  • Download from the App Store (iOS) or Google Play (Android)
  • Requires group assignment as well as a one-time per-user setup
  • Supports mobile catalog shopping and approvals

Activate Your Device

In order to begin using the SAP Ariba mobile app, users must first pair it with an SAP Ariba buying and invoicing user account.

A device can only be paired with one user account at a time.

To get started, open the SAP Ariba mobile app and click Next on the welcome message to receive an activation code.

The Ariba Activation app page is displayed.
  • After downloading the App, it must be "paired" with a user account
    • Welcome to the SAP Ariba Mobile App! Message appears, click next.
    • You will receive an Activation Code
  • Open the App and click Next to view your activation code
  • A mobile device can only be paired with one user account.

Once users have an activation code, they will log into the full SAP Ariba buying and invoicing site, then click their name or initials in the top right corner of the screen to open the user preferences menu.

From the menu, clicking activate mobile device will open a prompt to enter the activation code.

Next, users are required to create a unique PIN or enable touch ID for security.

Now the SAP Ariba mobile app will be paired to the users account and ready to go.

The user preferences menu and SAP Ariba also has a deactivate mobile device option that can be used to unpair the device with the user account if needed.

The Activate Device section is displayed.

Second step of activation is to log in to your SAP Ariba site. Use the Activate Mobile Device option in the Preferences menu. Note that, while you may activate multiple devices for the same user account, you cannot set up one single device to use multiple SAP Ariba users or realms at this time.

After entering the activation code, you must set up a unique PIN or enable touch ID on your device. This is allows access to the App in future, activation is only required to initially "pair" the device.

The Deactivate Mobile Device option will allow you to remove access for a specified mobile device that was previously paired with your user login.

  • Once you have been assigned to the appropriate groups, an Activate Mobile Device option will appear in your User Preferences menu
  • Enter the code generated by the SAP Ariba Mobile app
  • On your mobile device, set up a PIN or Enable Touch ID on your Mobile device
  • You can use the Deactivate Mobile Device option later to unpair your device from your user account
  • You can pair multiple mobile devices to the same user account

Home Screen

The SAP Ariba mobile app home screen contains permission-based tiles.

The two approved tile displays the number of documents pending the user’s approval and can be used to access approvable documents.

The shopping tile allows users to shop catalogs and spot by.

The MY request tile shows requisitions and other documents created by or for the user.

The tile also shows requests to watch, which displays requisitions where the user has been added to the approval flow as a watcher.

The approved or denied tile shows requisitions that the user has approved or denied in the last 30 days.

The MY report document style shows supplier 360 reports that the user has received.

The SAP Ariba mobile app also contains links to the exchange user community as well as links to help and product documentation.

The SAP Ariba app Home screen is displayed.

On the home screen each user has tiles that are determined by their roles in their user account, as well as actions required.

  • To Approve – Number of items currently awaiting approval
  • Shopping – Users with the Mobile Shopping can shop the internal catalogs in SAP Ariba, as well the Spot Buy catalogs. Punchout catalogs, collaborations and non-catalog requisitions are not available.
  • My requests – View requisitions you have submitted.
  • Requests to Watch - Requisitions that include you in the approval flow as a watcher.
  • Approved / Denied - Requisitions that you have approved or denied within the last 30 days.
  • My Report Documents – Supplier 360° Reports sent to your device.

The SAP Ariba Exchange User Community banner is located at the top and articles about procurement and SAP Ariba solutions can be accessed via the Mobile App as well.

Approving Requisitions

From the home screen of the SAP Ariba mobile app, click on the TODO approved tile to access requisitions and documents pending approval.

From here, clicking on a requisition will take users to view the details, comments and attachments.

The approve and deny buttons make it quick to render an approval decision and optionally users can add comments.

The mobile app also allows users to receive notifications when attachments are added or removed when comments are added, or when there's a nudge.

On the home screen, click on the "To Approve Tile" to see a list of Requisitions requiring your approval

The Approving Requisition screens are displayed on the mobile app.

You can use the SAP Ariba Mobile app to view requisitions which require your approval, including line item details, comments, and attachments. You can also approve or deny the requisitions right from the app.

  • Click on the To Approve Tile to see a list of Requisitions requiring your approval.
  • Click on a Requisition to view details, including comments and attachments
  • Click Approve or Deny
  • Add optional comments, click Done

Notifications are triggered someone adds removes attach, adds comment, nudge.

Catalog Shopping

The shopping tile on the home screen navigates to the company catalog or spot by where users can search for items, view item details, and add items to their shopping cart.

The Catalog Shopping screens are displayed on the SAP Ariba application.

From the Home Screen, click on the "Shopping Tile" to shop your company’s catalog or Spot Buy catalog.

  • Search or browse for items,
  • View item details
  • Build a shopping cart

Requisition Creation and Submission

After adding items to the shopping CART, clicking checkout takes users to the requisition where required, and optional information can be entered before submitting the requisition for approval.

The Requisition Cart is displayed in the SAP Ariba application.

Once you have added items to Shopping Cart:

  • Click Check Out
  • View and edit requisition details as required
  • Click Submit for approval

Submitted Requisition

At the bottom of a submitted requisition there are buttons to nudge, withdraw the requisition, or add comments. The nudge feature is only available for users with the SAP Ariba mobile app and can be used to send approvers a nudge notification with optional comments to request that they complete the approval.

With a requisition open, rotating the phone will show the full approval flow.

The Submitted Requisition page is displayed on the SAP Ariba application.

After submitting the requisition you will have Acton Buttons available at the bottom of the screen:

  • Nudge*
  • Withdraw
  • Comment

Nudge is only available in the Mobile App and it sends a notification to an approver to nudge them to complete the approval, optional comments can be added to the notification.
