John is busy with the execution of the project. Sarah, as the acting portfolio manager, wants to make herself acquainted with the current project status and its financial information, which is also of interest to Bettina (as the project controller) and their manager Thomas. As they are not too interested in all of the project's details, they decide to integrate all relevant data back to SAP Portfolio Management and analyze this data there.

Integration of Capacity Planning

Integration of capacity data from the project to SAP Portfolio Management is possible using the portfolio item.

By assigning the role function in a SAP Project Management project to categories and groups in the portfolio item, planned and allocated capacities can be transferred to a portfolio item and rolled up to the buckets.

In case of an integration to a Project System project this method can not be used. Instead, the capacity data has to be derived from the planned cost data.

In any case, the integration of actual times to the portfolio item is only possible using the actual posting on the cost collector of the project, for example a SAP Project System project with a work breakdown structure (WBS).

Integration of Financial Data

If you have created an SAP Project System (PS) project as a cost calculation and cost collector object, the planned and actual costs of this project can be transferred to the portfolio item. If this is not the case, the only option is to derive the costs using the work in the roles and the costing rates from the roles in the SAP Project Management project. However, this approach is not as detailed as the usage of a cost collector, such as a PS project.

Financial data of PS projects assigned to portfolio items can be transferred to financial planning of the respective items. Financial (FI/CO) integration allows you to transfer budgets, planned costs, and actual costs to portfolio item financial planning. In fact, financial (FI/CO) integration is based on object links similar to PS integration. However, different object link types are configured for financial integration on the one hand and for PS integration on the other hand. Once you assign a PS project to an item, the system simultaneously creates an additional link for financial (FI/CO) integration automatically.

In SAP Portfolio and Project Management, financial data with reference to financial categories, groups, and financial views can be entered and evaluated in the financial planning. However, accounting data with reference to cost elements, value types, and CO versions is managed in the financial system. Therefore, a mapping between the relevant reference data must be defined. You can perform the mapping according to your requirements in the configuration of SAP Portfolio and Project Management with reference to the relevant financial (FI/CO) system.

The program /RPM/FICO_INT_PLANNING is introduced.

The program /RPM/FICO_INT_PLANNING is executed in the SAP Portfolio and Project Management core system or scheduled as a background job there. Based on the object links, the accounting data of the controlling objects is then determined from the financial system, transported into the Portfolio Management system, and is saved there in the table RPM_FIDATA. This table is the basis for the display of financial data on item and bucket level.
