Role-Based permissions are one of the ways you can grant access to recruiting users. To work with role-based permissions, a specific user has to be defined for managing these permissions. To define the user, select Admin Center→Set User Permissions→Manage Role-Based Permission Access. The defined users are able to manage role-based permissions. Once a user is defined as the role administrator, he or she can start to configure and assign permissions. These permissions can be assigned to groups of people or to individual users.

Business Example
At the end of this exercise, you will be able to grant administrator, user, and recruiting permissions using role-based permissions.
Task 1: Add Role-Based Permission Access to a User
Steps
Login in to your instance as the default admin.
Use the Action Search.
Find Manage Role-Based Permissions Access.
Check if your admin user has the ability to manage role-based permissions.
If your user is not already listed, do the following:
- Choose Add User.
- Search for the user.
- Select the user.
- Grant permission.

Task 2: Create full System Administrator Role
Steps
Use the Action Search.
Start typing Manage Permissions Roles.
Select Create New.
Enter the role name.
Select the permissions.
As this role is the admin user, access to all areas should be granted. The access may vary depending on how your company manages permissions. For the purpose of this training, make sure that the user has permissions for all admin functionality.
In the Grant this role to section, add the full system administrator.
Select All in the Target Population section.
Select Save Changes.
Note
Please note that the name of the full system administrator might be different within each company. If this role does not exist in the system yet, add this role to the list.Caution
All permission changes require logging out, closing the browser, and logging in again in order for the changes to take effect.
Task 3: Review Default User Permissions
Steps
Use the Action Search.
Begin typing Manage Permissions Roles.
Select the Default User role.
Select Create New.
Enter the role name.
Select the permissions.
The permissions may vary depending on how a company manages permissions. For the purpose of the training, make sure that the user has permissions to following section of the system:
View Edit Address 1 Photo Address 2 Certifications/Licenses Business Phone Formal Education City Language Skills Country Previous Employment Department Professional Memberships Division Email Employee Id First Name Job Code Last Name Manager State Title Employee Views
User should have access to all sections
General User Permissions
- User Login
- Live Profile Access
- Permission to create, edit, delete, or view notes
Recruiting Permissions
Career Tab
Once you are finished, choose Done.
In the Grant this role section, ensure that Permission Groups or Users is set to Everyone and that Target Population is set to All.
Select Save Changes.
Log out and back in as the admin user.
Note
By following the steps in this exercise you can grant any permission to any individual user or groups of users (for example, HR Assistants).
Recruiting Administrator Permissions
Recruiting administrator permissions should be assigned to the user who will act as administrator for Recruiting, that is, the person who will need to manage applicant statuses or email templates.

Recruiting User Permissions
Recruiting user permissions should be assigned to all users who will need to work with any aspect of Recruiting such as Candidate Search or tagging of candidates. And, with the additional candidate relationship management features, the MDF Recruiting permissions allows recruiting users to access talent pools as well as other options.
