With the integration of SAP SuccessFactors and Microsoft 365, more notification card types are available to remind users of their HR tasks in Microsoft Teams.

In Teams, the SAP SuccessFactors app sends the following types of cards to prompt users to complete relevant tasks:

  • Activities: view details about an activity that has been recently updated.

Latest Version of My Forms Page for Performance Management and 360 Reviews

Description

The latest version of the My Forms page offers a more intuitive page layout, improved search functions, simplified flows to create and manage forms, and other user experience enhancements.

The latest version includes the following changes:

ChangeBeforeAfter
More intuitive page layout

The page layout was unbalanced and less intuitive:

  • There wasn't enough space for the form list and there was a lot of blank space in the upper right of the page.
  • UI elements weren't closely grouped by their functions.

We redesigned the page layout:

  • There's more space for the form list as the filtering region is more compact and the column display options are hidden behind the Column Visibility Settings icon.
  • UI elements are grouped into three sections for navigation, filtering, and form listing.
Improved search functionsSearch filters were only available in the Inbox folder.Search filters are available in every folder such as All Forms, En Route, Unfiled, and custom folders. This enhancement is from Customer Community Idea 228263.
Search filters were only available to users who had the permissions to mass-route forms.Search filters are available to all users. This enhancement is from Customer Community Idea 297673.

Users could filter forms by choosing between All and My Direct Reports.

Users can filter forms by more reporting relationships, such as matrix reporting and HR reporting. This enhancement is from Customer Community Idea 297673.

Simplified flows to create and manage forms

It took more steps to do the following tasks:

  • Create a form
  • Create, rename, or delete a custom folder
  • Route forms

Users can create a form, or create or manage a folder, directly within a popover dialog on the page.

To route forms, users can select the forms and then choose Send to Previous Step or Send to Next Step.

Other user experience enhancements

The navigation panel wasn't easy to use for the following reasons:

  • Users might have difficulties distinguishing folders (such as All Forms and Inbox) from headers (In Progress and Completed).
  • When users selected a header intending to expand or collapse the folder list, the first folder under the header automatically opened.
  • Users couldn't view the In Progress folder list and the Completed folder list at the same time. When one was expanded, the other collapsed.

We improved the navigation panel in the following ways:

  • We added icons to help users understand the structure.
  • Users can select the arrow icon in a header to expand or collapse the corresponding folder list.
  • Users can view the In Progress folder list and the Completed folder list at the same time.
Users might don't understand the differences between the Inbox and En Route folders since they both store in-progress forms.

We added help texts explaining the purpose of the Inbox or En Route folder.

The form routing results weren't structured, using a message box without proper line breaks and formatting.

The form routing results are presented in a formatted and organized way.

s

The page wasn't responsive to the user's screen size. The page is responsive to the user's screen size.
Users couldn't adjust the width of each column in the form list.Users can adjust the width of each column in the form list as desired.
Users had to use pagination bars to view other forms.Users can scroll down to load more forms. The pagination bars were removed.

Note

The following legacy features are not supported on the latest page:

  • The Form Status option in the navigation panel
  • The Insights panel that popped up when users selected the Insights icon in the top right of the page

We developed the latest version of My Forms page to deliver a user experience that’s modern, consistent, and efficient.

Configuration Requirements

The latest version of the My Forms page is enabled by default. To revert to the previous version, deselect Enable the latest version of the My Forms page in Performance Management Feature Settings.

Use Continuous Performance Management Data to Support Inferencing in Talent Intelligence Hub

Description

The data from Continuous Performance Management (CPM) can be enabled, by an administrator, to be used for an employee's Growth Portfolio in the Talent Intelligence Hub.

The Talent Intelligence Hub is a centralized framework that connects individual attributes, strengths & styles, and expressive preferences to both people and the experiences throughout SAP SuccessFactors solutions. This framework enables organizations to understand and manage their workforce holistically while supporting excellence and growth aspirations of their people. Activities, Achievements, and Feedback in Continuous Performance Management (CPM) are typically a reflection of the work an employee is doing and can be used as a means of inferring the skills that an employee may have. As more employees continue to build a portfolio of activities, achievements, and feedback, it’s likely they’re acquiring new skills that may not otherwise be captured.

The administrator can allow this CPM data to be used by the Talent Intelligence Hub by selecting the Allow Continuous Performance Management data to be used to support skills inferencing in Talent Intelligence Hub checkbox in the Continuous Performance Management Configuration view.

The option to select in the Continuous Performance Management Configuration view is only shown if you’ve implemented the Talent Intelligence Hub and enabled Growth Portfolio.

The CPM data makes it easier for employees to populate and maintain their personal profile of skills, competencies, and other attributes in the Growth Portfolio.

Note

Notification of change.

This feature's Lifecycle classification has been updated to Restricted Availability. The change is due to dependencies with the skill inferencing feature that is currently Restricted Availability. Features with this classification may continue to be used in both preview and production environments. Talent Intelligence Hub is General Availability, though the skill inferencing feature within it is currently Restricted Availability. You can subscribe to the What's New Viewer to be alerted of any changes to the availability.

Configuration Requirements

  • You’ve migrated to or implemented the Talent Intelligence Hub and enabled Growth Portfolio.
  • You are on the latest version of Continuous Performance Management.

After you’ve enabled the Allow Continuous Performance Management data to be used to support skills inferencing in Talent Intelligence Hub feature, you verify by going to Admin CenterScheduled Jobs . You look in the Process Instance Name column for three rows with Feedback, Achievement, and Activities included in the names and verify that each COMPLETED SUCCESSFULLY. If any of those jobs didn't successfully run, return to the Continuous Performance Management Configuration view, deselect the option, and then select the option again. The system does a refresh, which can take some time to complete. Verify the job run in Scheduled Jobs.

Role-Based Permission Prerequisites

The administrator enabling the switch has the following permissions:

  • You have the AdministratorMiscellaneous PermissionsMDFEventsConfig permission. You also have permission to View and Edit.

  • You have the AdministratorManage Continuous PerformanceAccess to Administrative Configuration page permission.
  • You have the UserContinuous Performance ManagementAchievement permission. You also have permission to View and Edit.

  • You have the UserContinuous Performance ManagementActivity permission. You also have permission to View and Edit.

Employees must have the set of permissions to access Continuous Performance Management and Continuous Feedback, as well as permissions for activities, achievements, and feedback for that data to be shared with the Talent Intelligence Hub.

What's Changed

When you've migrated to the Talent Intelligence Hub and the Growth Portfolio is enabled, the option to share Continuous Performance Management data is shown on the Continuous Performance Management Configuration view.

How It Looks Now

If you haven't migrated to the Talent Intelligence Hub and enabled the Growth Portfolio, this remains as your view. This feature is only visible when the Talent Intelligence Hub is implemented.

How It Looked Before

Previously, the Continuous Performance Management Configuration view didn’t include to option to share data with the Talent Intelligence Hub.

Allow Temporary Opt-Out for Latest Version of Continuous Performance Management

Description

Continuous Performance Management (CPM) will be upgraded to the latest version with this 2H 2023 release. Those using the legacy version will be upgraded to the latest version, though have the option to revert to legacy from the Upgrade Center. The universal upgrade to the latest version will occur with the 1H 2024 release.

This change affects those still using the legacy version of Continuous Performance Management (CPM). If you’re already on the latest version of CPM, this feature doesn't apply to you and no action is necessary.

As part of our lifecycle management, everyone is upgraded to the latest version of Continuous Performance Management (CPM) prior to the sunset of the legacy version. Replacement of legacy CPM was announced in 2022 and the legacy version is scheduled for deletion in May of 2024 (1H 2024).

Caution

This opt-out to roll back to the legacy version of CPM must be applied to both the Preview release and the Production release.

  • Within thirty (30) days after the Preview release.
  • And again, within thirty (30) days after the Production release.

You can only apply the Rollback to Legacy Version of Continuous Performance Management from the Upgrade Center once during Preview and once again after the 2H 2023 Production release. After the Production release period to update expires, the rollback option is removed from the Upgrade Center.

Caution

If you manually upgrade to the latest version of CPM, you can’t roll back to legacy. Once you’ve chosen to upgrade to the latest version, the option to roll back is no longer available.

For additional information, it's recommended to review the SAP Community blog, Legacy Continuous Performance Management Retirement with First Half 2024 Release - Innovation Alert

The legacy version of Continuous Performance Management is scheduled for deletion with the 1H 2024 release and all instances of CPM upgraded to the latest version.

The latest version of Continuous Performance Management (CPM) helps improve employee engagement and overall workforce performance by providing more continuous dialogue between managers and employees. With this continuous approach, managers have increased visibility into employee activities and achievements, enabling them to provide guidance when it’s relevant. Employees also may request or receive feedback at any time, to or from anyone in the organization. The latest version provides users with a new UI along with an improved experience with activities, meetings, and achievements. The latest version introduced new functionality including support for users with multiple roles and feedback from multiple stakeholders.

Configuration Requirements

An administrator goes to Admin CenterToolsUpgrade Center and under Optional Upgrades, selects the Rollback to Legacy Version of Continuous Performance Management.

Role-Based Permission Prerequisites

You have the AdministratorAdmin Center PermissionsManage Upgrade Center permission.

The latest version of Continuous Performance Management (CPM) requires the UserContinuous Performance User PermissionAccess to Continuous Performance Management permission to access CPM. This permission wasn't required for the legacy version, though is a mandatory permission for the latest version.

Continuous Feedback and Continuous Performance are independent modules in CPM with their own configuration access and permission requirements.

Note

The latest version of CPM requires a specific role-based permission configuration.

When access permission to Continuous Performance has been given to a manager, usually a target population is assigned for that permission. In that target population setting, the Manager role MUST have the Include Access To Granted User (Self) checkbox selected, or they won’t see their own CPM activities.

What's Changed

How It Looks Now

The Upgrade Center includes a selection to Roll back to Legacy Version of Continuous Performance Management.

The description of the rollback in the Upgrade Center.

How It Looked Before

The option to roll back to the legacy version of CPM hasn’t been offered before and is only being offered for this release.

Automatically Hide Prior Manager's Feedback from the New Manager

Description

Administrators now have the option to automatically hide feedback from former managers in Continuous Performance Management. With this release, this enhancement is supported for non-Employee Central (non-EC) instances. This feature was supported for EC-enabled instances in the 1H 2023 release.

Previously, when a manager provided feedback to the employee and then leaves the company, or the employee inherited a new manager, the employee has the option to manually hide or delete the previous manager's feedback from their new manager. While the previous behavior allowed the employee to hide or delete feedback, the process wasn’t automated.

Now, an administrator can enable the Automatically Hide Prior Feedback Requested or Given by Former Manager from the New Manager setting on the Continuous Performance Management Configuration view. If this feature is enabled, when a manager transfer occurs, feedback given by the former manager as well as feedback requested on behalf of that manager is automatically hidden from the new manager.

When a manager transfer occurs and the feature switch is enabled:

  • The feedback given by former manager and requested on employee's behalf by the former manager is automatically hidden from the new manager.
  • The employee can manually choose to make feedback visible to a new manager that was given or requested by the former manager.
  • As before, the employee may delete feedback given by former manager.
  • As before, the employee may delete the feedback requested on employee's behalf by the former manager.
  • The employee can't hide or delete feedback when a former manager becomes the new manager. Feedback given by the former manager and requested by them on the employee's behalf becomes automatically visible to that returning manager.

  • If the employee has deleted the feedback from the former manager before they return as the new manager, that feedback is gone and doesn't come back for the returning manager.

  • Feedback requested by the old manager on behalf of the new manager isn't editable by the employee even after the employee has a new manager.

  • A requested feedback provider continues to see the feedback they gave.

  • The former manager continues to see feedback given to the former managed employee, as well as feedback given on the employee's behalf.

The business driver behind this requirement is data privacy and protection. This new feature is intended to address data privacy and protection concerns. The feature automates the process of hiding feedback given or requested by the prior manager when a manager transfer occurs.

Configuration Requirements

You have the latest version of Continuous Performance Management enabled.

Role-Based Permission Prerequisites

You have the AdministratorContinuous PerformanceAccess to Administrative Configuration page permission.

What's Changed

How It Looks Now

On the Continuous Performance Management Configuration view, the selection for Automatically Hide Prior Feedback Requested or Given by Former Manager from the New Manager is shown for both EC enabled and non-EC enabled implementations.

How It Looked Before

Previously, only EC enabled scenarios could select this option. For non-EC enabled scenarios, that checkbox wasn't shown or available.

User Experience Enhancements to Performance Management Forms

Description

We've made some visual enhancements to the Performance Management form.

When you select Enable user experience enhancements to Performance Management forms in Performance Management Feature Settings, users see the following changes:

ChangeBeforeAfter
Reduced maximum form width

There was no upper limit on the form width. A form could be as wide as the user's screen.

The form width is set to a maximum of 1440px so that users who have a big screen can locate what they want more easily.

Rearranged Ratings from Others tab

The ratings and comments provided by other users were displayed to the right of the rating and comment fields, which caused two problems:

  • Users might find it hard to read the comments on a narrow tab, especially when they were long or contained formatted texts such as a table or a URL.
  • Users could be distracted by the blank space on the left of the form.

The ratings and comments provided by other users have been moved to below the rating and comment fields, to improve content readability and make better use of the form space.

Redesigned Achievements tab

On the Achievements tab in the goal section, common long names weren't shown completely and it was hard to distinguish between different parts of the content at a glance.

The Achievements tab is well-structured with the following changes:
  • More room for usernames
  • Updated spacing and typography
  • Newly added icon before each question
  • Newly added texts: the label Topic before each feedback's topic, and the description of who provided the feedback
Redesigned EZ Rater view

In the previous EZ Rater view, the following designs weren't consistent or intuitive:

  • The Expand All and Collapse All buttons were in the top left of a table.

  • The header of the employee self-rating column was called Rating by ﹤employee name﹥ by default.

  • The header of the manager rating column was called Rating by ﹤manager name﹥ in manager's view and called Official Rating in employee's and other's views by default.

  • The Gap column showed a gap analysis chart for each rated item.

In the current EZ Rater view, we've improved the following designs to make them more consistent and intuitive:

  • The Expand All and Collapse All buttons are in the top right of a table.

  • The header of the employee self-rating column is called Employee Self-Rating by default.

  • The header of the manager rating column is called Manager Rating in all views by default.

  • The Gap column directly shows the gap number. If a manager rating is higher than an employee self-rating, a green + ﹤gap number﹥ is shown; and if an employee self-rating is higher than a manager rating, a red - ﹤gap number﹥ is shown.
Redesigned and consistent visual for rating gap analysis

The visual for rating gap analysis was not consistent across the following places on the form:

Hide Unofficial Rating Fields from Official Rating Providers

Description

When you use Rating Option 2 for a form template, you can now hide unofficial rating fields from users who provide official ratings, usually managers, without hiding the Ratings from Others tab.

The following screenshot shows a manager's view with an unnecessary unofficial rating field on the left and a Ratings from Others tab on the right. Previously, the two elements were shown or hidden together, so you couldn't hide the former if you need the latter. Now, you can hide the unnecessary field only.

To hide the unofficial rating field, grant users none permission for Unofficial User Rating in the Manage Templates admin tool, as shown in the following screenshot. Or, in an XML form template, configure none permission for user-item-cmt-rating for the intended role.

We developed this feature to improve the experience for users who provide official ratings when Rating Option 2 is used. This feature is from Customer Community Idea.

Configuration Requirements

  • The permission configured for Unofficial User Rating in a form template won't be applied to existing forms. If you want this feature, relaunch forms from the modified template.

  • Regardless of whether you use Rating Option 2, please be aware of the differences between the field permissions Unofficial User Rating and Unofficial User Rating (Legacy):

    • Unofficial User Rating user-item-cmt-rating controls the visibility of the unofficial rating field only.
    • Unofficial User Rating (Legacy) item-cmt-rating controls the visibility of both the unofficial rating field and others' unofficial ratings shown on the Ratings from Others tab. This legacy field was previously named "Unofficial User Rating" in the permission configuration dialog.

We recommend that you not configure permissions for Unofficial User Rating (Legacy). To control the visibility of the unofficial rating field, use the Unofficial User Rating field permission. To control the visibility of the Ratings from Others tab, use the Ratings from Others tab permission.

Role-Based Permission Prerequisites

You have the AdministratorManage Form TemplatesForm Templates permission.

You have the AdministratorManage Form TemplatesComprehensive template configuration for PMv12 permission.

Skill Sections Available for Performance Management and 360 Reviews Forms

Description

If you've migrated to Talent Intelligence Hub, you can now add skill sections to Performance Management and 360 Reviews forms.

In the form template, the section type Competency has been replaced by Attribute. As shown in the following screenshot, you can use the Attribute Type field to add either a skill section or a competency section. Then, configure the section as you previously did with a competency section.

On the Performance Management or 360 Reviews form, a skill section is similar to a competency section. With proper permissions, users can do the following in the skill section:

  • Provide ratings and comments on skills, and add more skills to the form as needed. When the form is completed, the skills and competencies, together with their ratings, are updated in the form subject's Growth Portfolio.
  • Use Stack Ranker to quickly review the skill ratings for their direct reports.
  • Report on skills by using the Skill table in the Performance Management schema in Story reports. Reportable details include skill ratings, comments, and rating scale information. Users can further join the Skill table with the Attributes table in the Talent Intelligence Hub schema to report on skill name, description, and so on.
Note

For the feature differences between the skill section and the competency section that you used before you migrate to Talent Intelligence Hub, refer to Skill Section in Performance Management and Skill Section in 360 Reviews.

We developed this feature to deliver a performance review experience that's more relevant for users who have migrated to the Talent Intelligence Hub framework.

Configuration Requirements

  • You've migrated to Talent Intelligence Hub.
  • No action is required for existing form templates that include competency sections. Their section type is automatically changed to Attribute and the attribute type is set to Competency.

Role-Based Permission Prerequisites

You have the AdministratorManage Form TemplatesForm Templates permission.

What's Changed

In the current version, the skill section is available. Both skill and competency sections are configured with the section type Attribute.

In the previous version, the skill section wasn't available. The competency section was configured with the section type Competency.

Attribute Recommendations in the Growth Portfolio

Description

Attributes are now recommended on a user's Growth Portfolio based on the user's activities in Continuous Performance Management (CPM).

If a user works on Activities, Feedback, or Achievements in CPM, then the information is sent to Talent Intelligence Hub. For example, if a user mentions a skill named Java in the Achievements section in CPM and the skill exists in the Attributes Library of Talent Intelligence Hub, then Java is shown as a recommended skill in the user's Growth Portfolio. The Recommended for You section in the Growth Portfolio displays all the recommended skills and other attributes. Users can add or reject the recommended skills and other attributes.

We've built this feature so that more relevant skills and other attributes can be recommended in the Growth Portfolio.

Note

We've changed the Lifecycle classification to Restricted Availability. The change is due to dependencies with the skill inferencing feature, which is currently a Restricted Availability feature. To test this feature in your environment, please send an email to SAPSuccessFactorsEACPrograms@sap.com.

Configuration Requirements

You've enabled the Allow Continuous Performance Management data to be used to support skills inferencing in Talent Intelligence Hub feature in Continuous Performance Management.

Role-Based Permission Prerequisites

You have the User PermissionsGrowth PortfolioView permission.

Last Ratings from Growth Portfolio on Performance Management Forms

Description

If you've migrated to Talent Intelligence Hub, users can now view the last skill or competency rating from Growth Portfolio, which is the latest proficiency rating that an employee has received for a skill or competency.

When From Growth Portfolio is selected as the last rating source in Form Template Settings, the most recent proficiency rating for a skill or competency is displayed on the Last Rating tab of that skill or competency. Users can go to the employee's Growth Portfolio to see exactly where the proficiency rating comes from.

The following screenshot shows a skill's last proficiency rating:

Besides, whether you select From Growth Portfolio or From a Form Template, you can then choose to prepopulate last ratings to rating fields. Users can modify the ratings as needed.

We developed this feature to deliver a performance review experience that's more relevant for users who have migrated to the Talent Intelligence Hub framework.

Configuration Requirements

Prerequisites to using this feature:

  • You've migrated to Talent Intelligence Hub.
  • The form template's rating history type is set to Proficiency in the Manage Talent Intelligence Hub admin tool. Otherwise, the From Growth Portfolio option can't be selected.

Action you may need to take on existing form templates: If a form template was configured to display last ratings from rating sources in Job Profile Builder, you need to reconfigure the last rating options. This is because the From Rating Sources option no longer exists.

Note

Reconfiguration of last rating options affects in-progress forms and new forms that are based on the form template.

Role-Based Permission Prerequisites

  • You have the AdministratorManage Form TemplatesForm Templates permission.
  • You have the AdministratorManage Form TemplatesComprehensive template configuration for PMv12 permission.
  • Users have the UserGrowth PortfolioView Growth Portfolio permission for the target population.

What's Changed

In the current version, you can select From a Form Template or From Growth Portfolio as the source of last skill or competency ratings. You can also prepopulate the ratings from either source to rating fields.

In the previous version, the last skill rating wasn't available, and the configuration options depended on whether you enabled Job Profile Builder:

  • If Job Profile Builder was enabled, you could select From a Form Template or From Rating Sources (in Job Profile Builder) as the source of last competency ratings. The prepopulation option was available only when you select From Rating Sources.
  • If Job Profile Builder wasn't enabled, you could only use From a Form Template as the source of last competency ratings. The prepopulation option wasn't available.

New Configuration Setting for Specifying Goal Completion Status

Description

In Admin CenterManage Templates , we introduced a new configuration setting named Trigger Completion for the latest Goal Management.

This setting is for administrators to flag a state value that is associated to the goal completion status. As critical follow-up actions, administrators must save the template and choose the Refresh button. This is to make the setting effective and to refresh the goals that show on the Goal Management landing page and the home page.

The To Do framework on the home page automatically uses this setting to know which status to use when users are asked to mark a goal as complete.

Previously, to ensure users can properly mark their goals as complete on the home page, administrators had to set the last value for the state field to complete in the goal plan template.

This feature is from Customer Community Idea 276611, Customer Community Idea 286993, and Customer Community Idea 287046. We developed this feature to help users get rid of the restriction of status ordering so that they can properly mark goal completion on the home page.

Configuration Requirements

  • The latest Goal Management is enabled.
  • Apart from Admin Center, administrators can also set trigger-completion=true to a state value in the goal plan template to complete the configuration.
