Managing Employee Central Quick Actions Feature

Objective

After completing this lesson, you will be able to manage SAP SuccessFactors Employee Central Quick Actions feature.

EC Quick Actions Feature

Select Manage My Data card on the home page to initiate a self-service transaction.

Employee Central Quick Actions simplifies self-service actions. This optional feature enables the creation of templates based on the most frequently used employee and manager self-service actions.

Quick Actions allow you to customize the fields displayed for each self-service action (e.g., change address, email, cost center, etc.), unlike the standard ESS/MSS Take Action menu, which shows all configured fields in the relevant block.

The template must use a specific use case from a set list provided by SAP SuccessFactors.

A maximum of 15 templates can be configured for Transfer, Promotion and Demotion actions and 5 templates for other uses cases.

A template can include standard, custom, and country-specific fields.

The maximum number of fields allowed in the template depends on the use case.

There are currently 33 predelivered use cases that support changing, adding, and deleting core employee information (not including Quick Actions for Positions).

  • Addresses (Typeahead service not supported)
  • Chosen Name/Legal Name
  • Cost Center/Job/Location/Marital Status
  • Emergency contacts/Email Address/Phone numbers
  • Contract End Date/Probation
  • Job Code/ Job Relationships / Working Time
  • Promotion/Transfer/Demotion/One-time payments
  • Adding attachments

Each use case includes predefined fields for that action. For example, the Change Location quick action defaults the Location and Timezone fields from Job Information.

Creating the Templates

  1. Configure the Quick Action templates for the use case in Manage Data Go to Manage Data to create a quick action template.
  2. Choose a use case from the list. You can change the default values associated with the use case.

    The system always takes the event reason from the template, even if you have set up Event Reason Derivation (ERD). If no event reason is defined in the template, then the system uses ERD.

  3. Add permissions to the newly created Quick Action Templates for employees and managers. User PermissionsEmployee Central Quick Actions.
  4. Repeat as necessary for other scenarios (up to 15 templates for Transfer, Promotion and Demotion / 5 templates for others)

Considerations

  • Existing configurations such as workflow and event reason derivations are supported in EC Quick Actions feature
  • Rules assigned as onSave and onChange, onView, and onPostSave are supported. The system executes rules for all fields, even if the field is not included in the template.
  • The system ensures that field properties such as visibility and mandatory cannot be changed
  • Users can access the Quick Actions in the following interfaces:
    • Home PageManage My Data
    • Managers can use Home PageManage My TeamActions
    • Quick Actions are available in the employee quickcards: QuickcardEmployee DetailsShow Actions and Links
    • Quick Actions are available in the Take Action menu in the employee profile
    • Joule - Joule utilizes the configured EC Quick Action Templates when prompted.
  • To ensure employees do not see the manager-specific actions in any of the interfaces, do not grant them permissions to the manager-specific templates.
