Using Writing Assistant and Coaching Advisor

Objective

After completing this lesson, you will be able to use Writing Assistant and Coaching Advisor content to provide feedback.

Writing Assistant in Performance Forms

The Writing Assistant has the following features:

  • Writing Assistant provides guidance on suggested comments within the Performance Review and 360 Review forms.

  • You can access it within the standard competency libraries, using the tool Manage Writing Assistant and Coaching Advisor.

  • When you turn it on for a section, users can see the Writing Assistant inside the performance form’s competency section(s).

Give Feedback Using the Writing Assistant in Performance Forms

Steps

  1. You can access the Writing Assistant when completing a Performance Form or 360 Review form by selecting the Writing Assistant button.

  2. The Writing Assistant dialog box appears.

  3. In the Writing Assistant dialog box, you can select the level of behavior that most closely describes the employee. Each level of behavior has teasers, which describe the behavior.

  4. You can adjust the positivity of the language in the text and choose the voice.

  5. Select Place Quote to automatically insert the customized comment into the comment box.

The Give Advice Tab in Performance Forms

The Give Advice tab provides guidance relevant to the competency being rated. It offers developmental suggestions and concepts that address a defined problem or encourage an employee’s strength. The text displays on the Give Advice tab in the order determined in the performance details.

This feature is available within the standard competency libraries, and you can create it for custom competency libraries. When an administrator configures this within a competency library, the tab is called Coaching Advice.

Manage Writing Assistant and Coaching Advisor

To review and manage the content from the previous examples, use the administrator tool Manage Writing Assistant and Coaching Advisor. You can select each Competency Library and edit the Performance Details.

Caution

This tool is only used to create and manage Writing Assistant and Coaching Advisor content. The competency details are managed in Talent Intelligence Hub as seen previously.

Steps

  1. Navigate to Manage Writing Assistant and Coaching Advisor and select the SuccessFactors 2.1 Competency Library from the list.

  2. From the list of competencies, select Building and Supporting Teams.

  3. The Performance Details section shows the following:

    • Teaser Levels: Improve, Meets and Exceeds. Levels can be added, deleted or swap their order.
    • Teasers: Each of these teasers will include the writing assistant and coaching advice content, and can be placed on the appropriate level, depending on their feedback about a competency to be improved, met or exceeded the expectations. Teasers can be added, deleted or moved on a different teaser level, as needed.
    This example shows the different teaser levels (Improve, Meets, Exceeds) and the teasers for the competency Building and Supporting Teams.
  4. Select the teaser supports team activities on the Meets teaser level.

  5. The details include Performance Descriptions and Coaching Advice tabs. On the Performance Descriptions, we can add, edit or remove the different feedback that end users can include as comments on forms. There are options for First Person (I), available when the subject of the form is commenting, Second Person (You), for other users like Manager commenting on the subject's form, and Third Person (pulls the Employee Name), available to all users working on the form. Additionally, descriptions can be included with less positive, neutral or more positive tone.

    This example shows the different descriptions for the teaser supports team activities from less to more positive.
  6. The Coaching Advice tab allows to provide suggestions for development, which can be grouped into different categories as needed.

    The Coaching Advice tab includes some suggestions to improve on the ability to perform the competency.
