Recruiting Teams

  • Create recruiting teams.
  • Define team members' permissions.

Team-Defined Recruiting

In addition to recruiting operators (roles), fields defining teams of users are supported on the requisition. Team Recruiting provides a way to give a team of people the same level of access and permissions as the primary operator to allow team members to support and assist this operator.

Team Members Definition

Team members are defined in the Admin Center.

Defining the Team Members: Group and Individual

The team members can be selected individually or set up as a group.

Defining the team members as a group:

To be able to define the team members as a group, the group has to be created in the Recruiting Group section. The members of the group are automatically updated, meaning that if the group member does not meet specified criteria, they are automatically removed from the recruiting group; for example, the specific user is relocated and is no longer based in the defined location.

Defining the team members individually:

It is also possible to add specific users to a team. Any changes within users added to the team individually need to be done manually; for example, if the person leaves the company or if responsibilities are changed.

Defining the Team Members: Add Individual Members and Users Directly

The screenshot shows the Admin Center's Recruiting Team Settings, including options to add users and add groups to the team.

Adding individual users or groups to the admin setup is not retroactive (that is, they are not added to existing requisitions).

Changing the definition of a group to contain different users is retroactive (all requisitions containing that group reflect the changes to the group membership).

Note

The best practice is to add groups rather than individuals in the admin setup.

Individual members can also be added directly on the job requisition.

Job requisition interface shows a text box where an individual user, Paula Price, can be added, under Manage Additional Users.

It is possible to restrict this function in Admin CenterTeam Recruiting Settings.

It is also possible to set up a default primary user who appears on all job requisitions automatically. In the example below, Paula will always be selected as Recruiter on the job requisition because she has been designated as the default primary user.

Any user that has permission to manage Recruiting Team Settings can update Team Recruiting settings in Admin Center.

Personal Preferences on Job Requisition

Every user can set up personal team preferences that appear on every job requisition where a user is assigned to a specified role.

Create a Recruiting Team

Business Example

In this exercise, you will:

  • Enable team recruiting settings in the Admin Center.
  • Review the functionality in a job requisition.

Task 1: Enable Team Recruiting Settings in Admin Center

Steps

  1. Use Action Search to locate Manage Recruiting Team Settings.

  2. Select the HR Assistants Team.

  3. Add the HR Assistants group to this team, and specify the primary operator.

  4. Choose Save.

Task 2: Review Settings in the Job Requisition

Steps

  1. Create a new requisition to test the team functionality. Verify the following:

    1. Zachary Zubov is the default selection for the HR Assistant.

    2. The HR Assistants Team field is in the requisition under the Involved Parties section.

    3. The HR Assistants group (category of Department = Human Resources) makes up the team.

    4. After the requisition is approved, any of the HR Assistants can log in and perform all actions or permissions as defined for the primary HR Assistant during the open status.

    Note

    The Recruiting Group has to be set up in the Admin Center to be available in Recruiting Settings.

    Hint

    Additional settings have to be done in the back end of the system before the functionality is available within a job requisition.

Team Member Permissions

All team members have the same permissions as a primary operator once the requisition is approved. The primary operator permissions are defined in the back end of the system. All team members have the same permissions once the requisition is approved as defined for the primary operator. For example, any fields for which the Recruiter has write permissions in the approved state of a job requisition, the members of the Recruiter Team also inherit.

It is possible to adjust the permission settings for team members so that they have access to all job requisitions as the primary operator when the job requisition is in pre-approved status. The settings area can be adjusted in Admin CenterManage Recruiting Team SettingsAllow users to view pre-approved requisitions without regard to route map status.

Upline Manager Permissions

When Team Recruiting functionality is enabled, it is possible to grant permissions to all upline managers above the hiring manager to have the same permissions as the hiring manager.

A screenshot of the Manage Recruiting Team Settings section shows that the following option is selected: Allow managers above Hiring Manager to have access.

In cases where you want to give upline mangers different permissions from the hiring manager, this option needs to be configured in the back end of the system.
