Working with LLF Settings

Objective

After completing this lesson, you will be able to enable LLF settings in Company Administration for Concur Travel.

LLF Settings

Concur Travel uses customer-defined criteria to calculate the Lowest Logical Fare (LLF) or benchmark fare. After you define the LLF or benchmark, the system marks airfare search results that best meet these criteria with the LLF icon, if enabled on the configuration page. Additionally, travel rules help guide travelers toward the company’s defined low fares. You can configure up to three LLF definitions for each travel rule class on the configuration page.

The LLF setup involves settings in both Travel System Administration and Travel Policy Administration. Although this lesson focuses on configuring LLF in Travel Policy, be aware that some relevant settings are located in Travel Configuration, including:

  • Enforce LLF based on
  • Number of LLF definitions per rule class
  • Mark LLF Fare/s with icon (only applicable for the legacy experience
  • Find closest LLF flight and capture details
  • Constrain rule violation fare list to LLF window

To get started, select Edit for the Flight category on the Travel Policy page. The page then displays, and you can define the LLF options. To learn more about each of the fields, review the following graphic and corresponding table.

SettingDescription / Action
1: RefundabilityThe following options are available:
  • Does Not Matter: Refundability is not considered when determining LLF
  • Refundable only: Only refundable fares will be used; may require an extra search
  • Cheapest on Plane Only: Cheapest in Cabin booked; may require an extra search
    • Select this option to let users request a refundable flight while the LLF is still based on the lowest available fare – If not selected, the LLF will be calculated using the lowest refundable fare instead
    • This feature applies to GDS fares only – not direct connect or Travelfusion results
2: Has ContractThe following options are available:
  • Does Not Matter: All carriers considered
  • Contract Carriers Only: Only contract carriers considered, all non-contract carriers are ignored
3: Number of StopsThe following options are available:
  • Does Not Matter: All flights considered
  • Two Stops: Consider only 2-stop flights; if no 2-stop flights, then lowest fare
  • One Stop: Consider only 1-stop flights; if no 1-stop flights, then lowest fare
  • Fewest Stops: Only the group of ‘fewest stop’ flights considered
4: Time WindowThe following options are available:
  • Does not matter: All flights returned will be considered
  • Flights Within User’s Time Window: For both outbound and return flights, Travel will search for options within the same number of hours before and after the user’s original specified time window in the Travel Wizard
  • Flights Within Company Configured Time Window: For both outbound and return flights, Travel will search within the number of hours before and after the flight time specified by company policy (e.g., +/- 2 hours), regardless of the time window the user selected in the Travel Wizard
  • Half Company Window Before Outbound / Half After Return:
    • On the outbound flight, Travel will only look before the center of the time window because travelers can choose to depart earlier but departing later may not allow them to arrive on time
    • On the return flight, Travel will only search after the center of the time window, as leaving earlier may not be allowed
5: AirportThis setting only affects Hub city searches meaning you search a city with multiple associated airports. The following options are available:
  • Does Not Matter: Example: Assume the flight search is LHR-PRG. The search results are returned from LHR, STN, and LGW. Concur Travel considers all airports for the LLF
  • Flights to/from User’s preferred airport: Example: For a flight search from LHR to PRG, results may include flights from LHR, STN, LTN, and LGW

    Concur Travel only uses flights from LHR (the user’s selected airport) to calculate the LLF.

    Note

    All Area Airport searches (that is, the user selects the hub – in our example LON – as search criteria) are treated like Does Not Matter and all flights from all associated airports returned are considered for the LLF
6: Include RailSelect either Yes or No to include rail in the LLF.

Note

This option applies only to mixed air/rail displays.
7: Run Dedicated LLF ShopYou should enable this option only if the Refundability option is set at Refundable Only or Cheapest on Plane Only. This feature will always shop for a low refundable fare when users perform searches that are not refundable-only searches.

Concur Travel applies the below sequence of criteria to narrow the pool of fares, to calculate the LLF benchmark.

  1. Include rail
  2. Time window
  3. Preferred airport
  4. Contracted rate
  5. Refundable vs. non-refundable
  6. Stops

After you define the LLF, configure the least cost logical airfare rule; an example is shown below. Be sure to select Save once you’ve finished.
