Navigating through the Collaboration Hub

A good (process) structure is half the battle!

Overview of SAP Signavio Process Collaboration Hub

The SAP Signavio Process Collaboration Hub is divided in such a way as to enable easy access to the processes. The entry diagram ensures quick navigation through the entire process landscape of the organization.

The Collaboration Hub is the initial starting page after the login and can be considered as the entrance into the process landscape of a company. It is divided into three parts. On the left side is the menu, in the middle, you will find the entry diagram and in the upper right, the search and help area.

With respective authorizations, you can even switch between publish and preview mode. The preview mode allows you to navigate through unpublished content if access rights are granted, accordingly. For users with a modeler license, it is also possible to edit content directly from the Collaboration Hub in preview mode.

The Menu

From the menu, you can access:

  • Process diagrams
  • All journey models in your workspace and favorite ones
  • Newsfeed with all the updates in the hub
  • Your favorite and recently visited diagrams

Access workflow tasks from SAP Signavio Process Governance and your analysis from SAP Signavio Process Intelligence (please note this requires a license for the respective products).

On the Process Collaboration Hub, the side menu is highlighted. Access options are outlined below.

The Entry Diagram

The entry diagram is the first item that the users see. Here, you can show a navigation map that leads to different topic areas and the process map. You can directly show a process landscape so users can quickly navigate through the processes of the organization.

Create, Search, and Help

With create, you can directly create with respective authorizations, such as QuickModels, BPMN diagrams, navigation maps, or dictionary entries.

With the search function, you can search for specific processes, content, and dictionary entries. You can also filter for better search results.

The help area takes you to our SAP Signavio user guide to view useful information about the functions in the hub.

The bell icon provides notifications. For example, a comment on a process you marked as favorite, or a reply to a comment.

If you select your login information, you can switch between preview and published mode, change the language, and access other SAP Signavio solutions, if available.

On the Process Collaboration Hub, the top menu options are highlighted. The options are outlined in the following text.

Navigate your Process with the Process Landscape:

  • Select the process map to open it 
  • Select a specific area
  • Open your process by selecting the plus symbol 
  • You will land on the End-2-End Process

Navigating Diagrams

Now that you've learned how to navigate the Collaboration Hub, let's take a look at how to view your diagrams and utilize overlays.

How to Visualize Additional Information

Once you find your process, you can find additional information about your process by selecting elements. You can get information such as:

  • Documents
  • Descriptions
  • Process information
  • Roles

Note

Please keep in mind that certain sensitive information in the processes may be hidden in the hub for certain users.
On the Process Collaboration Hub, the additional information of the process can be found below the diagram.

Understand the Process with the Provided Legend

If you are viewing a process and are not familiar with the used BPMN shapes, you can get further information and a detailed description under the section Legend.

For information on BPMN shapes open the Legend menu.

Stay Updated: Using Favorites and Notifications

You can mark the processes you will use every day as a favorite, so you can access them easily in the future. Watch the video below to learn more.

Monitor of Process Analysis

To monitor important KPIs and continuously improve your processes, a running analysis from SAP Signavio Process Intelligence can be displayed on the Collaboration Hub home page. This way, you will have an instant overview of your process performance and can make adjustments and corrections before it is too late. Additionally, you can open further investigations from the menu.

Search for Specific Content

Search for any content in processes, dictionary entries, documents, tasks, reports, and more. Use the filter option below the search field to obtain more specific results.

Edit Processes Directly from SAP Signavio Process Collaboration Hub

In order to also find unpublished processes, you need to switch from Publish to Preview mode. With the modeler license, it is also possible to edit content. Watch the video below to learn about the Preview and Published view.

Using the Edit Option in Preview Mode

To edit a process, go in to the preview mode and choose the three-dots icon, then select Edit.

Start the Approval Workflow from the Collaboration Hub

You can edit processes either in preview or in publish mode. If you want to publish a new process, or edit an existing one that needs to be published again, this can be triggered directly from SAP Signavio Process Collaboration Hub. Select the three dots to get to the menu for editing and further options.

Note

Editing and submitting a process for approval requires respective access rights and a modeler license, as well as an implemented approval workflow.
To edit a process, choose the three-dots icon and select Edit. To submit a process for approval, select Submit for approval.

Approve Subprocesses

With the respective authorization, you can also start the approval process for subprocesses linked to a process in bulk. This allows you to save time by approving all processes at once.

In the Approval window, in the Approval workflow list, Approve and publish unpublished sub-processes is selected.

Read Confirmations

You can receive read conformations for diagrams. It will show a prompt asking you to confirm that you read and reviewed the diagram. Upon confirming, the Process Owner will receive a notification with the names of those that read it. Please note, this needs to be enabled by an administrator and is usually granted to the Process Owner.

In SAP Signavio, the confirmation message and the I Confirm button are highlighted.
