Accessing Performance Management Forms

Objective

After completing this lesson, you will be able to access forms in the Performance Management Inbox.

Performance Management Inbox

Users access the Performance Management menu from HomePerformance, which is referred to as My Forms page. The following actions can be completed from this page:

  • Access their in-progress forms from their Inbox, whenever an action is required from their end at the Current Step of the form.
  • View their in-progress forms in the En Route folder, those that may be in a different step of the route map, and the action has already been taken in a previous step.
  • Access their Completed folder, to see all those forms already completed.
  • Create folders to organize their completed forms.
  • Use the Search options to locate their forms more easily.
  • Mass Route forms to Next Step or Previous Step. These actions require the permissions Mass Route Document Forward and Mass Route Document Backward, granted in Role-Based Permission, and located in the Manage Documents category.
  • Create New Forms individually. This option requires the Permission to Create Forms granted in Role-Based Permission and located in the General User Permission category. The options available to create a form might depend on:
    • Which templates are selected under the Permission to Create Forms RBP permission.
    • The Default Targets set in Form Template Settings for each template. As an example, a manager might be able to create a new form for their direct reports and themselves, but another form template might be restricted to creating a form only for themselves.
    • The option Allow form creator to select anyone as a subject in Form Template Settings, will allow searching beyond the reports and select anyone in the organization as the form subject. This permission is dependent on the target population granted for the User Search permission in RBP.

The latest version of My Forms page includes some advantages compared to the legacy version, now deleted:

  • Search for forms in every form folder.
  • View the number of forms in the title of the form list.
  • Search for forms despite not having the permissions to mass route forms.
  • Search by more reporting relationships, if applicable.
  • Select which search filters to display.
  • Customize which standard and custom filters are available to end users via RBP permissions.
  • New menu to create a form, mass route forms, or create custom folders for complete forms in a more efficient way, using the Manage Folders menu.
The Inbox section of My Forms page on the Reviews tab is displayed.

When creating a performance form, users can either select someone from a default list, or choose to perform a search after selecting the Search Among All Employees check box. The setting Allow form creator to select anyone as the subject must be turned on in the Form Template Settings for the user to be able to search among all employees.

The Create Form pop-up screen is displayed along with Template and Employee Name.

Configure and Navigate the Performance Form Inbox

In the following exercise, you will be configuring and navigating the Performance Form Inbox, enabling the specific option to control visibility of filters in the My Forms page, and ensuring that some of the filters are not available to managers.

As a last step, you will complete some actions in the My Forms page.

Steps

  1. Enable the setting to control visibility of filters in Performance Management Feature Settings.

    1. Navigate to Performance Management Feature Settings using Action Search.

    2. Enable the following option:

      • Use RBP to control visibility of filters on the My Forms page.
    3. Choose Save to save all changes.

    4. A Successfully Saved! pop-up dialog will display. Select OK to close it.

  2. Grant permissions to Managers to display only some filters and allow them to drill down into form details for their direct reports.

    1. Navigate to Manage Permission Roles using Action Search.

    2. Locate the Managers role, and select the Edit option from the Actions section.

    3. Select Next to navigate to step 2. Add Permissions.

    4. On the User Permissions select the Performance permission category.

    5. Grant the following permissions:

      • Form Filters
        • Within the Form Filters, change the All radio button, to the other one beside.
        • Select the following options from the dropdown list: All or Reports Only, Division and Department.
    6. Select Next and choose Save at the last step, to save the permission changes.

  3. Verify managers can only see the filters that were granted in Role-Based Permissions.

    1. On the name menu, select Proxy Now and use Manny Manager.

    2. Navigate to HomePerformance to access the Performance Inbox.

    3. Verify you can display the filters All of Reports Only, Division and Department.

  4. Complete some actions in My Forms page as a manager.

    1. On the left section, locate an option called Create Folder, which shows on the Completed forms section

    2. Type My Team's PM Forms on the Folder Name.

    3. Select Create. The new folder is now available for ordering completed forms.

    4. If you have any completed forms on the Unfiled section, you can do these steps to move your direct reports' completed forms into the new folder:

      • Select My Direct Reports on the filter All or Reports Only.
      • Choose Go to start searching.
      • Select all forms using the checkbox beside the Title.
      • Select Move to FolderMy Team's PM Forms
